What the documents look like
Channel receivables collection happens after credit sales, so the working core is credit granting and cash recovery rather than transaction matching. The main data sources are the finance system, bank receipts, distributor orders and sales contracts. The documents handled day to day include the receivables aging table, dunning letters, credit agreements and shipment freeze notices. In the inventory procurement and supplier material task, these materials are retrieved together, and the fields in play cover the distributor entity, procurement batch, supplier name, credit limit and freeze status. The aging table and dunning letters are refreshed weekly or monthly, so retrieval has to respect the period and version stated on the material itself; a balance from one period cannot be treated as a standing conclusion.
The credit agreement and the shipment freeze notice record different facts. The credit agreement records a limit and a validity period. The shipment freeze notice records the handling status of one shipment request. These two have to be checked separately, and neither one substitutes for the other.
Constraints at the vector indexes step
Knowledge bases associated for retrieval must use the same vector model, so the actual model and its input types are checked first. One source data block can be linked to multiple indexes, and the index content and the original text are verified separately. Index content is built from complete and focused information, and retrieval coverage against index length is weighed against the sample at hand. Image retrieval also depends on whether image descriptions or image vectors were generated at ingestion time, and cannot be judged from the query side alone. After a model or index change, the same set of questions is compared against the cited original text; a vector score on its own does not support a performance commitment.
Semantic recall and relevance do not perform permission or entity isolation. The requirement that associated knowledge bases share one vector model does not extend to business-registration sites or other external systems. Hybrid retrieval merges multiple result paths through RRF, and RRF is a fusion process rather than an enable switch. The citation upper limit uses tokens as its unit, and the minimum relevance value takes effect only under semantic retrieval or result reranking.
Configuration and implementation checks
The following is a hypothetical drill sample used to show how configuration is checked. It does not represent a real record or an executed operation.
Sample text one: "The March 2024 receivables aging table states that distributor A had an outstanding receivable balance of 480,000 as of 31 March 2024, of which 120,000 was overdue by 31 to 60 days."
Sample text two: "The credit agreement states that distributor A has a credit limit of 500,000, valid until 30 June 2024."
Draft sentence under review: "Distributor A has exceeded its credit limit, and this shipment request should be frozen."
The draft sentence touches three sets of facts: credit limit, receivable balance and freeze status. The source texts do not state a shipment freeze notice or an over-limit determination.
| Configuration item | Relevant value or check on this page | Note |
|---|---|---|
| Associated knowledge bases | Check that the vector model identifier matches across bases | Bases with different vector models are not associated together |
| Index content | Build indexes from segmented original text of the aging table and credit agreement | Index and original text are verified separately |
| Search mode | Semantic retrieval, full-text retrieval or hybrid retrieval | Identifier-type fields suit full-text or hybrid |
| Citation upper limit | For this hypothetical trial the starting value is 4000 tokens | The sample spans several materials, so citation completeness is compared against a smaller value |
| Minimum relevance | For this hypothetical trial the starting value is 0.3 | Compared against 0.5 to observe whether low-relevance fragments are filtered |
| Rerank | Confirm a ReRank model is configured before enabling | Not enabled when unconfigured |
Three common errors
- Treating a retrieval hit as an authorization conclusion. The draft sentence says the shipment "should be frozen." Retrieving the credit agreement only shows the limit and the validity period. A freeze requires a shipment freeze notice or a downstream system status, and without that the conclusion remains unverified.
- Replacing field comparison with a vector score. A vector score reflects similarity only and does not show whether distributor A exceeded its credit limit. The check returns to the aging table balance and the credit limit for a field-by-field comparison.
- Associating knowledge bases that use different vector models. Before association, check the model identifier, exclude those that do not match and record the exclusion. Do not run a cross-model retrieval to compare missed recalls.
How to verify the setup
- Input sample text one and sample text two, then compare "exceeded its credit limit" in the draft sentence against the aging table balance of 480,000 and the credit limit of 500,000. When the balance does not exceed the limit, that wording is unsupported and the evidence gap is recorded.
- Input sample text one and sample text two, then compare "should be frozen" in the draft sentence against whether a shipment freeze notice exists. When the material states no freeze status, the request remains pending verification and is not treated as executed.
- Input an explicit paper empty result [], then check whether the downstream path completes and whether the gap record is retained. Do not claim that a given rule necessarily returns an empty result.
This page addresses one scope only: channel receivables collection, inventory procurement and supplier material, vector model and index. During operational handover, the authorization state of materials, operations and requests is not established by retrieval or by a form.
