Brand repair services: workflow routing for procurement

Review workflow routing for procurement in Brand repair services. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Brand after-sales repair service centres on warranty obligations and physical repair outlets. The work differs from e-commerce platform after-sales handling, which processes platform refunds. This page addresses one task inside that category: inventory procurement and supplier records. The documents handled each day include warranty cards, repair work orders, inspection reports and replacement approvals. Data comes from the after-sales system, store orders, repair outlet feedback and the national three-guarantees catalogue. Updates occur per order or daily.

For workflow routing, these features mean a single flow must carry three kinds of information at once: work-order status, spare-part demand and supplier records. The subject, period and field values must stay aligned across those three streams. A warranty card states a coverage period for a specific unit. A repair work order states a fault and a repair outlet's assessment. An inspection report states a test outcome. A replacement approval states a decision on a return or exchange. Procurement and supplier records sit alongside these, and the routing step decides which downstream path receives which document.

Constraints at the workflow routing step

The Form Input node is a user-interaction node. When it triggers, the conversation enters an interaction state and the workflow state is recorded. After the user completes the required information and submits, the node collects the submitted form values and passes them to later nodes. The User Selection node is also a user-interaction node. When it triggers, the conversation enters the interaction state and the workflow state is recorded. When the user makes a choice, the node evaluates that choice and executes the corresponding branch. Both nodes can be added repeatedly and both trigger execution. The interaction state follows from node behaviour; the documents do not describe a separate global state-recording switch.

Inventory procurement and supplier records involve order writes, document backfill and external status synchronisation. These operations require a separate business interface or a later process. Form Input and User Selection themselves only collect information and route branches; they do not constitute authorisation to execute. A relevance score from retrieval does not act as a permission or entity filter. The same-vector-model requirement for retrieval association applies only within one associated scope and does not extend to external systems.

Hypothetical paper exercise sample: a brand after-sales centre receives a repair work order. The source text reads: "Work order number WX-2024-0317, send-in date 17 March 2024, fault described as abnormal battery endurance, warranty card states whole-unit warranty valid until 16 March 2025, repair outlet feedback states the battery module requires replacement, spare-part inventory record shows the current quantity of that module is 2 units." The draft handover request to be assessed reads: "Please approve the spare-part procurement request for this work order, procurement quantity 5 units." That request concerns approval and procurement execution. The available material contains only work-order information, the warranty period and the inventory quantity. It does not state procurement approval authority, a supplier name, or the basis for the procurement quantity.

Configuration and implementation checks

Configuration itemTypeDescription
Form Input nodeUser-interaction nodeEnters the interaction state on trigger, collects required information and passes it to later nodes
User Selection nodeUser-interaction nodeExecutes the corresponding branch after the user makes a choice; verify each branch connection individually
Interaction-state checkImplementation checkThe recorded state follows from interaction-node behaviour; no separate global state-recording switch is described
Output handover checkImplementation checkPass collected information explicitly to later retrieval, decision or interface nodes; compare each output against its input
External-operation separationImplementation checkOrder writes, document backfill and external status synchronisation require a separate business interface or later process
Hypothetical trial starting valueTrial starting value for this exerciseUses the inventory quantity of 2 units in the sample as the comparison starting point, to check the relationship between the requested procurement quantity and the existing record

Three common errors

  1. Treating information collection by the Form Input or User Selection node as procurement approval authority. In the sample, the draft procurement request requires approval authority. The form node completes information collection only and produces no approval effect.
  2. Reading a retrieval relevance score as an entity filter for suppliers or work orders. A relevance score does not carry permission or entity-isolation functions, and retrieval results cannot replace an authorisation decision.
  3. Conflating the interaction-state record with external status synchronisation. The interaction state follows from node behaviour. Order writes and external status synchronisation require a separate business interface. These are different layers.

How to verify the setup

  1. Input the work-order source text and the draft procurement request from the sample. Compare the requested quantity of 5 units against the inventory record quantity of 2 units, and check whether the Form Input node passed the work-order information to later nodes in full. If the later node receives the work-order number, the warranty period and the inventory quantity, the output handover check is satisfied.
  2. Input the draft procurement request from the sample. Compare whether the request contains an approval-authority statement and supplier information. If the request states no approval authority and no supplier name, record the evidence gap and do not treat form submission as approval.
  3. Input the work-order information and the User Selection node configuration from the sample. Check whether the User Selection node executes the corresponding branch after the user makes a choice. If each branch connection is verified individually and the selection result matches the later node input, the branch execution of the User Selection node is satisfied.

These checks describe expected observations. No test, deployment or approval has been carried out. The sample is a paper exercise only, and the missing fields remain missing.
