E-commerce warehouse receiving: context limits for document comparison

Review context limits for document comparison in E-commerce warehouse receiving. Check input mappings, source evidence and failure handling before use.

What the documents look like

Receiving and putaway handles the first physical-and-book confirmation when goods enter a warehouse. Data arrives from the WMS, ERP purchasing, supplier delivery notes, and barcode scanning. The working materials are the purchase arrival note, the receiving inspection sheet, the putaway task, and the discrepancy report. Updates follow each batch and each day.

For contract and transaction material comparison, the purchase arrival note, inspection sheet, putaway task, and discrepancy report can all enter the same context. The content length a single request can reference is bounded by the model maximum context. Confirming arrival quantity, printing barcodes, and assigning storage locations are the most time-consuming steps. The subject, object, status, and validity scope recorded in these materials directly affect the comparison conclusion.

Constraints at the context limits step

The context window must be checked against actual model capability. The reply limit constrains output length only and cannot be treated as the full context window. The knowledge base reference limit is measured in tokens; an overly long single passage is trimmed, so whether the subject, object, and status survive must be checked against the question sample. Memory turns bring in more content, and the same question produces different input with empty history versus with history, so the two conditions are checked separately. When a fixed reply format is used, field completeness and parse success are verified on their own.

Retrieval only recalls content. A similarity score does not carry permission or entity isolation. Libraries built on different vector models cannot be jointly associated; the identifier is checked first and non-matching libraries are excluded. RRF is the fusion process for mixed results, not a switch that is turned on.

Hypothetical paper exercise sample. The purchase arrival note reads: "Supplier A delivered 200 units of model A-100 on 10 March 2025, purchase order PO-2025-0310, receiving warehouse East China No. 1." The receiving inspection sheet reads: "On 10 March 2025, A-100 was inspected with 198 units actually received, 2 units short, signed by the inspector." The draft sentence to be judged reads: "This batch of A-100 has completed receiving and putaway at 200 units." The comparison holds subject, period, and field constant: the arrival note quantity of 200 and the inspection sheet actual receipt of 198 are different values in the same field. The draft sentence conflicts with the inspection sheet, and no putaway task completion record has been provided, so the sentence is unsupported.

Configuration and implementation checks

Configuration itemValue or check for this pageRelation to the sample
AI model maximum contextCheck against actual model capability; the reply limit is not the context windowConfirm the arrival note and inspection sheet fit together
Knowledge base reference limitMeasured in tokens; hypothetical starting point 2000 for this exercise, compared with single-passage lengthCheck whether the two materials are trimmed
Minimum relevanceTakes effect only in semantic retrieval or with result reranking; hypothetical starting point 0.5 for this exerciseFilters low-relevance fragments, carries no permission isolation
Reply formatWith json_schema, verify field completeness and parse successCarries structured output of quantity and status fields
Memory turnsCompare the same question under empty history and with historyRule out comparison drift caused by context difference
Thinking configurationThinking budget and reference token limit are different parametersThinking budget is not moved to serve as reference limit

The reference limit starting point of 2000 tokens is chosen for this exercise to sit near the combined length of the two sample materials, and it is compared against the actual combined token count of those materials. The minimum relevance starting point of 0.5 is chosen for this exercise to sit at the midpoint of the documented 0-1 range, and it is compared against the rerank score of returned fragments. Neither value is an official default.

Three common errors

  1. Treating the reply limit as the full context window. Input is the arrival note and inspection sheet; compare the model maximum context with the combined token count of both materials; observe whether trimming removes the subject or the quantity field.
  2. Treating a similarity score as a permission or entity filter. Input is a query naming Supplier A; compare the recalled results with the authorized scope; observe whether unauthorized records are recalled, since the score itself does not exclude them.
  3. Treating a pending status as completed. Input is the signed inspection sheet and the putaway task; compare whether a putaway completion record exists; observe whether the draft sentence is judged as putaway-complete while completion evidence is absent.

How to verify the setup

  1. Input the arrival note and inspection sheet text from the hypothetical sample above; compare the quantity field across the two materials; observe whether the draft sentence is judged unsupported, and retain the evidence gap for the missing putaway task.
  2. Input the same question under two conditions, empty history and with history; compare the two request inputs; observe whether the comparison conclusion changes because of carried history, and when it changes, record where the difference comes from.
  3. Input a paper empty result []; compare how the downstream node is designed to accept an empty reference; observe whether it is handled as unsupported, without claiming that a fictional rule retrieval always returns empty.

The primary task here is copy drafting for contract and transaction material comparison. Verification inspects the proposed draft sentence against the supplied sample wording and its limits. It does not extend into identity certification, report analysis, or any other task. Whether the putaway task exists remains unknown, and that gap stays open.
