What the documents look like
Fresh-food supplier claims pursue incoming-quality responsibility and do not address ordinary store-level shrinkage. That distinction shapes the material set for this page: quality exception forms, photo evidence, deduction notices and claim reconciliation statements. The underlying data comes from the quality inspection system, WMS receiving records, supplier contracts and financial reconciliation. Updates occur per batch and per month. Fixing evidence, calculating deductions and negotiating replacement or compensation are the most time-consuming steps, so operations permission and handover management need to record material status, operation requests and authorization boundaries separately.
The practical consequence is that a handover page cannot treat a claim record as a settled financial fact. A quality exception form may be complete while the deduction amount is still awaiting finance confirmation, and a reconciliation statement may be issued while the supplier has not confirmed it. Each of these states needs its own evidence trail.
Constraints at the interactive forms step
When the form input node is triggered, the conversation enters an interactive state, the workflow state is recorded, and execution waits until the interaction is completed. After the user submits the required information, the node collects the submitted form values and passes them to subsequent nodes. The node does not include a business database function of its own.
The user selection node also enters an interactive state and records the workflow state while waiting. When the user makes a selection, the node evaluates that selection and executes the corresponding branch. This node does not serve as a personnel directory or a business data selector.
Field validation, business approval, write-back and batch operations need to be implemented in an external system or in later nodes. Retrieval and form submission do not constitute authorization execution. A pending-review status does not demonstrate that an operation permission is absent.
Hypothetical paper exercise sample: the source material reads "Quality exception form QA-0417 records batch B240417, arrival date 17 April 2024, accepted quantity 120 boxes, inspection conclusion non-conforming; photo evidence IMG-0417 comprises 6 images; deduction notice DED-0417 proposed deduction amount pending finance confirmation; claim reconciliation statement REC-0417 in pending supplier confirmation status." The draft sentence to be assessed is "The deduction for this batch has been completed and the claim reconciliation has been confirmed." Comparing this sentence with the source: the deduction amount is pending finance confirmation and the reconciliation statement is in pending supplier confirmation status, so neither fact is supported.
Configuration and implementation checks
| Configuration item | Value or check method for this page | Basis and explanation |
|---|---|---|
| Form input node | Collects the quality exception form number and batch number | Official documentation states submitted values pass to later nodes |
| User selection node | Confirms or returns the deduction notice | Official documentation states the branch follows the user selection |
| Required-field check | List the fields this task cannot omit and test a missing entry | Official documentation does not specify a field list |
| Interactive state | Records workflow state and waits after triggering | Official documentation states execution continues after interaction |
| Downstream division of labour | Validation, approval and write-back implemented externally | The node has no built-in business database function |
| Hypothetical trial starting value | Form field count set to 5, because the sample contains 5 items | This is a hypothetical starting value for this exercise, compared with the sample field count |
Three common errors
- Treating retrieval or form submission as authorized execution. Input: claim reconciliation statement REC-0417 in pending supplier confirmation status. Comparison object: the status "confirmed." Observable result: the statement still shows pending confirmation, so the output must not state that the deduction has been completed.
- Describing the user selection node as a personnel directory or business data selector. Input: the confirmation branch for deduction notice DED-0417. Comparison object: the documented scope of the node. Observable result: the node only executes a branch and does not perform personnel authorization decisions.
- Treating a pending-review status as evidence that an operation permission is missing. Input: deduction notice DED-0417 awaiting finance confirmation. Comparison object: permission evidence. Observable result: the permission evidence is absent, so the conclusion remains pending verification.
How to verify the setup
- Input the source sentence "deduction notice DED-0417 proposed deduction amount pending finance confirmation" and compare it with the draft sentence "the deduction for this batch has been completed." The observable result should be that the draft sentence is unsupported, and the evidence gap must be recorded.
- Input the source sentence "claim reconciliation statement REC-0417 in pending supplier confirmation status" and compare it with the draft sentence "the claim reconciliation has been confirmed." The observable result should be that the draft sentence is unsupported, and no confirmation clause may be supplied.
- Input the form field list and compare it with the five specified fields in the sample. Observe whether a missing entry is blocked at submission and whether the completed form passes values onward as described by the node documentation. The expected behaviour is that the missing entry is blocked and the completed form passes values, without claiming that this has been tested.
