Retail packaging reporting: retrieval for operations handover

Review retrieval for operations handover in Retail packaging reporting. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Retail plastic bag and single-use item reporting sits around disposable plastics reporting and environmental supervision, separate from membership marketing activity. The main data sources named in the category brief are the Ministry of Commerce reporting system, POS plastic bag sales, the procurement system and store ledgers. Day-to-day documents are the plastic bag procurement ledger, sales vouchers, the half-year report and the self-discipline commitment. Two update rhythms are documented: half-year and daily. The half-year report and the procurement ledger are archived on a half-year cycle, while sales vouchers are produced daily. For operations handover, the retrieval scope for the half-year report and the procurement ledger needs to cover the complete archive period, and the retrieval scope for sales vouchers needs to be split by day.

Knowledge base retrieval here lets a handover recipient locate the corresponding document by material name, period and field. The retrieval result supplies reference content only. It does not change the authorization state of any material.

Constraints at the retrieval step

The knowledge base search node can associate one or more knowledge bases that use the same vector model. Knowledge bases with different vector models cannot be associated together. The vector model identifier is checked first, and non-matching bases are excluded. A cross-model retrieval is not run to compare missed recalls.

Reference content is output as an array, and its length can be 0. When nothing is found, the output path still runs through. Search modes include semantic retrieval, full-text retrieval and hybrid retrieval. The three are compared against a test question, and no single mode is assumed to suit all materials. The minimum relevance value takes effect only in semantic retrieval or when result re-ranking is used. It is a filtering threshold and does not carry out permission or entity isolation, so it cannot be used to exclude unrelated businesses or unauthorized records. The reference upper limit uses tokens as its unit, and materials of different lengths are used to test whether content is complete. Question optimization performs coreference resolution and question expansion; the original question and the optimized question are compared, and the subject is checked for incorrect changes. Image retrieval requires a corresponding image input and model capability, and re-ranking requires a model and must be enabled according to settings. Optional paths shown in the overall document flow diagram do not mean every request executes all of them. RRF is a fusion process for mixed results and is not an on/off switch.

Hypothetical paper exercise sample: a retail headquarters compliance role initiates a handover on 1 July 2025, and the handover recipient is the administrative procurement role. The material texts supplied for checking are: "2025 first-half plastic bag procurement ledger, record period 1 January 2025 to 30 June 2025, procurement quantity 120,000 units, registrar Zhang, review status pending review." and "2025 first-half plastic bag sales voucher summary, record period 1 January 2025 to 30 June 2025, sales quantity 118,500 units, review status reviewed." The handover request sentence to be judged is: "The administrative procurement role obtains reporting authority for this ledger from 1 July 2025." In this request, the pending review status does not demonstrate the absence of operating authority. Signing, reaching cooperation and contract effectiveness are three distinct facts. Whether reporting authority has been granted is not supported and requires separate verification against an authorization document.

Configuration and implementation checks

The configuration below stays with the hypothetical sample and lists only officially described settings or implementation checks relevant to this feature and the primary task. The values are starting points for this hypothetical exercise. Their reasons and comparison objects are given in the notes, and they are not official default values.

Configuration itemHypothetical exercise starting pointNotes and comparison method
Associated knowledge baseRetail plastic bag and single-use item reporting baseCheck that the vector model identifier matches before associating, and exclude bases with a different vector model
Search modeHybrid retrievalRun the same test question through semantic, full-text and hybrid retrieval, and compare the returned reference content
Reference upper limit2000 tokensThis starting point is chosen because a single ledger or sales voucher entry is long; compare with 1000 tokens for content completeness
Minimum relevance0.5Label relevant and irrelevant samples first, then adjust the threshold; it takes effect only in semantic retrieval or result re-ranking
Question optimizationEnabledCompare the original question with the optimized question, and check whether the subject has been changed incorrectly
Result re-rankingEnabledA re-ranking model must be available and enabled according to settings; use the re-ranking score for filtering

Three common errors

  1. Treating a retrieval result as an authorization credential. The input is the handover request sentence above, and the comparison object is the authorization document text. If retrieval returns ledger content but does not return an authorization document, reporting authority remains unsupported. A retrieval hit does not by itself mean authority has been granted.
  2. Using minimum relevance to exclude unauthorized records. The input is a semantic retrieval query, and the comparison object is the returned reference content against the authorization scope. Minimum relevance is a filtering threshold and does not carry out permission or entity isolation. If returned content includes unauthorized records, access permission must be verified separately.
  3. Treating a pending review status as a negative finding. The input is "review status pending review" in the material text, and the comparison object is a reviewed record with the same subject, same period and same field. Pending review does not demonstrate the absence of operating authority, and it is not a contradiction. It is recorded as pending verification.

How to verify the setup

  1. Input the two material texts from the hypothetical sample above, and compare whether the returned reference content covers both the procurement ledger and the sales voucher. If only one is returned, or an empty array is returned, record the gap. Do not claim that retrieval necessarily returns all content.
  2. Input the handover request sentence, and compare whether the returned reference content includes an authorization document. If it does not, record reporting authority as unsupported and keep the evidence gap. Do not fabricate authorization clauses.
  3. Input knowledge base identifiers with different vector models, and compare whether the association operation is excluded. Check the identifier only, exclude non-matching bases and record the actual observation. Do not run a cross-model retrieval to compare missed recalls. An empty result handoff can use the explicit paper input [] to check downstream design; do not claim that a fictional rule retrieval necessarily returns [].
