Central chain procurement: tool calls for operating reviews

Review tool calls for operating reviews in Central chain procurement. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Central chain procurement data follows headquarter purchasing and distribution rather than store-level display. The main sources are ERP purchasing records, WMS records, store POS data, and supplier delivery data. Routine documents include centralized procurement contracts, replenishment plans, distribution notes, and store requisition forms. Daily or weekly updates are typical. Because the focus sits on headquarters buying and delivery, store display checks belong to a different category. Errors here surface as store stockouts, inventory buildup, or supplier claims.

Operating reports and exception reviews align purchasing, distribution, and requisition records by subject, object, and period. At this step, tool calls and plug-ins pass already confirmed inputs to downstream modules. They do not replace business authorization. A requisition form collects values; it does not by itself confirm approval, trigger a database write, or synchronize an external system. Those actions need their own downstream implementation and their own evidence.

Constraints at the tool calls step

A tool consists of a tool introduction and tool parameters. The introduction tells the model what the tool does and should state the input conditions and the situations in which the tool should not be called. System module parameters are fixed; plug-in parameters are configurable. Two parameter values matter: the parameter introduction and whether the parameter is required. When a required parameter has no suitable value in context, the model may choose not to call the tool, and prompts can guide the user to supply the missing value. In advanced orchestration, available tools connect to the tool call module, and the documented guidance recommends tuning a small number of tools before adding more. The tool call termination node ends the current call, stops further tool calls, and stops the AI summary of tool results. Custom variables extend tool variable inputs.

Hypothetical paper exercise sample. A chain supply chain center holds paper material. The first document reads: "Distribution note PD-0715 states: receiving subject is the East China Distribution Center, corresponding store requisition YH-0715, distribution date 15 July 2025, quantity 120 boxes, status shipped." A second document, replenishment plan BH-0715, reads: "Planned replenishment 120 boxes, status pending review." The draft sentence under review reads: "The 120 boxes required by YH-0715 were delivered on 15 July 2025 and counted as received in this period." The draft treats "shipped" as "received," and the replenishment plan remains pending review. A pending review does not constitute completed execution.

Configuration and implementation checks

The configuration items below relate only to documented tool call and plug-in settings or implementation checks. The hypothetical trial starting values serve paper comparison only and are not official defaults.

Configuration itemHypothetical trial starting valueCheck method
Tool introductionState that inputs are distribution notes, requisition forms, and replenishment plans; output is the status fieldCompare against the three sample documents to see whether the introduction covers situations where the tool should not be called
Tool parametersSet distribution note number, requisition number, and date as required parametersWhen a number is absent, observe whether the model declines to call the tool, and record the actual request
Tool connectionConnect only the report summary and status check toolsFollow the documented guidance to tune a small number first before deciding whether to add more
Tool call terminationAttach the termination node after the status check toolCheck whether the AI summary is no longer called after termination
Custom variableAdd a variable description for the replenishment plan status fieldCheck whether the variable is passed correctly to the downstream node

Three common errors

  1. Treating "shipped" as "received." In the sample, distribution note PD-0715 has status shipped, while the draft sentence says delivery was completed and the quantity was counted as received. Compare the status field and the receipt field under the same distribution note number. If the receipt field is not stated, the draft sentence is unsupported and the evidence gap should be recorded.
  2. Treating "pending review" as executed. Replenishment plan BH-0715 has status pending review, and the draft sentence says the quantity was counted in this period. Compare the review status and the execution status under the same plan number. Pending review does not demonstrate completed execution, and it does not demonstrate that operating permission is absent.
  3. Treating the tool introduction as a guarantee of execution. The configuration table says the tool introduction covers three document types, but the status check tool is not actually connected. Compare the connected tool list with the scope described in the introduction. The introduction affects whether the model calls the tool; it does not guarantee complete parameters or that a business action occurred.

How to verify the setup

  1. For the sample draft sentence "The 120 boxes required by YH-0715 were delivered on 15 July 2025 and counted as received in this period," input distribution note PD-0715, requisition YH-0715, and replenishment plan BH-0715, then compare the status field and the receipt field under the same document numbers. If the receipt field is not stated or only the shipped status is present, the sentence is unsupported and should be recorded as pending verification.
  2. For replenishment plan BH-0715, input its status "pending review" and compare whether the review status and the execution status are mutually exclusive values of the same field. If the execution field is not stated, execution cannot be determined, and neither a negative finding nor a conflict can be determined. The evidence gap remains.
  3. For the tool connection configuration, input the connected tool list and the scope described in the tool introduction, then compare whether the two agree. If the introduction covers the status check but the list does not connect that tool, record the configuration as incomplete. If the tool is connected, check whether the termination node takes effect after the status check, and record the actual observation without claiming that a live test was performed.

This page addresses one task only: central chain procurement, operating reports and exception reviews, tool calls and plug-ins. During operational handover, the authorization state of materials, operations, and requests must remain explicit. Retrieval and forms are not authorization, and a similarity score is not a category, entity, or permission filter.
