Overseas stock replenishment: tool calls for document comparison

Review tool calls for document comparison in Overseas stock replenishment. Check sources, input boundaries, error handling and repeatable test evidence.

What the documents look like

Third-party overseas warehouses can serve several sales channels, and the seller allocates stock across them. Four document families meet at this step. The replenishment plan comes from ERP sales forecasting, the inbound appointment comes from the overseas warehouse WMS, the inventory aging table also comes from the WMS, and the last-mile delivery note comes from the carrier bill. Update cadence is weekly or daily depending on the source. Parties named across these materials can include the seller, the overseas warehouse operator and the freight forwarder's commercial staff.

The same physical batch carries different meanings in each document. In the replenishment plan it is a planned inbound quantity. In the inbound appointment it is an appointed quantity with a validity window. In the aging table it is a shelved quantity. In the delivery note it is an outbound quantity. When the field definitions and time ranges do not line up, the tool call node decides whether to invoke a tool based on the tool description and the parameter descriptions. That decision does not settle which material has priority for the business.

Constraints at the tool calls step

A tool call needs a tool description and tool parameters. System module parameters are already fixed; plugin parameters are configurable. Each parameter carries a parameter description and a required flag. When no parameter is required, a call can still happen without a suitable value, and the model sometimes fabricates one. When a required parameter has no suitable value in context, the model may decline to call the tool, and prompting can guide the user to supply the value. Models that support function calling can invoke several tools in one turn.

In advanced orchestration, connecting an available tool to the tool call module separates tool input from ordinary input automatically, and the description becomes editable so the invocation timing can be narrowed. Debugging advice is to start with a small number of tools and tune before adding more. The tool call termination node placed after a tool ends that invocation: no further tools run and no AI summarization of tool results runs. A custom variable can extend tool input so that a node not treated as a tool parameter can still be called.

Retrieval hits and similarity scores do not constitute authorization or entity isolation, and retrieval does not produce authorization.

Hypothetical paper exercise sample. Material one: "Overseas warehouse operator A confirmed on 10 March 2025 that seller B's batch P-031 inbound appointment is 400 units, valid until 20 March 2025." Material two: "Seller B's replenishment plan shows batch P-031 planned inbound of 400 units, planned date 12 March 2025." Material three: "Carrier bill shows batch P-031 last-mile delivery of 360 units, dated 18 March 2025." Draft sentence to assess: "Batch P-031 completed inbound of 400 units and was delivered in full." This sentence treats the appointed quantity as a completed inbound quantity and treats 360 delivered units as full delivery. It is unsupported.

Configuration and implementation checks

Configuration itemValue or check on this pageRelation to the sample
Tool descriptionState that input is replenishment plan, inbound appointment, aging table and delivery note text, and state that a comparison call should not start when material parties or periods disagreeThe three materials name A, B and the carrier, spanning 10 to 18 March
Plugin parametersParameter descriptions name "material text", "comparison fields", "period range"; the required flag follows the plugin's actual configurationThe draft sentence needs comparison on quantity and status fields
Required parametersWhen material text is missing from context the model may not call; prompting guides the user to supply itThree source passages are supplied here as input
Tool connectionConnect the comparison plugin to the tool call module, narrow the description to this page's task, debug with few tools firstThis page handles contract and transaction material comparison only
Tool call terminationPlace after the comparison tool to end the invocation and skip AI summarizationAfter the draft sentence is assessed, no further tool runs
Custom variableAdd parameter descriptions for nodes not treated as tool parametersThe aging table node needs a description if it takes part

Hypothetical trial starting value: set "period range" to 1 March 2025 through 31 March 2025, because the dates on all three sample materials fall inside that window. The comparison object is the date stated on each material, and a date outside the window is recorded as pending verification. This is a hypothetical value for this exercise, not an official default.

Three common errors

  1. Treating an appointed quantity as a completed inbound quantity. Input is material one, "inbound appointment is 400 units", against the draft sentence "completed inbound of 400 units". The compared fields are status and quantity. Appointment status and completed-inbound status are different, so the draft sentence is unsupported.
  2. Describing 360 delivered units as full delivery. Input is material three, "last-mile delivery of 360 units", against the draft sentence "delivered in full". The compared values are delivery quantity and planned quantity. 360 units do not cover the planned 400 units, so full delivery is unsupported.
  3. Treating a retrieval hit as authorization or as a party filter. Input is the material returned by one retrieval. The compared values are the party identifiers A, B and the carrier. A retrieval result does not constitute authorization and does not exclude records of other parties.

How to verify the setup

  1. Use material one's source text and the draft sentence "completed inbound of 400 units" as input. Compare the status field and the quantity field. Observe whether the output states that appointment status differs from completed-inbound status and that the draft sentence is unsupported.
  2. Use material three's source text and the draft sentence "delivered in full" as input. Compare the delivered quantity of 360 units against the planned quantity of 400 units. Observe whether the output states that the range is not covered and that the draft sentence is unsupported.
  3. Use all three source texts and the whole draft sentence as input. Compare party identifiers, periods and fields. Observe whether the output separately lists the facts stated, the unsupported parts and the gaps pending verification. If retrieval returns an empty result, check the downstream design against the explicit paper input [] and do not claim that a fictional-rule retrieval necessarily returns [].
