Customer-service knowledge: conversation logs for after-sales questions

Review conversation logs for after-sales questions in Customer-service knowledge. Check input mappings, source evidence and failure handling before use.

What the documents look like

Customer-service knowledge base maintenance is preparatory question-and-answer material organisation. It does not approve refunds directly. The documents handled in this category are FAQ entries, script templates, product parameter tables and escalation tickets. The conversation logs and audit step aligns session records from the customer-service system, product detail page information, after-sales question statistics and quality-inspection spot-check results against one comparison standard. Under order fulfilment and after-sales answering, knowledge base operations staff and customer-service supervisors confirm whether the source material behind a reply, the session identifier and the run detail are consistent. Material update frequency is weekly or monthly. This page does not rely on batch synchronisation or real-time trigger mechanisms. A log existing is not the same as completing a compliance audit; reconciliation, retention and compliance requirements are carried out separately by a complete business plan.

Two category facts shape this step. First, knowledge base maintenance is upstream material organisation, so the conversation logs and audit step examines whether a proposed reply matches its source material rather than whether a refund was granted. Second, the material sources are the customer-service system, product detail pages, after-sales question statistics and quality-inspection spot-checks, so identity checks must tie a target conversation to a business record without mixing sessions from different entry points.

Constraints at the conversation logs step

Conversation identity requires checking the target conversation and business record together through chatId. Sessions from different entry points cannot be counted together. When run detail from the chat interface is needed, set detail according to the official contract and inspect responseData. When checking log fields against fields actually returned by the interface, business data that was not returned cannot be presumed to have been fully retained. Identity fields in test mode may differ; check input, history and returned content separately. Retrieval is an information acquisition process and does not carry out authorisation judgement; a similarity value or score is not a permission filter.

Hypothetical paper exercise sample: on 10 March 2025 a knowledge base operator prepares one FAQ reply. The source material text reads "Order A entered the awaiting-shipment state on 1 March 2025; the after-sales application record for this order shows as not submitted." The proposed handover request reads "Order A has completed the refund and the ticket can be closed." This request differs from the source material on the refund status field. The material does not state a completed refund fact, so the request is unsupported and cannot serve as a basis for closing the ticket. This sample is used only for paper comparison and makes no claim that it was actually submitted or executed.

Configuration and implementation checks

The table below lists official documented settings or implementation checks relevant to this feature and primary task, organised around the sample above. The values are starting points for this hypothetical exercise, with the reason for choosing each and the comparison object.

Configuration itemHypothetical starting point or check actionReason and comparison object
chatIdPaper record "chat-20250310-01"Confirms the target session is unique, compared with other chatIds under the same app
dataIdPaper record "data-20250310-01"Locates a single conversation, compared with other dataIds under the same chatId
detailHypothetically set to trueNeeded to obtain responseData per the official contract, compared with false where only choices are returned
loadCustomFeedbacksHypothetically set to trueReads custom feedback, compared with the content returned when the parameter is not passed
sourceHypothetically set to apiRetrieves sessions created through the API, compared with page-origin sessions
responseChatItemIdPaper record "resp-20250310-01"Confirms uniqueness under the current chatId, compared with other response IDs under the same chatId

Three common errors

  1. Treating a retrieval similarity value as a permission or entity filter. A score indicates only the degree of text relevance and does not exclude unrelated business records or unauthorised records. To check, submit the same query against libraries with different datasetId values, observe whether cross-library entries are still returned, and record the datasetId values actually returned.
  2. Writing a pending or unsubmitted status as a completed fact. In the sample, "the after-sales application record shows as not submitted" does not support "the refund has been completed." To check, compare the proposed sentence against the source material word by word on the status field; only when the same subject, the same period and the same field hold clearly mutually exclusive values is the sentence judged contradictory.
  3. Treating form collection at a plugin or interactive node as business execution. A form collects values only; business verification, approval, database writes and external synchronisation require downstream implementation. To check, submit form values and observe the returned interactive structure, confirming that it contains no approval or write-result field.

How to verify the setup

  1. Input the sample source material text and the proposed sentence, and compare the "refund status" field. The material reads "not submitted" and the draft reads "completed"; the same subject, the same period and the same field hold mutually exclusive values, so the draft sentence is judged contradictory and does not satisfy the condition.
  2. Input chatId "chat-20250310-01" and a different chatId, request getPaginationRecords for each, and compare whether the dataId values in the returned list belong to their respective sessions. If the two chatIds return the same dataId, the identity check does not satisfy the condition.
  3. Input detail=true and detail=false in two requests, and compare whether responseData appears in the returned structure. If responseData is missing when detail=true, record this as not observed and do not presume that run detail was retained. An empty-result handover can use the explicit paper input [] to check the downstream design, without claiming that a fabricated rule search necessarily returns [].
