Customer-service knowledge: upgrades for operations handover

Review upgrades for operations handover in Customer-service knowledge. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

This page covers one maintenance category: customer-service consultation knowledge. The working materials are FAQ entries, reply templates, product parameter sheets and escalation work orders. The activity is preparation of question-and-answer material ahead of use. It does not approve refunds or returns, and no refund decision is made here.

The typical roles are customer-service supervisors, knowledge-base operators and product operations staff. Source material arrives from the service system, product detail pages, after-sales issue statistics and quality spot checks. Material is revised weekly or monthly. This page does not derive batch synchronization, real-time triggering or full refresh from that cadence.

When handover goes wrong, the observable consequences are answers that miss the question, complaints that escalate and failed service training. During deployment and upgrade work, the practical risk is that a document, an action and a request each sit at a different authorization state, and a reader treats one as another.

Constraints at the upgrades step

Retrieval results and form values are collected data. Neither one performs authorization. A request awaiting review is not an approval. An option that has been offered is not evidence that it was executed. A completed state needs a corresponding record before it can be described as complete.

The documented upgrade notes for V4.17.2 list two manually triggered scripts, visible and executable under the administrator version-upgrade area: historical chunk training task migration, and knowledge-base rebuild status migration. Both are described as manually triggered and as not blocking service startup. The rebuild status migration depends on the training task migration having completed. The stated precondition is that all old-version FastGPT App and Pro instances in the cluster have fully stopped and old task leases have expired before execution.

Vector retrieval and relevance scoring do not carry permission or entity-isolation duties. Libraries built on different vector models cannot be associated with each other. The workable step is to check identifiers and exclude those that do not match, then record what was actually observed. No conclusion about missed recall or redundant results follows from that check.

Hypothetical paper exercise. The following are paper materials for checking only. They are not real records.

Material text one: "Knowledge-base operations handover form. Handover object: FAQ entries. Handover scope: 1 October 2026 to 31 October 2026. Handover status is pending review. Handover person: not signed."

Material text two: "Upgrade work order. Object: product parameter sheet. Intended deployment version: v4.17.2. Authorization boundary: view only. Editing and deletion are not included."

Draft sentence to be assessed: "The FAQ entry handover described above is complete, and operations permissions have been transferred."

Configuration and implementation checks

Configuration itemHypothetical starting value for this exerciseNote and comparison method
AIPROXY_API_ENDPOINTAssume http://aiproxy:3000Root address, with no chat interface path appended; compare the format against the documented example
AIPROXY_API_TOKENAssume a non-empty stringMust match the server side and be non-empty; compare against an empty value to see whether startup validation fails
PRO_TOKENAssume a string of at least 32 charactersThe App side and the Pro Admin side must agree; compare the two side values
SYNC_INDEXAssume the documented default true is keptMissing MongoDB indexes are created at startup; compare with the disabled state for how indexes are maintained
DATASET_PARSE_MAX_PROCESSAssume set to 10Maximum concurrency of the knowledge-base file parsing queue; compare with the documented default
AGENT_SANDBOX_OPENSANDBOX_VOLUME_NAME_PREFIXAssume the old VM_VOLUME_NAME_PREFIX value is carried overThe old value is carried over during upgrade; compare whether the new and old prefixes agree

Three common errors

  1. Treating a handover form that is pending review as a completed handover. The input is material text one. The fields compared are handover status and handover person signature. The observable result is that the status remains pending review and the signature is absent, so a completed handover cannot be determined.
  2. Treating a work order whose authorization boundary is view only as one that permits editing. The input is material text two. The field compared is the authorization boundary. The observable result shows that editing and deletion are not included, so no modification may be carried out on that basis.
  3. Treating a vector retrieval relevance score as a permission filter. The input is one retrieval request. The objects compared are the score and the authorization field. The observable result is that the score does not change the permission determination, and an unauthorized record is neither excluded nor included because of its score.

How to verify the setup

  1. Input material text one together with the draft sentence, and compare the value of the handover status field against what the draft sentence states. The source text shows pending review with no signature, and no completion record exists. The statement "handover is complete" is unsupported. A permission change needs its own separate record and is not inferred from the handover form.
  2. Input material text two together with one edit request, and compare the authorization boundary against the requested action. The request falls within authorization only when the boundary includes editing. The current boundary is view only, so the edit request lies outside the authorization boundary.
  3. Input one retrieval request together with the returned results, and compare the authorization identifier in the results against the requester's permissions. Check the material identifier and the requester's actual authorization scope. Where fields are insufficient, the item remains to be verified. If an empty array [] is returned, downstream design must handle it as an empty result; no inference follows that the retrieval rule necessarily returns empty.
