What the documents look like
Parcel handoff happens at the point where a parcel leaves the warehouse, and the central concern is carrier scan responsibility. The materials handled on this page are electronic waybills, handoff manifests, pickup scan records and exception-item registrations. They come from the courier system, WMS shipment data and carrier billing. These materials are produced per batch and per day, and the same parcel has records on both the shipment side and the pickup side.
In cross-border work, waybills and handoff manifests often mix Chinese and English in recipient fields, commodity names and carrier fields. Retrieval therefore needs to cover terminology, identifiers and natural-language questions at the same time. The quality of parsing and chunking directly determines whether later retrieval can locate the correct parcel batch and responsibility node. A chunk that loses its document identity or version cannot be traced back to the source it came from, and a condition that is separated from the content it constrains can no longer be read correctly.
Constraints at the document chunking step
Chunking must preserve the document identity and version that allow a chunk to point back to the original. Conditions, notes and the content they constrain must not be split apart. Original data and retrieval indexes are two separate layers: one set of original data can correspond to multiple indexes, indexes are used for recall, and original data is used for backfilling. Semantic recall and relevance scores affect ordering only, and they do not carry permission or entity isolation.
Libraries that use different vector models cannot be associated with each other. The step is to check identifiers first, exclude those that do not match, and record what is actually observed. A successful upload does not mean retrieval has been updated; after a material change, the actual training and index state must be checked.
Hypothetical paper exercise sample: a warehouse shipment record reads "On 10 March 2025, carrier A picked up batch B-0310, 120 items in total, handoff manifest number J-0310; the scan record shows 118 items picked up and 2 items registered as exceptions, status pending carrier confirmation." The proposed sentence to be judged is "All 120 items in this batch completed pickup handoff." The subject being checked is batch B-0310, the object is pickup status, the period is 10 March 2025, and the field is the number of items picked up. The source states 118 items picked up and 2 items pending confirmation, so the proposed sentence has a different value in the same field.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this page | Reason and comparison method |
|---|---|---|
| Search mode | Hybrid search | Waybills contain both identifiers and natural-language fields; compare recall coverage against pure semantic search |
| Reference limit | Hypothetical starting point of 3000 tokens | Estimated from handoff manifest paragraph length; compare completeness against a 2000-token result |
| Minimum relevance | Hypothetical starting point of 0.3 | Compare against 0.5 and observe whether valid exception records are filtered out |
| Question optimization | Left off for now | Single-turn explicit question; compare elapsed time and results against leaving it on |
| Chunking method | Split by waybill, manifest and scan record | Compare against merging the whole batch into one chunk and check whether conditions and constraints are separated |
| Index fields | Waybill number, batch number, manifest number | Compare full-text hit behavior against a text-only index |
Three common errors
- Treating a successful upload as an updated retrieval index. Input is a changed handoff manifest; compare the upload time against the actual index state and observe whether retrieval still returns the old batch content.
- Using semantic recall in place of a permission decision. Input is a query for a batch without access rights; compare the recall result against the authorized scope and observe whether unauthorized records are returned.
- Writing a pending-confirmation status as completed. Input is the sample proposed sentence; compare the source value of 118 items picked up against the proposed 120 and observe whether the values in the same field agree.
How to verify the setup
- Input the sample source text and the proposed sentence, compare the picked-up item count field, and judge the proposed sentence as unsupported when it disagrees with the source.
- Input batch number B-0310 into full-text search, compare whether the returned passage contains handoff manifest number J-0310, and treat the condition as met when it is hit and the passage is complete.
- Input an empty-result continuation scenario, check the downstream design against a paper input of [], and observe whether the downstream handles it as an empty reference without claiming that retrieval necessarily returns [].
The materials, operations and requests involved in an operational handoff each sit at a particular authorization state, and retrieval or a form does not itself grant authorization. A pending review does not show that an operation right is missing, and an offered option is not an execution. Where the source does not state a field, the value remains unknown rather than being treated as a contradiction.
