What the documents look like
Store counts and loss control work from the gap between book stock and physical stock. The main data comes from POS inventory, WMS, surveillance systems and the store count standard. The working documents are count sheets, variance analysis, damage write-off approvals and surveillance retrieval records. The typical roles are the loss prevention department, the store warehouse keeper and the finance auditor. A mistake here produces distorted inventory, inflated gross margin and employee fraud. Those facts shape this page: conversation logs and audit records support handover evidence and permission checks. A log entry is not a count conclusion, and it does not replace a write-off approval.
Handover in this category moves physical custody, keys, count sheets and retrieval records between people. The log has to show who asked, which session carried the request, and what state each document was in when the shift changed. A record that a question was asked is not a record that an approval was granted.
Constraints at the conversation logs step
Conversation identity needs the chatId to match the target conversation against the business record. Sessions from different entry points are not pooled. When run detail is needed, set detail according to the official contract and inspect responseData. Log fields and the fields actually returned by the interface are checked item by item; business data that was not returned is not assumed to have been retained in full. Identity fields in test mode can differ, so input, history and returned content are checked separately. Reconciliation, retention and compliance requirements belong to the full business solution. The presence of a log does not complete a compliance audit.
Hypothetical drill sample: a store loss prevention department submits a handover request on a count day. The source material has three sentences. First, "Variance analysis sheet for the store-closing count of 31 March 2025 (draft), prepared by the store warehouse keeper, status pending review." Second, "Damage write-off approval form number BL-2025-0312, covering 12 SKU units, approval column empty." Third, "The surveillance retrieval register shows retrieval activity on 31 March between 22:10 and 22:40; the signature field for the retrieving person is blank." The draft sentence to be judged is: "The variance analysis above has been approved, the write-off has been executed, and the surveillance retrieval has been authorized." That sentence treats a pending status, an empty approval column and a blank signature as approved, executed and authorized. It writes unfinished facts as finished facts.
Configuration and implementation checks
The table below covers this sample and lists documented settings or implementation checks relevant to this feature and the primary task. The values are starting points for this hypothetical drill, with the reason for the choice and the comparison object.
| Configuration item | Hypothetical starting point | Reason and comparison method |
|---|---|---|
| detail | Set to true | responseData is needed to check run detail; compare against a detail=false return to see whether the field appears |
| chatId | Use the same chatId as the sample | Used to check that the target conversation and the business record belong to one handover; compare separately against sessions under a different chatId |
| responseChatItemId | A unique value within the sample | The official text requires uniqueness under the same chatId; compare against existing values, and a duplicate does not conform |
| source | Set to api | Retrieves sessions created through the API; check separately from page sessions and do not pool them |
| loadCustomFeedbacks | Set to true | Used to read custom feedback; compare against a false return to see whether feedback fields appear |
| pageSize | Hypothetical drill starting point 10 | Used to page through records; compare against total to see whether records remain unread |
Three common errors
- Treating a pending review status as an approved variance analysis. The input is the sample variance analysis sheet with "status pending review". The comparison object is whether the approval column holds a signed record. The observable result is that the approval column is still empty, so the draft sentence "has been approved" is not supported.
- Treating an empty approval column as an executed write-off. The input is form BL-2025-0312 with an empty approval column. The comparison object is an execution record or completion marker. The observable result is that the approval column has no content, so "the write-off has been executed" is not supported.
- Treating a blank signature as an authorized retrieval. The input is the retrieval register with a blank signature field. The comparison object is an authorization or signature record. The observable result is that the signature field has no content, so "has been authorized" is not supported.
How to verify the setup
- Input a request using the same chatId as the sample with detail=true. Compare whether responseData and its fields appear in the return. The observable result is that the fields appear and correspond to the business record, in which case run detail can be checked. If a field is missing, record the gap and do not assume full retention.
- Input the sample variance analysis sheet with "status pending review". Compare whether the approval column holds a signed record. The observable result is that the approval column is empty, so the draft sentence "has been approved" does not hold. If a signed record appears, check further whether the signing party and date fall in the same period.
- Input form BL-2025-0312 and the retrieval register. Compare whether the approval column and the signature field hold content. The observable result is that both are blank, so "the write-off has been executed" and "the retrieval has been authorized" are not supported. If content appears, check whether it is the same party, the same period and the same field; evidence from a related stage alone remains pending verification.
