Central chain procurement: conversation logs for operating reviews

Review conversation logs for operating reviews in Central chain procurement. Check sources, input boundaries, error handling and repeatable test evidence.

What the documents look like

Central procurement and distribution data revolve around head-office purchasing and delivery. Sources include ERP purchasing, WMS, store POS, and supplier delivery data. The daily documents are centralized procurement contracts, replenishment plans, delivery notes, and store requisition forms. Operating reviews and exception retrospectives ask whether a specific store's stockout or overstock on a given day can be traced through conversation logs to a corresponding procurement or delivery action. At this step, the conversation logs and audit records are the sessions and run records produced on the application side, not the procurement documents themselves. Business data updated daily or per order enters reports, while conversation logs are retained as calls occur; the two time bases differ and must be labelled separately during reconciliation.

Constraints at the conversation logs step

The chat interface identifies a session with chatId and a single conversation under that session with dataId. These belong to a different system from business document numbers and cannot substitute for each other. Run details depend on the detail parameter: when detail is false, only choices content is returned; when detail is true, intermediate values are stored in responseData, and in stream mode they are distinguished through event. The interface does not return actual consumed Token values; when needed, set detail=true and manually calculate the tokens in responseData. The score returned by retrieval is a similarity value and does not perform entity or permission filtering; the retrieval action itself does not constitute authorization.

Hypothetical drill sample: in the conversation logs of a chain supply chain centre dated 10 March 2025, one AI answer cited content related to a replenishment plan. The log records chatId as "sup-20250310-a" and dataId as "d-0091"; the session was created by an API Key with source=api. The draft sentence to be assessed is: "This conversation round confirmed that the 10 March delivery note was signed for." The source text for comparison reads: "Delivery note status is pending signature; signature time: not recorded." Assessment must compare the same subject, the same period, and the same field. Here "pending signature" and "signed for" are mutually exclusive values of the same field.

Configuration and implementation checks

Configuration itemHypothetical starting point for this exerciseReason and comparison method
appIdAssume "app-sup-001"Locates the application; compare character by character with the appId field in the log
chatIdAssume "sup-20250310-a"Check against the target session; length under 250; confirm uniqueness
dataIdAssume "d-0091"Locates a single conversation; compare with the dataId returned by getResData
detailAssume trueIntermediate values in responseData are required; compare with false, which returns only choices
sourceAssume "api"Retrieves sessions created through the API; distinguishes them from page sessions
loadCustomFeedbacksAssume trueReads custom feedback; compare with the response when the parameter is omitted

These values are hypothetical starting points for this exercise, not official defaults. Configuration only locates and reads logs; it does not produce approval, signature, or reconciliation effects.

Three common errors

  1. Treating chatId as a business document number. Error: using chatId to match a delivery note number directly. Check: input the log chatId and the delivery note number as two fields, compare whether they belong to the same system, and observe whether the two can correspond.
  2. Treating retrieval similarity as a permission filter. Error: assuming a high score means the record is authorized for access. Check: input a cited item with a relatively high score, compare its datasetId against the current authorization scope, and observe whether it falls within the accessible set.
  3. Treating a pending signature as a completed signature. Error: the draft sentence states "signed for." Check: input the source text "pending signature; signature time: not recorded," compare the field value in the draft sentence, and observe whether it is mutually exclusive with the source.

How to verify the setup

  1. For the hypothetical sample, input chatId "sup-20250310-a" and dataId "d-0091," compare whether the dataId returned by getResData matches. When it matches, the conversation can be located; when it does not, record it as not located and do not infer a cause.
  2. For the draft sentence, input the source text "Delivery note status is pending signature; signature time: not recorded," compare whether "pending signature" and "signed for" are mutually exclusive values of the same field. When they are mutually exclusive, the draft sentence is not supported; preserve the evidence gap.
  3. For the retrieval citation, input the score and datasetId, compare whether the datasetId falls within the authorization scope. When it does, record it as accessible; when it does not, record it as pending verification. The retrieval action itself does not change the authorization state.

If downstream design needs to handle empty results, use an explicit paper input [] to check the receiving logic; do not claim that a fictional rule retrieval necessarily returns []. Libraries using different vector models cannot be associated together; first check identifiers and exclude those that do not match. Image retrieval requires a corresponding image input and model capability, and reranking requires a model and must be enabled according to settings. These optional paths do not mean every request executes all of them.
