Trade and FX administration: citation tracing for copy drafting

Review citation tracing for copy drafting in Trade and FX administration. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Trade and FX administration material is organized around the correspondence between foreign-exchange funds and the authenticity of the underlying trade background. The working documents are receipt vouchers for foreign exchange, trade contracts, invoices, and foreign-exchange business registration records. Compared with letter-of-credit document examination, this category tracks how funds and trade background line up, and does not review a full set of letter-of-credit documents. Material updates occur per transaction and monthly. When drafting product and marketing copy, any cited source must have a matching statement inside these materials. A promotional sentence that touches receipt status, contractual relationship, or registration progress has to be checked sentence by sentence against the original wording for subject, object, and effective scope.

Two features of this material shape the drafting task. First, the contract, the receipt voucher, and the registration record are separate documents that cover different facts, so a single sentence can mix supported and unsupported claims. Second, registration status and fund receipt status are recorded as states, and a recorded state is not the same as a completed review. Copy that compresses several facts into one claim can outrun what the materials state.

Constraints at the citation tracing step

The knowledge base search node selects one or more knowledge bases that share the same vector model and outputs an array of cited content whose length may be zero. When nothing is found, the output path still runs. The citation limit is controlled in tokens. The minimum relevance value takes effect only under semantic retrieval or result reranking, and it is a filter threshold. Whether a retrieved result is adopted still requires checking each item against the original material.

Hypothetical exercise sample: Material text one reads "Party A: an export enterprise of machinery parts in East China; Party B: a procurement buyer in Southeast Asia; contract number HX-2024-031; signing date 12 March 2024; two batches agreed, with telegraphic transfer collection within 30 days after the first batch delivery." Material text two reads "The receipt voucher shows receipt of the first batch payment on 18 April 2024, the payer name matches Party B in the contract, and the amount matches the first batch invoice amount." Material text three reads "The foreign-exchange business registration record states that this receipt corresponds to contract number HX-2024-031, and the registration status is registered." The draft sentence to be judged is "This enterprise has completed the first batch delivery with the Southeast Asian buyer and received all payment, and the receipt registration has been concluded." This sentence touches four facts: signing, delivery, receipt, and registration. The materials cover signing, first batch receipt, and registration status. Delivery completion and full payment do not appear in the materials.

Configuration and implementation checks

The table below is tied to the sample above and lists documented settings or implementation checks relevant to this feature and the drafting task. The numeric value is a hypothetical starting point for this exercise, used for comparison against the sample materials, and is not an official default.

Configuration or check itemHypothetical starting point for this exerciseReason and comparison object
Associated knowledge baseSelect the knowledge base holding contract, voucher, and registration records under the same vector modelJoint association requires the same vector model; check the identifier first and exclude non-matching ones
Search modeHybrid retrievalExact fields such as contract number and amount need full-text recall, while background description needs semantic recall
Citation limitSet to a token amount covering the three material textsCompare with the total length of the sample materials so the original text can enter the citation
Minimum relevanceHypothetical starting point 0.3 for this exerciseCompare with the semantic distance between the sample draft sentence and the original text; acts only as a filter threshold
Result rerankingEnabled according to the settingSecondary ordering when candidates are numerous; the rerank score is used for filtering
Citation handoffCheck whether the retrieval output is passed to the answering stepCompare each answer item against the cited original text; answer fluency does not replace source evidence

Three common errors

  1. Treating retrieval similarity as a permission or entity filter. The minimum relevance value only filters low-relevance results; it does not distinguish enterprise subjects and does not exclude unauthorized records. Check by entering the sample draft sentence, comparing whether the returned citations include contracts or vouchers of other subjects, and observing whether material from a subject outside this sample is mixed in.
  2. Writing a pending registration as concluded. Material text three states only that the registration status is registered and does not say review is complete. Check by entering the draft sentence "the receipt registration has been concluded," comparing it with the status field in the original text, and observing whether a "concluded" expression exists; when the original text does not state it, record it as pending verification.
  3. Writing the first batch receipt as full payment. Material text two covers only the first batch payment, while the draft sentence says "all payment." Check by entering the draft sentence, comparing the voucher amount with the batch agreed in the contract, and observing whether the amount scope exceeds the first batch; the excess portion keeps the evidence gap.

How to verify the setup

  1. Enter the three sample material texts and the draft sentence, then compare the four facts of signing, delivery, receipt, and registration in the draft sentence against the coverage of the original texts. The expected observation: signing, first batch receipt, and registration status have corresponding statements in the original texts, while delivery completion and full payment have no corresponding statement, so they are judged unsupported.
  2. Enter the sample draft sentence and compare whether the citations returned by retrieval come only from the knowledge base under the same vector model. The expected observation: the citation source identifiers are consistent. If a knowledge base under a different vector model appears, record it as not jointly associable, exclude it, and re-check; do not run a cross-model retrieval comparison.
  3. Enter a paper array [] as the retrieval output and check the downstream handoff design. The expected observation: the output path runs and the answering step receives an empty citation. Do not claim that a fictional rule makes retrieval always return an empty array; only check whether the empty-result handoff is handled as designed.
