Trade returns and claims: upgrades for operations handover

Review upgrades for operations handover in Trade returns and claims. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Trade returns and claims handle reverse logistics and liability determination after export. The working material arrives from customer emails, quality inspection reports, customs systems and insurer claim systems, and the day-to-day documents are the return agreement, the claim letter, the quality report and the return customs declaration. The documents update irregularly, case by case. Check the current state of each case at handover; the synchronization method is not provided and cannot be inferred from that cadence.

Three facts shape this step. First, the return agreement, claim letter, quality report and return customs declaration are separate documents with separate states, and a state recorded in one does not transfer to another. Second, the same case can hold a signed agreement and an unsigned agreement at different moments, and the difference matters for what may be submitted downstream. Third, retrieval over these materials is a similarity operation, and a similarity result does not carry access rights, entity separation or approval status.

Constraints at the upgrades step

Document state determines which actions are executable. A return agreement in draft, signed by both parties, and in effect are three distinct facts. A claim letter that has been submitted and a claim that has been accepted are also distinct nodes. During operations handover, retrieval results, completed form fields and pending-review markers do not constitute authorization. A relevance score is not a category, entity or permission filter, and it does not exclude unrelated businesses or unauthorized records. Libraries that share the same vector model can be associated together; libraries on different vector models cannot be jointly associated, and the identifier must be checked first so that non-matching items are excluded. Retrieval is not authorization. Forms collect values, and business verification, approval, database writes and external synchronization each need their stated downstream implementation.

Hypothetical paper exercise sample. Material text: "Party A: a foreign trade company in East China; Party B: overseas buyer A. Return Agreement Article 3: This agreement takes effect on the date both authorized representatives sign. Signature block: Party A has signed; Party B's signature field is blank." A separate quality report states: "Batch number 2026-03; inspection conclusion: out-of-tolerance external dimensions; quantity 120 pieces." Draft sentence to be judged: "Party B has signed the return agreement, so this agreement can be used to submit claim evidence to the insurer."

The sample is a paper exercise only. No test, deployment, approval, refund or other business action has occurred.

Configuration and implementation checks

Configuration itemHypothetical starting value for this exerciseReason for the choice and comparison method
Deployment version checkRecord the current image tag and the target v4.17.2Compare against the image tags listed in the upgrade note, confirming that app and pro match
AIPROXYAPIENDPOINTEnter the AI Proxy root addressCompare against the official description; do not append a chat interface path
AIPROXYAPITOKENEnter the administrator tokenCompare against the server configuration for a non-empty value and consistency
Upgrade script orderRun 20261008 first, then 20261009The second depends on the first; check the order against the upgrade note
Post-upgrade sample reviewRe-check the same batch quality report and return agreementCompare retrieval and display results for the same material before and after the upgrade
Handover material state markersRecord signed, in effect and submitted separatelyCompare field by field against the material text; do not merge states

The starting values above are chosen for this exercise. They are not official defaults and were not tested in any live environment.

Three common errors

  1. Treating a blank Party B signature field as signed. The input is the sample text above; compare Party B's signature field against the effect condition in Article 3. A blank Party B field means signing is incomplete, and the draft sentence is not supported.
  2. Treating a retrieval hit as a permission release. The input is a return agreement fragment returned by retrieval; compare the access scope of that fragment against the team the operator belongs to. A retrieval result does not change authorization state.
  3. Treating a pending-review marker as approved. The input is a claim letter showing pending review; compare the review node against the actual approval record. Where no approval record exists, the state remains pending verification.

How to verify the setup

  1. Input the sample return agreement text with the blank Party B signature field together with the draft sentence. Compare the agreement's effect clause against the signature state. Where Party B's field is blank and no other evidence of effect exists, the draft sentence is not supported.
  2. Input the sample quality report for batch number 2026-03. Compare the quantity of 120 pieces stated in the report against the quantity listed in the claim letter. Where the two values for the same field disagree, record a contradiction; where they agree, record a match.
  3. Input a retrieval request for the same batch material after the upgrade. Compare the same dataId row and index status returned before and after the upgrade, and observe whether the same result can be reproduced. If the return is empty, check the downstream design against the explicit paper input [] and do not claim that retrieval necessarily returns empty.

These are paper verification steps. They state what to compare and what result would satisfy the condition; they do not report that any check was performed or passed.
