What the documents look like
Receiving and putaway handles the first physical-and-record confirmation that goods have entered the warehouse. Work in this category revolves around four document types: the purchase arrival note, the inbound acceptance note, the putaway task, and the discrepancy report. Data originates from the warehouse management system, ERP purchasing records, supplier delivery notes, and barcode scanning, and each arriving batch produces a set of materials that require reconciliation.
For citation tracing during handover, the object under review is the material itself: which document was cited, which version of it, and who loaded it in what state. Retrieval results and form entries do not constitute authorization. The warehouse is the operating subject; receivers and warehouse management system administrators are the typical roles involved. Errors here produce record-versus-physical mismatches, later picking mistakes, and supplier disputes.
Constraints at the citation tracing step
The knowledge base search node outputs citations as an array, and the length may be zero. An empty array does not mean the workflow has errored or terminated. Knowledge bases can be linked together only when they use the same vector model; libraries with different vector models cannot be associated jointly. During reconciliation, verify the identifier first and exclude those that do not match, rather than running a cross-model search to compare missed recalls.
Hybrid search merges multiple retrieval paths through RRF, which is a result-fusion process and is not written as a toggle. The minimum relevance score takes effect only under semantic retrieval or result reranking; it is a filter threshold and does not carry permission or entity isolation. The citation limit controls, in tokens, the maximum content cited per search, and it is unrelated to the thinking budget. The thinking budget must not be repurposed as the citation token limit.
Hypothetical drill sample: A purchase arrival note records supplier A, material code A-100, arrival quantity 200 units, arrival date March 5. The corresponding inbound acceptance note records 180 units actually received, a discrepancy of 20 units, and acceptance status pending review. The putaway task specifies location B-02, planned putaway of 180 units, and task status pending execution. A handover request is drafted as: "The acceptance note is confirmed; put away 200 units and archive." This drafted sentence contradicts the acceptance note's quantity field, and the acceptance note's status is pending review with no confirmation conclusion recorded.
Configuration and implementation checks
| Configuration or check item | Hypothetical starting point | Reconciliation method and reason |
|---|---|---|
| Linked knowledge base selection | Select the knowledge base holding the purchase arrival note, acceptance note, putaway task, and discrepancy report | Check whether the vector model identifiers match; exclude those that differ and do not link them jointly |
| Citation limit | Hypothetical starting point of 3000 tokens | This value is a trial starting point for observing citation count and source coverage; compare with a smaller value and adjust as needed |
| Minimum relevance score | Hypothetical starting point of 0.3 | Takes effect only under semantic retrieval or result reranking; compare citation count changes against a higher value |
| Search mode | Hybrid search | Code and material-number queries rely on full-text recall; natural-language questions rely on semantic recall |
| Citation output handling | Pass retrieval output to the answering step | Check each answer against the cited source text; when the array is empty, follow the downstream design |
| Manual reconciliation action | Compare material version and status before handover | Compare values in the same field and the status recorded in the material; record gaps where content is not stated |
Three common errors
- Treating retrieval results as authorization evidence. Error manifestation: inferring that the acceptance note is confirmed because the knowledge base retrieved it. The check input is the hypothetical material and the retrieval output; compare the retrieved content against the acceptance status recorded in the acceptance note, and observe whether the status field reads pending review while the drafted sentence claims confirmation.
- Reading a pending-review status as confirmed. Error manifestation: the drafted sentence says "the acceptance note is confirmed; put away 200 units." The check input is the acceptance note original text and the drafted sentence; compare the quantity fields 180 and 200 and the status fields pending review and confirmed, and observe whether the two positions are mutually exclusive in the same field.
- Linking knowledge bases across vector models. Error manifestation: selecting knowledge bases with different vector models together. The check input is each library's vector model identifier; compare whether the identifiers match, and observe whether non-matching ones are excluded and the actual observation recorded.
How to verify the setup
- Input the purchase arrival note, inbound acceptance note, putaway task, and drafted sentence from the hypothetical sample above. Compare the drafted sentence against the acceptance note in the quantity and status fields. Observe whether the quantity contradiction and the unsupported status are identified. The expected result is that the gap is recorded and remains pending verification.
- Input a clearly paper-based empty citation array []. Compare the downstream answering step's handling design. Observe whether the empty array passes through without error termination. The expected result is that the citation content is empty while the chain continues.
- Input two knowledge bases with different vector model identifiers and one linking request. Compare identifier consistency. Observe whether the same-vector-model condition is met. The expected result is that non-matching libraries are excluded and recorded, without running a cross-model search.
This page addresses only e-commerce warehouse receiving and putaway, operations permission and handover management, and citation source and tracing. It covers which materials, operations, and requests sit at what authorization state during handover, and it does not treat retrieval or form entry as authorized execution.
