Brand-owned store operations: workflow routing for operations handover

Review workflow routing for operations handover in Brand-owned store operations. Check input mappings, source evidence and failure handling before use.

What the documents look like

Brand-owned stores are staffed and accounted for directly by the brand, and are not managed through a franchise contract. Operational records come from the POS system, member CRM, ERP inventory and store inspections. Day-to-day documents include daily sales reports, shift schedules, display photographs and inventory transfer orders, with updates at daily or weekly frequency.

For operations handover, the practical question is which items in the handover material are already authorized, which are only requests, and which remain unverified. Workflow routing carries information collected by form input and user selection nodes into later nodes according to the interaction state, and those later nodes handle retrieval, judgment or interface calls.

Two facts shape this task. First, authorization status lives in the material itself, not in the routing layer, so a transfer order marked as pending regional approval stays pending even after a form has been submitted. Second, retrieval results are records, not permissions; a semantic match on a transfer order does not establish that the order may be executed.

Constraints at the workflow routing step

The form input node enters an interaction state when triggered, collects the required information, and passes that information to later nodes after submission. The user selection node evaluates the user's choice and executes the corresponding "yes" branch. Branch connections are verified one by one. The interaction state is behavior of the interaction nodes; no separate global state-recording switch is documented. Collected information must be explicitly passed to later retrieval, judgment or interface nodes, and outputs are compared against inputs item by item. Order writes, document backfill and external status synchronization require a separate business interface or downstream flow; the nodes themselves do not complete those business actions. Retrieval does not perform authorization, and semantic recall and relevance do not handle permission or entity isolation.

Hypothetical paper exercise sample. A regional manager for a brand-owned store submits a handover request. The material text consists of three sentences. Sentence one: "From 1 March 2025 to 31 March 2025, the shift schedule for this store was prepared by store manager Li, and reviewed by regional manager Wang on 5 March." Sentence two: "On 10 March, inventory transfer order number DB-0310 requested the inbound transfer of three M-size coats, and its status is pending regional approval." Sentence three: "March display photographs were uploaded to the inspection system, with no review opinion attached." Proposed assertion: "Wang has approved transfer DB-0310, and the order may be executed." Comparison required: the material states only that Wang reviewed the shift schedule, and does not state that Wang approved the transfer; the transfer order status is pending regional approval, and no approval record appears. Conclusion: the proposed assertion is not supported and remains to be verified.

Configuration and implementation checks

The table below lists documented settings or implementation check items relevant to this feature and task, tied to the sample above. The values are starting points for this paper exercise only, with the reason for choosing each and the object of comparison.

Configuration itemHypothetical starting point for this exerciseReason and comparison method
Required fields on the form input nodeHandover material text, requested matter, requesterDocumentation states required information is collected; compare item by item against the three sample sentences, and do not submit when a field is missing
User selection node branch"Yes" branch connected to an approval-result nodeDocumentation states the "yes" branch executes after the user makes a choice; verify branch connections one by one against the pending-approval status in the sample
Interaction state checkRecording state is behavior of the interaction nodeDocumentation states the node enters an interaction state when triggered; compare against whether the sample request is waiting on interaction
Output receiving nodePass collected information to a later judgment nodeDocumentation states information is passed to later nodes; compare output and input fields item by item
External action separationTransfer execution connected to a separate business interfaceDocumentation states order writes require a separate interface; the transfer order status in the sample is unchanged and is not treated as executed
Retrieval scope checkVerify within the target scope to which access is heldDocumentation states retrieval does not perform authorization; record the gap when the sample material is missing rather than supplying terms

Three common errors

  1. Treating pending approval as approved. In the sample, DB-0310 is pending regional approval. If the proposed assertion states that it is approved and executable, the input is sentence two, the comparison object is "pending regional approval" against "approved", and the observable result is that the two values differ, so the assertion is not supported.
  2. Treating review of the shift schedule as approval of the transfer. Sentence one states only that Wang reviewed the shift schedule. The proposed assertion extends this to approval of the transfer. The input is the reviewed object, the shift schedule; the comparison object is the transfer order; the observable result is that the objects differ, so the assertion is not supported.
  3. Treating a retrieval result as a basis for authorization. If a retrieved transfer order record is used to conclude the order may be executed, the input is the returned record, the comparison object is the authorization status field, and the observable result is that the record contains no approval field, so the matter remains to be verified.

How to verify the setup

  1. Input the three sample sentences and the proposed assertion. Compare the status field stated in the material against the claim in the proposed assertion, and observe whether "pending regional approval" and "approved" appear as mutually exclusive values in the same field. If they do, the assertion is not supported.
  2. Input sentence one and the proposed assertion. Compare the reviewed object, the shift schedule, against the asserted object, the transfer order, and observe whether the objects are the same. If they differ, the assertion is not supported.
  3. Input sentence three and the proposed assertion. Compare "no review opinion attached" against the asserted "approved", and observe whether an approval field is stated. If it is not stated, record the evidence gap and treat the matter as pending verification.

All three verification steps use the paper sample as input and do not claim that any test has been performed.
