Trade and FX administration: citation tracing for operations handover

Review citation tracing for operations handover in Trade and FX administration. Check input mappings, source evidence and failure handling before use.

What the documents look like

Trade and FX administration work in this category centres on foreign-exchange receipts and settlement together with trade directory records. The daily materials are receipt advices, trade contracts, invoices, and foreign-exchange business registration records. The focus is the authenticity of foreign-exchange funds and the underlying trade background; a full set of letter-of-credit documents is not examined. Materials arrive grouped by individual transaction, and receipt advices, contract signatories, invoice headers, and registration applicants may belong to different stages of the same transaction. During handover, each document must be checked field by field. A retrieved citation shows that content was recalled; it does not show that any party has been authorised or that a business step has been approved. Data updates at the per-transaction and monthly level, which affects how a handover package is assembled but does not by itself create any synchronisation or authorisation mechanism.

Constraints at the citation tracing step

Citation content is output as an array whose length may be zero. An empty array does not mean the workflow has errored or terminated. Knowledge bases selected for association must use the same vector model; bases with different vector models cannot be associated together, so the identifier should be checked first and non-matching bases excluded. The minimum relevance value takes effect only under semantic retrieval or result reranking; it is a filter threshold and does not perform permission or entity isolation. Hybrid retrieval merges multiple retrieval paths through RRF, which is part of the retrieval process rather than a switch that is turned on. Reranking requires a model and must be enabled according to its settings. Image retrieval requires an image input and the relevant model capability. Optional paths shown in the overall retrieval flow do not mean every request executes all of them.

Hypothetical exercise sample: a trade finance staff member hands over one transaction. The source material reads: "The receipt advice shows the payer as Company A, with amount and date listed; the trade contract signatory is Company B; the foreign-exchange business registration applicant is Company B; the invoice header is Company B." The draft sentence to be assessed is: "The receipt party and the contract signatory for this transaction are consistent, so settlement can be processed directly after handover." When the same field is compared, the payer on the receipt advice and the contract signatory come from different materials and the entity names do not match. The draft sentence is not supported by the materials. The entity difference should be recorded and left pending verification; no authorisation may be inferred and no settlement may be processed on this basis.

Configuration and implementation checks

Configuration itemHypothetical starting point for this exerciseReason for the choice and comparison method
Associated knowledge basesTwo bases using the same vector model onlyThe documentation requires the same vector model for joint association; check identifiers first and exclude non-matching bases
Search modeHybrid retrievalThe sample contains entity names and number-like fields, so semantic and full-text recall are both needed
Minimum relevanceSet to 0.5Hypothetical starting point for this exercise; compare recalled item counts against the default off state and against 0.3
Citation limitSet to 2000 tokensHypothetical starting point for this exercise; compare citation counts and truncation against 1000 tokens
Question optimisationEnabledThe sample involves multi-turn handover follow-up questions, and the documentation describes coreference completion
Result rerankingEnabled with model checkedThe documentation states reranking requires a model and must be enabled according to settings

Three common errors

  1. Treating a retrieved citation as an authorisation basis. Observable error: a contract fragment returned by knowledge base search is used to conclude that the receipt party has been verified. Check: input the sample source material and the draft sentence, compare the citation content against the material fields, and observe whether the citation only shows that content was recalled.
  2. Writing a pending-review status as completed. Observable error: the handover record states "settlement completed" while the material only shows that registration records were submitted. Check: input the registration status field, compare "submitted" against "completed", and observe whether any approval or completion evidence exists.
  3. Treating an empty citation array as a workflow failure. Observable error: seeing the output [] is taken as a retrieval fault and the handover is stopped. Check: input the paper value [], compare the downstream node design, and observe whether the downstream path continues on an empty array.

How to verify the setup

  1. Entity check: input the sample source material, compare the receipt advice payer against the contract signatory, and when the names do not match, judge the draft sentence unsupported, record the entity difference, and leave it pending verification.
  2. Status check: input the registration status field, compare "submitted" against "completed", and when only the former is present, judge the business step incomplete and preserve the evidence gap.
  3. Empty-result handling: input the paper value [], compare the downstream node design, and when the downstream path continues on the empty array without error, the condition is met. Do not claim that any invented rule search necessarily returns [].
