What the documents look like
A third-party overseas warehouse can serve several sales channels, and the seller allocates stock across them. Replenishment plans, inbound appointment records, inventory age tables and last-mile delivery notes therefore arrive from different sources. The warehouse WMS, the ERP sales forecast, the freight forwarder system and carrier bills each update on their own schedule; the supplied brief gives weekly and daily frequencies. Operating reports and exception reviews need these materials aligned to one period and one field set before any comparison is meaningful. The tool call and plugin layer selects a module or plugin from context, retrieves a result and returns it to the model. Whether the model calls a tool depends on the tool description and the parameter conditions, not on the report itself.
Constraints at the tool calls step
A tool description states what the module or plugin does, and it also needs to state the input conditions and the situations in which the tool should not be called. System module parameters are already fixed; plugin parameters are configurable. The parameter description and the required flag together shape the call decision. When a suitable required parameter is absent from context, the model may decline to call the tool, and prompt wording can guide the user to supply the missing value; the actual request then needs checking. In advanced orchestration, available tools are connected to the tool call module, and the guidance is to tune a small set of tools before adding more. The tool call termination node ends the current call, stops further tool calls and stops the AI from summarizing tool results. Retrieval returns material and does not constitute authorization. Forms collect values; business verification, approval, database writes and external synchronization each need their own downstream implementation. A similarity setting does not perform entity or permission isolation.
Hypothetical paper exercise: a cross-border seller submits a replenishment plan check request on 10 March 2025. The material text reads "Overseas warehouse A: SKU-001, inbound appointments for 1 March to 7 March total 12 pallets; actual arrival 9 pallets" and "Inventory age table: SKU-001, as of 7 March, 6 pallets aged over 90 days." The proposed sentence is "The replenishment plan for SKU-001 for the period 1 March to 7 March has been fully completed." In this exercise the subject is the seller, the object is SKU-001, the period is 1 March to 7 March, and the authorization boundary is view and check only, with no approval, write or external synchronization included.
Configuration and implementation checks
The table lists only documented settings or implementation checks tied to this page's materials. The values are hypothetical starting points for this exercise, chosen to show a comparison target; they are not official defaults.
| Configuration item | Hypothetical starting point | How to check |
|---|---|---|
| Tool description | State purpose, input conditions and situations where the tool should not be called | Compare sentence by sentence against the fields of the replenishment plan, inbound appointment, inventory age table and last-mile delivery note |
| Tool parameters | For plugin parameters, fill in each parameter description and required flag | Check whether the model declines to call when a required parameter is missing, and inspect the actual request |
| Tool connection | Connect only the small set of tools relevant to report review | In advanced orchestration, confirm the diamond connection and observe whether call timing matches the description |
| Tool call termination | Attach at the end of a tool flow that does not need AI summarization | Observe whether the current call ends and whether further tool calls and AI summarization stop |
| Custom tool variables | Fill in parameter descriptions for nodes not treated as tool parameters | Check whether the tool calls that node and its subsequent workflow |
| Retrieval scope | Limit to the target retrieval scope with access rights | Exclude joint association across different vector models, check identifiers first and record the actual observation |
Three common errors
- Writing a generic tool description without input conditions or situations where the tool should not be called. The model may then call a plugin while a suitable required parameter is absent and fabricate a parameter value.
- Treating a retrieval result or a form submission as authorized execution. Business verification, approval, database writes and external synchronization each need their own downstream implementation, so a handover state can be misread as complete.
- Treating a similarity setting as an entity or permission filter and assuming unrelated business or unauthorized records are excluded. This confuses retrieval with authorization.
Corresponding checks: first, inspect whether the tool description contains input conditions and situations where the tool should not be called, and observe whether a missing required parameter prevents the call. Second, inspect the state of retrieval, form, approval, write and synchronization in the handover material, leaving anything not stated as pending verification. Third, inspect the retrieval scope identifier, exclude joint association across different vector models and record the actual observation.
How to verify the setup
- Enter the material text from the hypothetical exercise above together with the proposed sentence "The replenishment plan for SKU-001 for the period 1 March to 7 March has been fully completed." Compare the same subject, same period and same field: the inbound appointment of 12 pallets and the actual arrival of 9 pallets are two explicit values in the same field, and they are mutually exclusive, so the proposed sentence is not supported. If the material records only appointment-stage evidence, record the result as pending verification rather than as a denial or a conflict.
- Enter a plugin call request that lacks a required parameter, and compare whether the tool description and parameter description cover the inputs that request needs. Observe whether the model declines to call the tool; if it calls, inspect whether the parameter in the actual request was fabricated by the model. When no error is observed, do not infer a deterministic failure cause.
- Enter an explicit paper input of an empty result [] and check whether the downstream design handles an empty result. Do not claim that a fictional rule retrieval necessarily returns []. If cross-library checking is needed, check the vector model identifier first and exclude non-matching ones; do not run cross-model retrieval to compare missed recall. Image retrieval requires a corresponding image input and model capability, and reranking requires a model enabled according to settings; optional paths in the documented flow do not mean every request executes all of them.
