Franchise filing management: workflow routing for operations handover

Review workflow routing for operations handover in Franchise filing management. Check input mappings, source evidence and failure handling before use.

What the documents look like

Franchise filing management works with legal disclosure and the commerce department system. It does not handle the engineering of a specific store location. The documents in daily use are franchise contracts, operations manuals, filing materials, and information disclosure documents. These materials move between departments during preparation, checking, and updating. Franchise legal staff, the commerce liaison, and headquarters operations need a clear view of who may submit, modify, or hand over a document at each stage.

Updates are irregular and may occur annually. This frequency means workflow routing cannot rely on high-frequency triggers. Interactive nodes carry a one-time collection and confirmation role. Material states include draft, pending submission, submitted, pending supplement, and pending handover. Each state maps to a different set of permitted roles.

Constraints at the workflow routing step

The form input node enters an interaction state when triggered and records the workflow state. After the user fills required information and submits, the node passes that information to later nodes. The user selection node also enters an interaction state when triggered; after the user makes a choice, the corresponding branch runs. Both nodes can be added repeatedly and trigger execution.

The central constraint for operations permission and handover management is that retrieval and form collection do not constitute authorized execution. A form can collect the material name, handover counterpart, and request date in a handover request. User selection can determine whether the handover direction is transfer or receipt. Filing submission, contract signing status changes, and outbound sending of disclosure documents each require a separate business interface or a later process.

Hypothetical paper test case

Source text for comparison: The franchise contract ledger shows that one franchisee contract has status "pending review," the review subject is headquarters franchise legal, and the material submission date is March 10, 2025. The operations manual transfer record states that "the electronic version of the operations manual has been sent to the commerce liaison's mailbox, and the receipt confirmation has not been returned." The filing material list includes the "two stores, one year" supporting document, marked "collected, pending verification."

Draft sentence to be assessed: "The contract has passed review, the operations manual handover is complete, and the filing materials can be submitted."

Assessment points: The ledger status is "pending review," and no field value of "passed review" appears. The operations manual has only a sending record, and the receipt confirmation has not been returned. The filing material is marked "pending verification." None of the three facts reaches the state described in the draft sentence.

Configuration and implementation checks

Configuration itemSetting or check relevant to this pageRelation to the sample
Form input nodeEnters an interaction state when triggered, collects required information, and passes it to later nodes after submissionCollects material name, handover counterpart, and request date in a handover request
User selection nodeRuns the corresponding branch after the user makes a choiceDetermines whether the handover direction is transfer or receipt
Interaction state checkThe interactive node records state; no separate global state-recording switch is setChecks whether the handover request is waiting for user submission
Output handoff checkCollected information is explicitly passed to later retrieval, decision, or interface nodesCompares each form output against the input of the later node
External action divisionOrder writes, document backfill, and external status synchronization require a separate business interface or later processFiling submission, contract status change, and disclosure sending are not completed automatically by this workflow

Three common errors

  1. Treating a handover request collected by a form as an authorized execution instruction. The form input node collects required information and passes it on; this does not mean approval passed or filing was submitted. In the sample, the draft sentence reads "pending review" as "passed review." The input is the ledger status field, the comparison object is the "passed review" value, and the observed result is that the field value does not match.
  2. Treating a sending record for the operations manual as a completed handover. Sending an email and receiving confirmation are two separate facts. In the sample, the transfer record shows only sending, with no returned confirmation, while the draft sentence states "handover is complete." The input is the transfer record text, the comparison object is whether a receipt confirmation exists, and the observed result is that the confirmation record is missing.
  3. Treating filing material marked "collected, pending verification" as ready for submission. Collecting material and passing verification are different stages. In the sample, the list is marked "pending verification," while the draft sentence states "can be submitted." The input is the list marker field, the comparison object is the "verification passed" state, and the observed result is that the marker remains pending verification.

How to verify the setup

  1. Input the contract ledger text from the hypothetical sample and the draft sentence "the contract has passed review." Compare the ledger status field value against "passed review." The observed result is that when the field value is "pending review," the draft sentence is not supported.
  2. Input the operations manual transfer record from the hypothetical sample and the draft sentence "the operations manual handover is complete." Compare whether a receipt confirmation exists in the record. The observed result is that when only a sending record exists and no receipt confirmation is present, the completed handover is not supported.
  3. Input the filing material list from the hypothetical sample and the draft sentence "the filing materials can be submitted." Compare the list marker against the "verification passed" state. The observed result is that when the marker is "pending verification," the submission condition is not met; record the evidence gap and wait for the verification result.
