Cross-border resale returns: conversation logs for operations handover

Review conversation logs for operations handover in Cross-border resale returns. Check input mappings, source evidence and failure handling before use.

What the documents look like

Return refurbishment handles reverse logistics and item condition. It runs on a different path from first-leg replenishment. Four document families sit at separate stages: return inspection sheets, refurbishment records, scrap sheets, and relisting checklists. One returned item moves between inspection, refurbishment, scrap, and resale, and each move involves different roles and release decisions. During handover among after-sales supervisors, overseas warehouse inspectors, and cross-border sellers, the parties need to confirm which chatId a given conversation log belongs to, which request it represents, and what authorization state that request holds. Data sources include the overseas warehouse WMS, the TikTok return center, Amazon return reports, and item inspection photos, updated daily or per batch. This page addresses only the conversation logs and audit step. It does not build return-grade determination or refurbishment process features.

Constraints at the conversation logs step

The chatId field of the conversation interface distinguishes sessions. When chatId is not passed, the context feature provided by FastGPT is not used, and context is built entirely from the passed messages. When a non-empty chatId is passed, the session is taken automatically from the database, the last element of the messages array is used as the user question, and the remaining messages are ignored. The caller must ensure chatId is unique and shorter than 250 characters. responseChatItemId must be unique under the current chatId. The detail field controls whether intermediate values are returned; in non-stream mode the result is stored in responseData. For the session list interface, source=api returns only sessions created through the API and does not return sessions from the page. Clearing application sessions clears only sessions created through the API Key. The existence of a log does not equal a completed compliance audit; reconciliation, retention, and compliance requirements are implemented separately by the full business solution.

Hypothetical drill sample: the source text has three sentences. Sentence one: "Return order RT-2024-0517, item is a folding table, inspection conclusion is refurbishable, inspector is overseas warehouse group A, inspection date 2024-05-17." Sentence two: "Refurbishment record FN-2024-0518, corresponds to return order RT-2024-0517, refurbishment status is pending packaging, operator is refurbishment group B." Sentence three: "Relisting checklist SL-2024-0520, corresponds to refurbishment record FN-2024-0518, listing status is pending review, submitter is after-sales group C." The handover request to be judged: "Please confirm that in the session corresponding to RT-2024-0517, refurbishment group B has obtained relisting authorization, and execute the listing directly." In this request, the refurbishment status is pending packaging, the listing status is pending review, the authorization boundary is not stated in the material, and executing the listing is not an operation the conversation logs and audit step can complete.

Configuration and implementation checks

The table below lists, around this sample, officially documented settings or implementation check items relevant to this feature and the primary task. The values are starting points for this hypothetical trial, used for comparison against target values, and do not represent official defaults.

Configuration itemHypothetical starting point for this trialCheck method and explanation
chatIdUse the chatId corresponding to sample session identifier RT-2024-0517Check that the length is under 250 and unique, and confirm that when the session is taken, the last message is used as the user question
responseChatItemIdSet to RT-2024-0517-01 for this requestCheck uniqueness under the current chatId and confirm this ID is stored in the database
detailSet to trueCheck whether responseData returns module status and the complete result, and read it accordingly in non-stream mode
sourceSet to apiWhen retrieving the session list, check that only API-created sessions are returned and page sessions are not mixed in
authProxyEnabled only when the team owner creates or edits the keyThe proxy identity still requires permissions on the target application and session; when not enabled, proxy effect is not presumed
Session clearing scopeNo numeric value setCheck that the clearing operation affects only API Key-created sessions and that sessions from other sources are outside the scope

Three common errors

  1. Treating pending review as granted authorization. In the sample, the listing status of SL-2024-0520 is pending review. If this is used to conclude that refurbishment group B has obtained authorization and to execute the listing, the input is a pending-review status, the comparison object is a credential showing authorization already in effect, and the observable result is that no record of effective authorization exists in the material, so the conclusion does not hold.
  2. Treating retrieval or a form as authorization execution. The sample request asks to execute the listing directly. The input is the conversation log and handover request, the comparison object is the business authorization and execution record, and the observable result is that the log interface does not return authorization fields and the execution action requires separate downstream system implementation.
  3. Mixing sessions with different chatIds. The input is session records from two different chatIds, the comparison object is the session identifier corresponding to the same return order, and the observable result is that when chatIds do not match, the records cannot be merged for calculation; the identifiers must be checked first and non-matching records excluded.

How to verify the setup

  1. Input the three sample source sentences and the handover request, compare the authorization claim in the request against the status fields stated in the material, and the observable result is that the material does not state effective authorization, so the judgment is pending verification and no authorized or executed output is produced.
  2. Input chatId and responseChatItemId, compare against the length limit and uniqueness requirements, and the observable result is that the condition is met when the length is under 250 and the value is unique under the current chatId; otherwise record a non-conformance item.
  3. Input a request with detail=true, compare whether responseData and module status fields are present in the return, and the observable result is that when present, the fields can be checked; when absent, record that they were not returned and do not presume the log was fully retained.
