Tmall flagship operations: conversation logs for after-sales questions

Review conversation logs for after-sales questions in Tmall flagship operations. Check input mappings, source evidence and failure handling before use.

What the documents look like

Tmall flagship store daily operations for order fulfilment and after-sales answers draw on four document types: product listing pages, brand authorisation letters, delivery commitment records and after-sales work orders. Compared with JD POP stores, Tmall flagship stores place more weight on brand authorisation, flagship store identity and Tmall points compensation rules. That emphasis means a conversation log needs a traceable correspondence between the authorisation scope, the delivery commitment and the after-sales work order. Data sources named in the brief are the Tmall merchant backend, the Tmall rules centre, ERP order tables and customer service chat records. Update frequency is daily and per order.

A conversation log and audit step sits inside order fulfilment and after-sales answers. Its job is to check conversation identity, run detail, field retention and authorisation status separately. The existence of a log does not mean a compliance audit is complete; reconciliation, retention and compliance requirements belong to a full business plan handled elsewhere. The brief does not describe batch synchronisation, full synchronisation, real-time or transaction-triggered mechanisms, so this page does not assume them.

Constraints at the conversation logs step

Check the target conversation against the business record using chatId, and do not merge conversations from different entry points into one count. When conversation interface run detail is needed, set detail according to the official contract and inspect responseData. Compare the log against the fields the interface actually returns; business data that is not returned cannot be treated as fully retained. Identity fields in test mode may differ, so check the input, the history and the returned content separately. Semantic recall and relevance scores do not perform permission or entity isolation. The same-vector-model requirement for a retrieval library does not extend to a business registration site or any other external system.

Hypothetical paper exercise sample. A Tmall flagship store customer service agent handles one order on 10 March 2025. The after-sales work order text is: "Order A1001, buyer applies for return, reason is wrong size, work order status is pending review." The brand authorisation letter text is: "Authorisation period 1 January 2025 to 31 December 2025, authorisation scope includes Tmall flagship store." The delivery commitment record text is: "This order is committed to dispatch within 48 hours, actual dispatch time 9 March 2025." A draft sentence to be judged is: "The store has agreed to this return application and completed the refund." Judgement condition: the work order status is pending review and does not state that a refund was agreed; the draft sentence does not match the source status and is unsupported. Whether a refund was executed and when remain gaps, because the brief does not describe them.

Configuration and implementation checks

The table below lists documented settings or implementation checks relevant to this feature and the main task, using the sample above. Any number shown is a starting point for this hypothetical exercise and states what it is compared against.

Check itemHypothetical starting point or settingComparison method
chatId uniquenessSample uses chatId=test-20250310-01Compare against existing records under the same chatId to confirm no duplicate
detail returnSet to true, inspect responseDataCompare against the official detail=true response structure to confirm the field exists
Run detail fieldsCheck moduleType, runningTime, queryCompare field names one by one against the official response example
Feedback fieldsCheck userGoodFeedback, userBadFeedbackCompare against customFeedbacks returned by the interface
Conversation sourcesource=apiCompare against page conversation sources to confirm they are not merged
Authorisation statusBrand authorisation period covers 10 March 2025Compare against the work order date to confirm it falls inside the valid range

Three common errors

  1. Treating retrieval or a form as authorisation execution. Input: work order status is pending review. Comparison: the draft sentence says a refund was agreed. Observable result: the status field is pending review, the draft sentence has no supporting basis, and the sentence is unsupported.
  2. Merging conversations from different entry points. Input: source=api and page conversations under the same appId. Comparison: whether the chatId is the same. Observable result: the sources differ and cannot be combined into one conversation record.
  3. Treating the existence of a log as a completed compliance audit. Input: the interface returned responseData. Comparison: whether the business plan includes reconciliation, retention and compliance requirements. Observable result: returned interface fields and a compliance audit are two separate matters, and the parts not stated remain gaps.

How to verify the setup

  1. Input the sample work order text and the draft sentence "The store has agreed to this return application and completed the refund." Compare the work order status field against the wording of the draft sentence. Observable result: when the status is pending review, the draft sentence does not match the source and is judged unsupported.
  2. Input the sample brand authorisation period and the work order date of 10 March 2025. Compare whether the date falls inside the authorisation period. Observable result: it falls between 1 January 2025 and 31 December 2025 and the scope includes the Tmall flagship store, so the condition is met; if the date falls outside that range, record the gap.
  3. Input the sample delivery commitment record and the order's actual dispatch time. Compare the 48-hour commitment against the actual dispatch time. Observable result: when the actual dispatch time falls inside the commitment range, record consistency; if it falls outside, record the difference and keep it pending verification, without assuming compensation was executed.

These judgements apply only to the hypothetical paper exercise sample. No test, approval or execution is claimed. Missing evidence remains missing.
