What the documents look like
Cross-border returns refurbishment and resale handles reverse logistics and item condition, which differs from first-leg replenishment management. The daily document set consists of return inspection sheets, refurbishment records, scrap declarations and resale listing checklists. Data sources include overseas warehouse WMS records, TikTok return centres, Amazon return reports and item inspection photographs, with updates occurring daily or per batch. The procurement and supplier records step requires matching source information from return processing documents against supplier records, and checking the provenance and validity scope of each cited item. Return grade decisions, refurbishment packaging arrangements and scrap-or-resale decisions are the time-consuming steps; these judgements depend on inspection records and authorisation status, and citation tracing requires that every conclusion can be traced back to a specific document and version.
Constraints at the citation tracing step
The knowledge base search node can associate one or more knowledge bases that share the same vector model, and outputs cited content as an array whose length may be zero, meaning the output path still completes when nothing is retrieved. The cited content needs to be handed to the answering step so that each statement can be checked against the cited source text. The minimum relevance value is a filtering threshold that takes effect only under semantic retrieval or result reranking, and does not perform permission or entity isolation. Hybrid retrieval merges multiple result paths through RRF, and Rerank performs a second ordering of candidate text; neither changes the attribution of a citation's source. Checking document currency requires testing sources against a current version and a historical version, and whether a citation is adopted still depends on review against the valid version.
Hypothetical drill sample: an overseas warehouse inspector processes a return batch on 10 March 2025. The inspection sheet source text records: "Subject: Shenzhen return batch B20250310; Object: Bluetooth earphones, 12 units; Status: appearance intact, function pending retest; Validity scope: limited to resale listing evaluation for this batch only." A draft sentence reads: "This batch of Bluetooth earphones has passed functional retest and can be scheduled for resale listing." A pending determination request reads: "Please confirm whether this batch has completed refurbishment and holds resale listing authorisation." The source text records only intact appearance and a pending functional retest; it does not state a retest result, refurbishment completion or listing authorisation. The draft sentence and the request both exceed what the source text supports.
Configuration and implementation checks
| Configuration item | Hypothetical trial starting point for this page | Reason for the choice and comparison method |
|---|---|---|
| Associated knowledge bases | One return inspection document base | Check whether the vector model identifier matches, and exclude bases using a different vector model |
| Search mode | Hybrid retrieval | Inspection sheets contain batch numbers and status descriptions; compare semantic and full-text recall results |
| Citation limit | Set to 2000 tokens as a hypothetical starting point for this page | Compare against the length of a single inspection sheet record and observe whether the citation fully covers the status field |
| Minimum relevance | Set to 0.3 as a hypothetical starting point for this page | Compare against recall entries with no filtering and observe whether low-relevance fragments decrease |
| Result reranking | Enabled | When candidate entries are numerous, compare ordering before and after reranking and confirm whether status fields rank higher |
| Citation handoff | Output array passed to the answering step | Check whether each conclusion in the answer maps to a specific field in the cited source text |
Three common errors
- Treating the draft sentence "This batch of Bluetooth earphones has passed functional retest and can be scheduled for resale listing" as a verified conclusion. The source text records only intact appearance and a pending functional retest; the retest result is not stated. Check action: input the draft sentence, compare it against the status field in the source text, and observe whether the answer adds a retest conclusion absent from the source.
- Treating retrieval output as the basis for executing an authorisation. The pending determination request asks whether refurbishment is complete and listing authorisation is held; retrieval can only return the inspection sheet source text, while refurbishment completion and authorisation status require manual review or confirmation through a separately connected system. Check action: input the request, compare the returned citation against the authorisation field, and observe whether the citation content is directly judged as establishing authorisation.
- Treating minimum relevance as an entity or permission filter. This value takes effect only under semantic retrieval or result reranking and does not exclude unrelated business records or unauthorised records. Check action: input a query containing a different batch number, compare entries before and after filtering, and observe whether records from other batches or unauthorised records still appear.
How to verify the setup
- Input the hypothetical sample source text and the draft sentence, and compare the draft sentence against the status field in the source text. The condition is satisfied if the answer indicates that the retest result is not stated and that resale listing authorisation is unsupported; it is not satisfied if the answer directly confirms that the retest was passed.
- Input the pending determination request and compare the returned citation against the authorisation field. The condition is satisfied if the returned citation contains only the inspection sheet source text and notes that authorisation status is pending verification; it is not satisfied if the output directly states that authorisation is established.
- Input an empty citation array [] and check the downstream design. The condition is satisfied if the downstream step continues on the empty array and records the gap; it is not satisfied if the downstream step errors out or skips recording.
