E-commerce warehouse receiving: retrieval for operations handover

Review retrieval for operations handover in E-commerce warehouse receiving. Check sources, input boundaries, error handling and repeatable test evidence.

What the documents look like

E-commerce warehouse receiving covers the first physical-and-ledger confirmation that goods have entered the warehouse. Compared with in-warehouse picking and packing, its records follow four threads: arrival, inspection, putaway and discrepancy. The main data sources are WMS, ERP purchasing, supplier delivery notes and barcode scanning. The daily documents are purchase arrival orders, inbound acceptance records, putaway tasks and discrepancy reports.

In operations permission and handover management, these materials carry two roles at the same time. They record the actual state of goods and storage locations, and they record which authorization stage an operation request has reached. A retrieval step can return these materials as quoted content. A retrieval hit is not a permission grant, and it is not a completed handover. The category updates per batch and per day; that cadence does not change what the retrieval step can decide.

Constraints at the retrieval step

The knowledge base search node can associate one or more knowledge bases that use the same vector model. Knowledge bases built on different vector models cannot be associated together. The vector model identifier must be checked first, non-matching bases excluded, and the actual observation recorded. Search modes are compared per test question across semantic retrieval, full-text retrieval and hybrid retrieval; no single mode is presumed suitable for all materials. The reference limit is measured in tokens, so materials of different lengths are needed to test whether quoted content is complete. The minimum relevance value takes effect only under semantic retrieval or when result reranking is used, so relevant and irrelevant samples must be labelled before the value is adjusted. Question optimization performs reference resolution and question expansion; the original question and the optimized question are compared to check whether the subject was altered incorrectly.

Hypothetical paper exercise sample: a purchase arrival order reads "Supplier A delivered 200 rolls of Type A barcode labels on 10 March 2025; receiver B signed for them, pending quality inspection confirmation before transfer to putaway." An inbound acceptance record reads "Type A barcode labels: 200 rolls actually received, appearance intact, inspection conclusion not filled in." A draft sentence reads "Quality inspection passed, putaway approved and handed over for location allocation." The source text states only signed receipt and pending inspection. It does not state that inspection passed, and it does not state putaway authorization. Retrieval can return these two materials as quoted content, but "quality inspection passed" and "putaway approved" in the draft sentence are not supported by the source text and should be recorded as pending verification. If the search returns an empty quoted-content array, the downstream design must be able to carry an empty result; this does not establish that the material does not exist.

Configuration and implementation checks

Configuration itemHypothetical trial starting value for this exerciseReason and comparison method
Associated knowledge basesAssociate only receiving knowledge bases with a matching vector model identifierCheck the vector model identifier first, exclude non-matching bases, and do not run cross-model retrieval
Search modeRun semantic retrieval and full-text retrieval separately on the same test questionsCompare how the two modes recall arrival order numbers and natural-language questions
Reference limitSet 2000 tokens as a starting pointTest with arrival orders and acceptance records of different lengths to see whether quotes are truncated, then compare with a smaller value
Minimum relevanceSet 0.5 as a starting pointLabel relevant and irrelevant samples first, then compare filtering results at different thresholds
Question optimizationEnable first in multi-turn follow-up scenariosCompare the original question with the optimized question and check whether the subject was altered
Result rerankingEnable when candidate results are numerousCompare ordering before and after reranking; the rerank score can be used for filtering

These values are hypothetical trial starting points for this exercise, not official defaults. Among the configuration fields, associated knowledge bases, search mode, reference limit, minimum relevance, question optimization and result reranking are actual configurable fields. Checking the vector model identifier, labelling samples, and comparing questions before and after optimization are manual verification actions. Writing retrieval results into a business system or triggering putaway are business actions that require a separate system implementation.

Three common errors

  1. Treating a retrieval hit as a permission grant. In the hypothetical exercise sample, the search returns the purchase arrival order and the inbound acceptance record, and the operator concludes that putaway may be executed. The input is the retrieval result; the comparison object is whether the source text states putaway authorization; the observable result is that the source text states only pending inspection, and "putaway approved" in the draft sentence is not supported.
  2. Treating a pending review as missing permission. In the hypothetical exercise sample, the inspection conclusion field in the inbound acceptance record is not filled in, and the operator concludes that the receiver has no operating permission. The input is the unfilled inspection field; the comparison object is the permission grant record; the observable result is that no permission record was provided, and this should be recorded as pending verification.
  3. Associating knowledge bases across different vector models. In the hypothetical exercise sample, two knowledge bases have different vector model identifiers, and the operator still attempts joint association and expects missed recall. The input is the vector model identifier; the comparison object is the association condition; the observable result is that the identifiers do not match, so non-matching bases should be excluded and the actual observation recorded. No runtime result should be invented.

How to verify the setup

  1. For the purchase arrival order and inbound acceptance record in the hypothetical exercise sample, input the draft sentence "Quality inspection passed, putaway approved and handed over for location allocation," and compare whether the quoted content returned by retrieval contains the inspection conclusion field. The draft sentence is supported only if the source text explicitly states that inspection passed and explicitly states putaway authorization.
  2. For the same batch of materials in the hypothetical exercise sample, input the arrival order number separately under semantic retrieval and full-text retrieval, and compare the recall results of the two modes. The mode choice is reasonable only if the number-type question is matched under full-text retrieval and the natural-language question is matched under semantic retrieval.
  3. For empty-result handling in the hypothetical exercise sample, input an explicit paper-based empty quoted-content array and compare whether the downstream design carries it. The empty-result handling condition is met only if the downstream can carry the empty result and record the gap. It cannot be claimed that a fictional rule retrieval will necessarily return an empty array.

These verifications are paper-based checks and were not actually executed; they do not constitute a test, deployment or approval conclusion. Retrieval and relevance scores do not carry permission or entity isolation, and the same-vector-model requirement for associated knowledge bases does not extend to other external systems.
