After-sales repairs and reships: citation tracing for operations handover

Review citation tracing for operations handover in After-sales repairs and reships. Check input mappings, source evidence and failure handling before use.

What the documents look like

Repair and reship work aims to restore a product to use. Unlike refund-only disputes, it does not close with a direct refund. The daily materials come from the after-sales system, the order system, repair outlets, and the parts warehouse WMS. Each order updates, with daily roll-ups. During operations handover, the repair application, reship order, inspection report, and parts outbound order each sit at different stages. Citation tracing answers a narrow question: which material, which version, and which authorization boundary support a stated conclusion or a requested action.

For this page the relevant industry facts are: the goal is restored use rather than refund closure; the working materials are the repair application, reship order, inspection report, and parts outbound order; and the operational risk is repeated complaints, overdue repairs, and uncontrolled parts cost. These facts shape what a citation must prove. A retrieved passage can show what a document says. It cannot show that a repair was approved, that a part was released, or that a reship took effect.

Constraints at the citation tracing step

The knowledge base search node can associate one or more knowledge bases that share the same vector model. Its citation output is an array, and the length can be zero. When no content is found, the output path still runs. Retrieval results do not by themselves constitute authorization, and they do not constitute approval of a specific repair or reship. Hybrid retrieval merges multiple result paths through RRF. Reranking is enabled according to settings and requires a corresponding model. The citation limit is measured in tokens. The minimum relevance value takes effect only under semantic retrieval or when result reranking is used; that threshold is not a permission or entity filter.

Hypothetical drill sample. A brand after-sales outlet received repair application WX-0310-A on 10 March 2025. The applicant is Store A. The object is one complete machine. The fault description is failure to power on. The parts warehouse WMS shows zero mainboard stock. The outlet intends to submit a handover request: "Please have the parts warehouse release one mainboard against WX-0310-A and reship it to Store A." The draft sentence to be judged: "The inspection report has confirmed mainboard damage, and the reship order has taken effect." The source texts to compare are: repair application WX-0310-A, which states "Fault description: failure to power on; applicant: Store A; application date: 10 March 2025"; parts outbound order CB-0310-01, which states "Status is pending review; quantity: one mainboard; related order number: WX-0310-A"; inspection report JC-0310-02, which states "Inspection conclusion: pending re-inspection." The three materials share the same subject and the same period, and their fields remain independent.

Three common errors

  1. Treating a retrieval hit as authorization. In the sample, parts outbound order CB-0310-01 has status "pending review." Retrieving that order does not mean the outbound release has been approved. Check: input the CB-0310-01 source text, compare the status field "pending review" with an approved state, and observe that the status remains pending review, which shows authorization is not complete.
  2. Treating a draft sentence as an established fact. The draft says "The inspection report has confirmed mainboard damage, and the reship order has taken effect," while inspection report JC-0310-02 concludes "pending re-inspection," and no reship order appears in the sample. Check: input the draft sentence and the two source texts, compare "confirmed" with "pending re-inspection" and "has taken effect" with the missing material, and observe that the conclusion field does not match or the material is absent, which means the statement is unsupported.
  3. Associating knowledge bases with different vector models. Check: input two knowledge base identifiers and their vector model identifiers, compare whether the two are consistent, and observe that a mismatch means the knowledge base is excluded and no cross-model retrieval is performed.

How to verify the setup

  1. Input the three sample source texts and the draft sentence, compare "confirmed" and "has taken effect" in the draft with the material fields, and observe that the inspection conclusion is "pending re-inspection" and the reship order does not appear. The draft sentence is judged unsupported, and the evidence gap is recorded.
  2. Input the source text of parts outbound order CB-0310-01, compare the status field "pending review" with an approved state, and observe that it remains pending review. The outbound authorization is judged incomplete, and the handover request must not be executed on that basis.
  3. Input a paper empty array as the retrieval output, compare whether the downstream node continues to run with an empty citation, and observe that the downstream path runs, which matches the documented empty-output path. This result does not mean that a fictional rule retrieval will necessarily return an empty array.
