Trade returns and claims: citation tracing for procurement

Review citation tracing for procurement in Trade returns and claims. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Trade returns and claims handle reverse logistics and liability determination after export, which separates this category from ordinary export declaration work. The materials come from customer email, quality inspection reports, customs systems and insurance claim systems, and they update irregularly, once per case. In the inventory procurement and supplier records task, the practical job is to connect the return agreement, the claim letter, the quality report and the return customs declaration to a purchase batch and a supplier record, so that any cited content can be traced back to a specific material.

Version state matters here. As a case advances, the same quality report may exist as an initial issue and a revised issue. A citation source has to name the version it relies on and the scope in which that version is valid. A claim letter may state an amount and a submission date while leaving the settlement status unstated. The tracing step records what the material actually says, not what the case is expected to become.

Constraints at the citation tracing step

The knowledge base search node selects one or more knowledge bases that share the same vector model, and outputs cited content as an array. The array length can be zero, which means the output path still completes even when no content was retrieved. Whether a retrieval result is used in the answer step depends on whether the citation input is carried forward, and on whether the cited original text is checked line by line.

The minimum relevance setting takes effect only under semantic retrieval or result reranking. It is a filtering threshold and does not perform permission or entity isolation. A retrieval library does not replace an authorization decision. RRF is the fusion process for hybrid retrieval and is not a switch. Image retrieval requires the corresponding image input and model capability, and reranking requires a reranking model enabled by configuration. Optional paths shown in the document flow diagram do not mean every request executes all of them.

Hypothetical paper exercise sample: a foreign trade company's after-sales staff holds one paper record containing three sentences. The first sentence reads "Return agreement number TR-2024-018, signing date 12 March 2024, parties A Company and B Company, return reason external packaging damage." The second sentence reads "Quality report QR-2024-007 initial issue dated 20 March 2024, conclusion external packaging damage, inner contents appearance intact." The third sentence reads "Claim letter SF-2024-003 states a claim amount and a submission date, and does not state a settlement completion status." The draft sentence to be assessed reads "This return has completed the claim and been closed."

Checking compares subject, object, state and valid scope. The materials show that the agreement was signed, the report was issued and the claim letter was submitted. The settlement completion status is not stated. A pending review does not mean that an operating permission is missing. Signing, reaching cooperation and contract effectiveness are three different facts. A quotation validity period does not indicate a supply period. Where a field is not stated, or only evidence of a related stage exists, the record is unsupported or pending verification.

Configuration and implementation checks

The table below lists documented settings or implementation checks relevant to this feature and primary task, using the sample above. Where a value is needed, it is a hypothetical starting point for this exercise, with the reason for choosing it and the object of comparison.

Configuration itemHypothetical starting point for this exerciseCheck method and reason
Associated knowledge basesSelect libraries containing return agreements, claim letters, quality reports and return customs declarationsCheck the selected library identifiers and material versions; only libraries sharing the same vector model can be associated together
Search modeHybrid retrievalNumber and agreement-number queries rely on full-text hits, while the semantic path supplements natural language questions
Result rerankingEnabled by configurationWhen a reranking model is available, candidates are reordered and the reranking score can be used for filtering
Citation upper limitA hypothetical starting point of a number of tokens for this exerciseCitation volume is controlled in tokens; adjust after comparing with the sample material length; this is not an official default
Minimum relevanceA hypothetical starting point of one value within the 0-1 rangeTakes effect only under semantic retrieval or result reranking; compare against the result of checking the cited original text
Citation input carry-forwardCheck whether retrieval output is passed to the answer stepCheck the answer against the cited original text line by line; an empty array is carried forward as a zero-length design

Three common errors

  1. Treating a submitted claim letter as a completed settlement. The input is the third sample sentence. The object of comparison is the settlement completion status field, which is not stated, so the record is pending verification. A draft sentence stating that the claim was completed and closed goes beyond the material scope.
  2. Treating a retrieval hit as an authorization pass. The input is the citation array output by the search node. The object of comparison is the authorization boundary. Retrieval and similarity scores do not perform permission or entity isolation, and whether cited content can be used for external submission requires a separate manual or downstream system check.
  3. Associating knowledge bases with different vector models. The input is the vector model identifiers of two libraries. The object of comparison is the same-vector-model requirement. Exclude non-matching libraries first and record the actual observation. Do not run a cross-model retrieval to compare missed recalls.

How to verify the setup

  1. Input the three sample sentences and the draft sentence. Compare "completed the claim and been closed" in the draft against the three states the material records: signed, issued and submitted. The condition is met only when the draft is changed to a state description consistent with the material, or when the settlement status is explicitly marked as pending verification.
  2. Input the citation array output by the search node. Compare the array length against the downstream carry-forward design. When the length is a number of items, check the answer against the cited original text line by line. When the length is an explicit paper input of [], observe whether the downstream path continues with zero length. Do not claim that a fictional rule retrieval necessarily returns an empty array.
  3. Input the version identifiers of the sample materials. Compare the dates and conclusion fields of the initial issue and the revised issue. The condition is met only when the citation source names the version it relies on and that version matches the currently effective version, or when a version gap is explicitly recorded. Unstated fields remain unsupported.
