Supermarket supplier accounts: interactive forms for operations handover

Review interactive forms for operations handover in Supermarket supplier accounts. Check input mappings, source evidence and failure handling before use.

What the documents look like

Supplier entry settlement in the supermarket and convenience-store category differs from large-format concession counters. The payable is typically a purchase-and-sale account or a consignment account, and a resident on-site operation is not required. Operations permission and handover management therefore revolve around four document types: the procurement contract, the delivery acceptance note, the rebate agreement, and the statement of account. Work is split across supermarket procurement, supplier business staff, and finance settlement staff. Data originates from ERP procurement, the supplier portal, POS sales, and the finance system, and it refreshes weekly or monthly. Form collection must align with those cycles rather than assume real-time synchronization.

The three most time-consuming steps are reconciling accepted quantities, calculating rebate deductions, and handling return differences. Each involves confirmation across parties, so fields collected by the form input node must support later manual reconciliation, and the user selection node is used to separate handling paths inside a handover request. Forms collect values. Business verification, approval, database writes, and external synchronization require separate implementation.

Constraints at the interactive forms step

The form input node is a user interaction node. When it is triggered, the conversation enters an interaction state, the workflow state is recorded, and execution continues after the user completes the interaction. The node collects the information the user fills in and passes it to later nodes. It does not include a business database function of its own. The user selection node also triggers the interaction state and executes a branch according to the user's choice. It does not constitute a personnel directory or a business data selector.

Hypothetical paper exercise sample: a statement of account reads, "Supplier A delivered 120 units of product A to supermarket B in March 2025, acceptance note number YS-0301, unit price 10 yuan, rebate agreement provides a monthly rebate of 2%." A draft sentence reads, "Supplier A's March reconciliation amount is confirmed and settlement may be executed." That draft sentence lacks the acceptance note signature status, the rebate calculation basis, and the settlement authorization subject. It remains pending verification and cannot be treated as confirmed.

The constraint is that forms and interaction only collect and branch. Permission determination requires an external system or a later node. Retrieval and forms do not constitute authorized execution. The interaction state records workflow state and does not provide a submission-count limit or an automatic judgment guarantee.

Configuration and implementation checks

Configuration itemSetting or check relevant to this pageRelation to the sample

Required-field checkList the fields this task cannot omit; test a missing item and a completed item separatelyWhen signature status is absent, the settlement branch must not be entered
User selection branchExecute the "yes" branch according to the user's choiceUsed to confirm or return a handover request

Downstream division of workField validation, business approval, and write-back are implemented in external systemsSettlement authorization is not completed inside the form node

The fields in this table are the starting point for this hypothetical exercise. They were chosen because they correspond to the acceptance note number, quantity, unit price, and rebate rate in the sample text, and the comparison object is whether the statement of account text states those values. Fields not provided remain unknown.

Three common errors

  1. Treating form submission as settlement authorization. In the sample, submitting the draft sentence only completes information collection. The acceptance note signature status and the rebate calculation basis are not stated, so executable settlement cannot be inferred.
  2. Treating the user selection branch as a personnel permission directory. The user selection node executes a branch according to the choice and does not identify the operator's identity or authorization scope.
  3. Treating retrieval results as a permission filter. A relevance score does not perform entity isolation or authorization determination, and retrieval does not constitute authorized execution.

How to verify the setup

  1. Input the sample text and the draft sentence, then compare whether the draft sentence contains the acceptance note signature status, the rebate calculation basis, and the settlement authorization subject. When all three are absent, the observed result is pending verification, and the settlement branch must not be entered.
  2. Input acceptance note number YS-0301, quantity 120 units, unit price 10 yuan, and rebate 2% from the sample, then compare whether the form fields collect them completely. When a field is missing, observe whether the required-field check blocks submission.
  3. Input one handover request, then compare whether the user selection branch executes the "yes" branch according to the choice. When return is selected, observe whether the flow returns to the interaction state to wait for supplementation, without producing an approval or write-back action.

The above is a paper reconciliation design and was not actually executed. Missing evidence remains missing. A pending review does not demonstrate the absence of operating permission, and signing, reaching cooperation, and contract effectiveness are three distinct facts.
