Parcel labels and handoffs: conversation logs for operations handover

Review conversation logs for operations handover in Parcel labels and handoffs. Check input mappings, source evidence and failure handling before use.

What the documents look like

Parcel handoff happens at the point where packages leave the warehouse, and the central question is carrier scan responsibility. That characteristic shapes what conversation logs and audit records must cover. Two families of material sit side by side: business documents such as electronic waybills, handoff lists, pickup scan records and exception registrations, and conversation-side records produced through the chat interface. The business documents are carried by the courier system, WMS shipping and carrier statements; the conversation-side records are linked by identifiers such as chatId, dataId and responseChatItemId. When the two sides use different identity conventions, log reconciliation can mix sessions from different entry points into one count.

The chat interface documentation states that when chatId is a non-empty string, the session is taken automatically from the database and the last item in the messages array is used as the user question. It also states that responseChatItemId must be unique under the current chatId. With detail=true, intermediate values are returned, and in non-stream mode the result is stored in responseData; with detail=false, intermediate values are not returned. These fields determine what an audit can see and what it cannot.

Constraints at the conversation logs step

Retention of conversation logs does not equal completion of a compliance audit. Reconciliation, retention and compliance requirements are implemented by a complete business solution separately. Retrieval similarity reflects recall ordering only. It does not carry permission or entity isolation, and similarity or score cannot be used to decide that a session belongs to a particular outlet or carrier.

The following is a hypothetical drill sample, used only to explain the checking method on this page. It does not represent a real record or a business action that occurred.

Material text one (hypothetical handoff list excerpt): "On 10 March 2026, the shipping group handed 120 packages from batch A-0310 to carrier outlet N1. The handover signature field is empty; the remarks field reads 'awaiting outlet countersignature'."

Material text two (hypothetical pickup scan record excerpt): "On 10 March 2026, N1 scanned 96 packages from batch A-0310; the status field for the remaining 24 packages is empty."

Material text three (hypothetical exception registration excerpt): "On 11 March 2026, a difference of 24 packages was registered for A-0310. The cause field reads 'awaiting carrier confirmation'; the handling result field is empty."

Draft sentence to be judged: "Pickup handoff for this batch is complete and the difference is closed."

Configuration and implementation checks

The table below lists documented settings or implementation checks relevant to this feature and primary task, tied to the sample above. The values are hypothetical starting points for this exercise and must be compared against a counterpart value; they are not official defaults.

Configuration itemHypothetical starting pointComparison and explanation
chatIdAssume "audit-A-0310"Compare with the session identifier that business records associate with this batch, to confirm both point to the same conversation
responseChatItemIdAssume "resp-A-0310-01"Check uniqueness under this chatId, so the same response ID is not stored twice
detailAssume trueCompare with false to confirm whether responseData contains the required node run details
streamAssume falseCompare with true to confirm whether the result lands in responseData or in the event branch
sourceAssume apiCompare with page-origin sessions to confirm the returned range is limited to API-created sessions
loadCustomFeedbacksAssume trueCompare with false to confirm whether custom feedback is returned with the conversation list

Three common errors

  1. Treating a handoff list awaiting countersignature as a completed handoff. In the sample above, the signature field is empty and the remarks field reads "awaiting outlet countersignature", which is a pending state. The draft sentence "pickup handoff is complete" lacks a signature or equivalent confirmation evidence and is unsupported.
  2. Treating a partial scan as full pickup. The sample shows 96 packages scanned and 24 with an empty status field, and the exception registration has an empty handling result field. The draft sentence "the difference is closed" does not match the material and is unsupported.
  3. Treating retrieval similarity as a permission or entity filter. Similarity affects recall ordering only; score cannot be used to decide session ownership or authorization scope. Retrieval is not authorization, and a form collecting values is not the same as business verification or a database write.

How to verify the setup

  1. Input hypothetical material texts one through three and the draft sentence. Compare the draft sentence "pickup handoff is complete" against the empty signature field and the remark "awaiting outlet countersignature". Observable result: the sentence lacks evidence of completed handoff and must be recorded as unsupported, with the evidence gap preserved.
  2. Input the hypothetical scan record and exception registration. Compare "the difference is closed" against the empty handling result field and the cause field "awaiting carrier confirmation". Observable result: the sentence is unsupported and closure cannot be determined.
  3. Input the hypothetical chatId "audit-A-0310" and its correspondence to business batch A-0310. Compare whether the session identifier and the business record identifier share the same subject, the same period and the same field. Observable result: only a matching identifier allows further checking; if it does not match or is missing, record it as pending verification and do not run a cross-model retrieval comparison for missed recall.

All of the above is a paper checking design. It was not run, and no test, deployment or approval is claimed.
