Cross-border resale returns: retrieval for operations handover

Review retrieval for operations handover in Cross-border resale returns. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Cross-border return refurbishment and resale handles reverse logistics and item condition. The working materials are return inspection sheets, refurbishment records, scrap declarations and relisting lists. This chain differs from overseas-warehouse replenishment management, which covers inbound replenishment rather than return handling. Data sources include the overseas warehouse WMS, the TikTok return center, Amazon return reports and item inspection photos. Typical parties are the cross-border seller, the overseas warehouse inspector and the after-sales supervisor. At the retrieval step, one returned item may sit at inspection-pending, refurbishment-in-progress, scrap-confirmed or relisted stage across different documents, while stage names, responsible roles and authorization status are spread across several materials. Retrieval output is quoted content only; that content does not itself constitute operating authority, and it does not mean a handover has been completed.

Constraints at the retrieval step

The knowledge base search node can link one or more knowledge bases that use the same vector model. Search modes are semantic retrieval, full-text retrieval and hybrid retrieval. Hybrid retrieval merges multiple result paths through RRF. ReRank performs a second ordering, and the minimum relevance value takes effect only under semantic retrieval or when result re-ranking is used. The quote limit is measured in tokens. These parameters decide whether candidate content can be recalled; they do not decide whether a return record is entitled to move to the next stage. Requiring the same vector model for linked knowledge bases is a technical linking condition. It cannot be extended into a judgement about business entities, authorization scope or isolation of external systems.

Hypothetical paper exercise sample: an overseas warehouse inspection team submits a handover request. The attached material text reads: "Return inspection sheet Q-0715: subject is the overseas warehouse inspection team, object is returned goods batch R-2024-0715, status is inspection complete pending decision; Refurbishment record F-0715: same batch, status is pending packaging; Scrap declaration S-0715: same batch, status is unsigned." The draft judgement sentence is: "This batch has completed scrap confirmation and may proceed to relisting." This page only checks paper materials.

Configuration and implementation checks

Configuration or check itemHypothetical starting point for this exerciseReason and comparison method
Linked knowledge basesLink only the inspection sheet base and the refurbishment record base, both with the same vector modelFirst check whether the vector model identifiers match; exclude any that do not match, and do not run a cross-model retrieval comparison
Search modeHybrid retrievalA batch number is an exact query; use semantic and full-text together, then check whether recalled content covers R-2024-0715
Quote limitHypothetical starting value 2000 tokensThis value is a paper-exercise starting point; compare inspection and refurbishment materials of different lengths to see whether quoted content is truncated
Minimum relevanceHypothetical starting value 0.3Label related and unrelated samples first, then compare whether unrelated fragments decrease after the threshold is adjusted
Question optimizationEnabledUsed for coreference resolution and question expansion; check whether the optimized question still points to the same batch and the same field
Result re-rankingEnabled according to settingsRe-ranking requires a model; compare how re-ranking scores and semantic scores order candidates differently

Three common errors

  1. Treating a retrieval hit as completed authorization. In the sample, scrap declaration S-0715 has status unsigned. Retrieving that document shows only that the material exists. An unsigned declaration does not constitute scrap confirmation and does not constitute permission to relist.
  2. Merging different fields into one judgement. The inspection sheet status is inspection complete pending decision, and the refurbishment record status is pending packaging. These belong to different fields from scrap confirmation. An authorization status that is not stated should be recorded as pending verification.
  3. Extending a technical linking condition into business isolation. Linking knowledge bases requires the same vector model. That condition does not exclude unrelated business records, and a similarity score does not carry permission or entity filtering functions.

How to verify the setup

  1. Input the three material texts and the draft judgement sentence from the hypothetical sample. Compare the claim "has completed scrap confirmation" in the draft sentence against the actual status "unsigned" in scrap declaration S-0715. The observed result should be that the judgement is not supported, and the authorization evidence gap is retained.
  2. Input batch number R-2024-0715 and run hybrid retrieval. Compare whether the recalled content covers the inspection sheet, the refurbishment record and the scrap declaration together. Observe whether the quoted content shows mutually exclusive values for the same batch and the same field. When they do not appear, record this as not supported rather than as a contradiction.
  3. Input an explicit paper input of an empty array to check the downstream handling design. Compare whether the output path still runs when the quote length is 0. This check does not claim that a fictional rule search must return an empty result, and it does not claim a first hit or full recall.
