What the documents look like
Closure settlement handles exit and asset recovery, the reverse direction of site selection and store opening. The main data comes from POS inventory, the fixed-asset system, lease contracts and financial ledgers. Everyday documents include closure approvals, inventory clearance forms, lease termination agreements and asset count sheets. These materials are held separately by chain operations, finance, legal and the landlord contact. Updates are irregular and per store. When product and marketing copy is drafted, the quantity, status, deadline and party named in the copy must have a matching passage in these materials. When document versions disagree, citation tracing first checks the selected knowledge base and the document version; only knowledge bases sharing the same vector model can be associated together.
The practical consequence for copy drafting is that every claim in a clearance promotion sentence is a citation question. A sentence about remaining stock, lease status or equipment disposal is supportable only when a named source document states the same party, the same object, the same field and the same effective period. Material held by four different functions, revised on no fixed schedule, makes version checking part of the drafting step rather than a later review.
Constraints at the citation tracing step
Hypothetical drill sample: an operations staff member at a chain brand drafts clearance copy for one store awaiting closure. Three source sentences are available for checking. The first comes from the inventory clearance form: "As of 31 March 2025, this store has 420 units of inventory pending clearance, of which 310 units are sellable goods." The second comes from the lease termination agreement: "The parties signed the termination agreement on 10 April 2025, and the lease relationship terminates on 30 April 2025." The third comes from the asset count sheet: "Count date 15 April 2025, counter Li, two freezers with status pending disposal." One draft sentence to be judged reads: "This store has terminated its lease, all inventory is being cleared, and the two freezers have been disposed of."
Checking proceeds sentence by sentence against the three source passages. The lease termination date is 30 April 2025, so "has terminated its lease" does not hold before that date. The clearance form states only 310 sellable units, so "all inventory is being cleared" exceeds the source scope. The count sheet states the freezer status as pending disposal, so "have been disposed of" does not match the source status value.
Retrieval output is a citation array, and its length may be zero. An empty array does not mean the workflow terminated with an error. The citation content is passed to the answering step, where each answer is checked against the cited source text. The minimum relevance value is a filter threshold and does not perform permission or entity isolation. Full-text search suits numbers, models and proper nouns; semantic search suits natural-language questions. Hybrid search fuses multiple result paths through RRF, which is a fusion process rather than a switch. Image retrieval requires image input and model capability. Reranking requires a rerank model and must be enabled in settings.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this drill | Reason and comparison method |
|---|---|---|
| Associated knowledge bases | Closure settlement materials base selected | Check the base identifier and vector model identifier; only the same vector model can be associated together |
| Search mode | Hybrid search | Copy involves precise fields such as dates, quantities and statuses; compare with full-text search results |
| Citation limit | Set a starting value in tokens for this drill | Compare with the combined length of the clearance form, termination agreement and count sheet; observe whether citations are complete |
| Minimum relevance | Hypothetical starting value 0.5 for this drill | Compare with semantic or rerank scores; observe whether low-relevance passages are filtered out |
| Question optimization | Off for this drill | Compare with results when enabled; observe whether coreference removal changes recalled content |
| Citation handoff | Retrieval output passed to the answering step | Check each answer against the cited source text; confirm the citation array length may be zero |
Three common errors
- Writing "all inventory is being cleared" where the clearance form states "310 units are sellable goods." Input is the clearance form source text and the draft sentence; the compared field is the sellable quantity against the all-inventory range; the observable result is that the draft sentence's quantity range exceeds the source. The check compares the quantity word and the scope word character by character.
- Writing "has terminated its lease" where the termination agreement states "the lease relationship terminates on 30 April 2025." Input is the termination agreement source text and the draft sentence; the compared fields are the termination date and the draft date; the observable result is that the draft sentence does not hold before 30 April. The check compares the date and the status word.
- Writing "the two freezers have been disposed of" where the count sheet states "two freezers with status pending disposal." Input is the count sheet source text and the draft sentence; the compared field is the status value; the observable result is that pending disposal and disposed of are mutually exclusive. The check compares the status field against the source text.
How to verify the setup
- Input the clearance form source text "As of 31 March 2025, this store has 420 units of inventory pending clearance, of which 310 units are sellable goods" together with the draft sentence "all inventory is being cleared." Compare the sellable quantity against the all-inventory range. The condition is met only when the draft sentence's quantity range does not exceed the source. Expected: the draft sentence must match the source quantity range.
- Input the termination agreement source text "the lease relationship terminates on 30 April 2025" together with the draft sentence "has terminated its lease." Compare the termination date against the draft date. The condition is met only when the draft date falls after the termination date. Expected: the draft sentence must match the source date.
- Input the count sheet source text "two freezers with status pending disposal" together with the draft sentence "the two freezers have been disposed of." Compare the status field value. The condition is met only when the draft sentence status matches the source status. Expected: the draft sentence must match the source status. All three items are checked on paper samples, and no test is claimed to have been run.
