What the documents look like
Cross-border overseas warehouse replenishment serves several sales channels at once, and the seller allocates stock across them. Four document families carry the numbers that operating reviews and exception post-mortems have to trace: replenishment plans, inbound warehouse appointments, inventory ageing tables, and last-mile delivery notes. These come from the overseas warehouse WMS, ERP sales forecasts, freight forwarder systems, and carrier statements respectively. A review question in this category is narrow: which material, and which version of that material, produced a given figure. That is why citation tracing decides whether a handover counterparty can re-check a post-mortem conclusion at all. The supplied brief gives weekly and daily update frequencies, and this page stays at that granularity without inferring a finer synchronization mechanism.
A second feature shapes the task. The category differs from Amazon FBA preparation because a third-party overseas warehouse can serve multiple channels while the seller still assigns stock manually. A single SKU can therefore appear in a plan, an appointment, an ageing table, and a delivery note with different scopes and dates, and the review has to keep those scopes separate.
Assumed drill sample: an overseas warehouse operator checks a replenishment plan on 9 March 2026. The plan text reads "This plan covers SKU-A at the Germany warehouse, planned inbound quantity 600 units, effective period 10 March 2026 to 20 March 2026." A separate inventory ageing table dated 8 March 2026 states "SKU-A Germany warehouse available stock 120 units, ageing band 61 to 90 days." The draft sentence under review is "SKU-A Germany warehouse has sufficient available stock in March; no replenishment needed." The draft sentence can be compared against both materials on subject, object, and period. No material states an authorization status.
Constraints at the citation tracing step
The knowledge base search node can select one or more knowledge bases that share the same vector model, and it outputs citations as an array whose length may be zero. When nothing is found, the output path still completes. Citation tracing therefore splits into two layers: first confirm which knowledge bases and which material versions were selected, then compare the answer against the cited source text item by item. Retrieval does not constitute authorization, and a citation array does not show that any approval, signature, or cost confirmation has occurred.
Hybrid retrieval merges multiple result paths through RRF. Re-ranking requires a re-rank model and must be enabled by configuration. Image retrieval needs a corresponding image input and model capability. These paths do not all run on every request. The citation cap is measured in tokens. The minimum relevance value takes effect only under semantic retrieval or when result re-ranking is used, and that score performs relevance filtering only; it does not act as an entity or permission filter.
For the sample, the two knowledge bases would be a replenishment plan base and an ageing table base. If their vector model identifiers differ, the correct action is to check the identifiers and exclude the mismatched base rather than continuing.
Configuration and implementation checks
| Configuration or check item | Assumed trial starting point for this page | Reason and comparison method |
|---|---|---|
| Associated knowledge bases | One replenishment plan base and one ageing table base | Compare the two vector model identifiers first; if they differ, exclude the mismatched base and do not run cross-model retrieval |
| Citation cap | 8000 tokens for this trial | Compared against the actual length of the two sample materials; this is a trial starting point, not an official default |
| Minimum relevance | 0.3 for this trial | Compared against the score distribution of the sample draft sentence retrieval results; this is a trial starting point |
| Search mode | Hybrid retrieval | The sample contains an SKU identifier and natural-language description, and the documentation states RRF merges the result paths |
| Result re-ranking | Enabled per configuration | Requires a re-rank model; the re-rank score falls in a 0 to 1 range and is used for filtering |
| Citation handoff | Compare answer against cited source text item by item | An empty array is checked against a paper input of [] for downstream design; no claim is made that a fictional rule must return [] |
Three common errors
- Treating a retrieval hit as completed authorization. In the sample, the replenishment plan states only quantity and effective period and states no approval status. A draft sentence that reads "replenishment approved" on that basis converts an unstated fact into a confirmed one.
- Treating the minimum relevance value as an entity or permission filter. In the sample, the retrieval score for SKU-A reflects relevance only. Excluding records for other warehouses or other parties on that basis extends a relevance setting into business isolation.
- Forcing knowledge bases with different vector models into a shared association. If the two sample bases carry different model identifiers, the correct action is to check the identifiers and exclude the mismatched one, without further inference about missed recalls or redundant results after a shared association.
How to verify the setup
- Input the two sample material texts and the draft sentence "SKU-A Germany warehouse has sufficient available stock in March; no replenishment needed." Compare the draft sentence against the materials on subject, object, period, and field. The observable result: the materials state 120 units available and a planned inbound of 600 units, and neither material supports "sufficient" or "no replenishment needed." That judgment stays pending verification.
- Input the sample draft sentence as the retrieval question and observe the correspondence between the citation array and the source texts. Compare whether the citation entries cover both the replenishment plan and the ageing table. The observable result: if the citation array length is zero, check the downstream handoff design against an empty array; if a citation entry disagrees with the source on subject or period, record it as unsupported.
- Input the vector model identifiers of the two sample bases. Compare whether the two identifiers match. The observable result: when they match, continue checking under a same-model association; when they differ, exclude that base and record the actual observation without running cross-model retrieval to compare missed recalls. All three items describe expectations and observation methods only, and none states that testing has been performed or approval obtained.
