Multi-store management: access controls for operations handover

Review access controls for operations handover in Multi-store management. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Multi-store matrix management for a brand involves brand e-commerce leads, channel operations staff, and dealer e-commerce teams. The working documents are store authorization lists, price control tables, cross-territory complaint forms, and monthly sales reports. Sources include each platform's merchant back office, ERP channel pricing, brand anti-counterfeit systems, and dealer reports. The category-specific concern is cross-store authorization and price order, which differs from single-store advertising efficiency.

During an operations handover these materials carry both authorization state and business state at the same time. Access control and data isolation must separate the authorization scope recorded in a document from the operations that are actually executable in the system. A store authorization list records what a member may do for a store. A price control table records the approval state of a price change. A cross-territory complaint form records an item still to be verified. A monthly sales report records data that has already occurred. Retrieval relevance or a filled form does not constitute authorization execution.

Constraints at the access controls step

The following is a hypothetical drill sample, not a real record.

Material text one: a store authorization list signed by a brand e-commerce lead on 1 March 2025 states that "Channel Operator A holds price adjustment and inventory allocation permissions for Store A from 1 March 2025 to 30 June 2025."

Material text two: the same list states that "Channel Operator B holds read-only permission for Store B, same validity period."

Material text three: a cross-territory complaint form dated 15 March 2025 states that "the complaint target is Store C, the complaint item is pending verification, and the handling status is pending review."

Draft sentence to be assessed: "Channel Operator B can perform price adjustments for Store B, and this authorization has taken effect."

The constraints follow from these states. A pending review status does not show that an operation permission is absent, and it does not constitute authorization execution. A filled authorization list records a scope; the actual permission configuration inside the system, database writes, and external synchronization require their own downstream implementation. File-level permission behavior is documented for the collection resource type, and the knowledge base permission remains the threshold. The team administrator role does not bypass file-level permission; team-level management permission covers team resources such as member groups and organizations, while knowledge bases and files are still authenticated by their own collaborator configuration. The system root and the team owner are documented as having full permission over all files.

Configuration and implementation checks

The table lists documented settings or implementation checks tied to this page's sample. Numeric values are hypothetical starting points for this drill, with the reason for choosing them and the comparison method stated.

Configuration itemHypothetical starting point for this drillReason and comparison method
Team role checkChannel Operator A and Channel Operator BCompare actual member identity and team role; a role name does not replace a resource access test
Resource permission scopeItem by item against the store authorization listCheck whether read and operation permissions match the scope stated in the list
File-level permission switchKnowledge base detail page, file list menuWhen enabled, collection permission is authenticated per snapshot; when disabled, it inherits the knowledge base permission
Collaborator configuration semanticsFull overwriteThe submitted list is the final result and must contain the current creator
Retrieval recall authenticationBy current member identityA workflow with a preselected knowledge base that is not authenticated by member identity performs no file-level filtering
External system permissionVerified separatelyExternal interface authentication and FastGPT resource permission are each checked on their own

Three common errors

  1. Treating retrieval relevance as permission isolation. File classification, tags, and retrieval relevance do not constitute access authorization, and a similarity setting does not exclude unauthorized records. To check this, use an account with permission and an account without permission to view the same material, and compare the content actually visible to each.
  2. Treating a pending review status as granted authorization. In the sample, the cross-territory complaint form has a handling status of pending review. This does not show that an operation permission is absent, and it does not constitute authorization execution. To check this, compare the status recorded on the complaint form with the effective status claimed by the draft sentence.
  3. Treating a filled form as completed business verification. The store authorization list records an authorization scope. The actual permission configuration in the system, database writes, and external synchronization require downstream implementation. To check this, compare the fields stated in the list with the actual configuration result inside the system.

How to verify the setup

  1. Input material text one and material text two together with the draft sentence, then compare Channel Operator B's authorization scope with the price adjustment permission claimed by the draft sentence. Material text two states that Operator B holds read-only permission for Store B. The draft sentence claims that price adjustments can be performed. The same field carries mutually exclusive values, so the draft sentence is not supported by the supplied wording.
  2. Input material text three, then compare the complaint form's handling status with the authorization effectiveness claimed by the draft sentence. The form states pending review and states no clause about authorization taking effect. The claim that it has taken effect is not supported, and the evidence gap must remain open.
  3. Input material text one, then compare Channel Operator A's validity period of 1 March 2025 to 30 June 2025 with the handover request date. If the handover request date falls inside the validity period, check the authorization scope against the fields stated in the list. If it falls outside the validity period, record the item as pending verification and do not supply a renewal clause.

These checks use the hypothetical texts above. No test, deployment, approval, refund, or other business action is claimed to have occurred. Where a document field is not provided, the value remains unknown.
