Franchise filing management: retrieval for procurement

Review retrieval for procurement in Franchise filing management. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Franchise filing management handles legal disclosure and the commerce department filing system. It does not handle the engineering of a specific store location. For this page the working task is inventory procurement and supplier records, and the source documents are the franchise contract, the operations manual, the filing materials and the information disclosure file.

Inside those documents, procurement clauses, supplier admission requirements, and delivery or return terms are often spread across separate files. The same supplier may appear in a contract annex and in the operations manual at different signing or effective stages. Retrieval and recall therefore need to bring out the source text, the field values and the current stage together, so that a person can check the authorization boundary. The filing materials and disclosure file are updated irregularly, at a yearly rhythm, and that rhythm does not change how the retrieval step behaves.

Constraints at the retrieval step

The knowledge base search node can be linked to one or more knowledge bases that use the same vector model. Knowledge bases with different vector models cannot be linked together. At implementation time, check the vector model identifier first, exclude the ones that do not match, and record what was observed. Do not run a cross-model search in order to compare missed recalls.

Semantic retrieval, full-text retrieval and hybrid retrieval are compared against the test question. No single mode is assumed to suit all of these materials. The citation limit is measured in tokens, so use real materials of different lengths to test whether the content stays complete. The minimum relevance value takes effect only under semantic retrieval or when result reranking is used. Question optimization performs coreference resolution and question expansion; compare the original question with the optimized question and check whether the subject was changed incorrectly. RRF is the fusion process for mixed results and is not described as an on/off switch. Image retrieval requires a corresponding image input and model capability. Reranking requires a model and must be enabled in the settings. Retrieval and recall do not carry permission or entity isolation, and a retrieval result does not constitute an authorization to act.

Hypothetical paper exercise sample: the source text to be checked reads, "Party A and Party B signed the Regional Supply Framework Agreement on 10 May 2024, agreeing that Party B supplies chilled dairy products to stores in the East China region, effective on the date both parties affix their seals. Annex 2 lists a copy of Party B's qualification license, valid until 30 April 2025. As of this check, no renewal material has been seen in that annex." The draft sentence to be judged reads, "Party B's supplier qualification remains valid after 30 April 2025 and may continue supplying stores in the East China region." The draft sentence concerns the subject Party B, the object of chilled dairy supply to East China stores, the status of qualification validity, and the scope of the period after 30 April 2025. The source text states no renewal or extension clause, so the draft sentence is not supported.

Configuration and implementation checks

Configuration or check itemSetting for this pageHow it is checked against the sample
Linked knowledge basesSelect knowledge bases that use the same vector modelCompare the vector model identifiers of the supplier records base and the contract base; exclude any that do not match
Search modeSemantic retrieval, full-text retrieval or hybrid retrievalTest the phrase "chilled dairy supplier qualification validity" separately and compare whether the recalled content contains Annex 2
Citation limitUnit is tokenFor this hypothetical exercise the starting value is set to the length needed to cover the full text of Annex 2, compared with a length that covers only the agreement body
Minimum relevanceTakes effect only under semantic retrieval or result rerankingMark relevant and irrelevant samples from Annex 2 first, then compare the recall change after adjusting the threshold
Question optimizationCoreference resolution and question expansionCompare "is that supplier qualification still valid" before and after optimization and check whether Party B and the validity period subject are preserved
Result rerankingRequires a ReRank model and must be enabled in the settingsCompare the ranking position of Annex 2 among candidates before and after enabling, and record what was observed

Three common errors

  1. Treating a retrieval hit as an authorization to act. Input "Party B supplier qualification valid", compare the Annex 2 source text returned by retrieval with the draft sentence "may continue supplying", and observe whether the draft sentence adds a renewal conclusion the source text does not state. A retrieval result does not constitute a supply authorization.
  2. Treating a pending-review stage as already effective. Input the supplier change application in the filing materials, compare the application date field with the signing date field, and observe whether a sealed effective record exists. A pending review does not show that approval was granted.
  3. Forcing knowledge bases with different vector models to be linked together. Input two knowledge bases whose vector model identifiers differ, compare the identifier fields, and observe whether they are excluded. After a cross-model link, do not invent missed recalls or redundant results; record only the identifier check and the exclusion action.

How to verify the setup

  1. Input the hypothetical sample source text and the draft sentence, compare the draft sentence "remains valid after 30 April 2025" with the source text "valid until 30 April 2025" and "no renewal material has been seen", and observe whether the judgement is not supported. The condition is met when the draft sentence is marked as pending verification and no definite validity conclusion is output.
  2. Input the search phrase "chilled dairy supplier qualification validity", compare whether the returned citations contain the Annex 2 source text, and observe whether the citation content fully covers the validity period field. The condition is met when the Annex 2 subject and date appear in the citation; when they do not appear, do not judge the qualification as invalid.
  3. Input an explicit paper empty-result case, check the downstream design against a citation content array of length 0, compare whether the downstream path continues with the empty citation, and observe whether an unconfigured business action is triggered. The condition is met when the empty-result path continues and no automatic approval or database write is produced.

This page addresses only franchise filing management, inventory procurement and supplier records, and knowledge base retrieval and recall. Whether materials, operations or requests are in a given authorization state at operational handover cannot be treated as an authorization to act on the basis of retrieval or a form.
