Overseas stock replenishment: workflow routing for procurement

Review workflow routing for procurement in Overseas stock replenishment. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Third-party overseas warehouses can serve several sales channels at once, so the seller allocates stock across those channels rather than relying on a single platform's replenishment logic. This allocation work splits the underlying records across systems. The overseas warehouse WMS, the ERP sales forecast, the freight forwarder system and the carrier bill each update on their own schedule, and the supplied brief gives the update frequency as weekly and daily. For the procurement and supplier records task, purchase quantity, supplier quotation, delivery commitment and authorization status appear together in the same working set, and workflow routing has to carry each value forward while keeping its source distinct.

The documents this page concerns are the replenishment plan, the warehouse inbound appointment, the inventory age table and the last-mile delivery note. Each one can arrive from a different system, and none of them by itself confirms that a purchase has been authorized, a supplier has been admitted, or an inbound appointment has been approved.

Constraints at the workflow routing step

The form input node is a user interaction node. When it triggers, the conversation enters an interaction state, the workflow state is recorded, and the workflow continues downward only after the user completes the interaction. Once the user fills in the required information and submits, the node collects the submitted form values and passes them to later nodes. The user selection node is also a user interaction node. When the user makes a choice, the node evaluates that choice and executes the corresponding "yes" branch. Both nodes can be added repeatedly.

The values collected at these nodes do not themselves constitute procurement authorization, supplier admission or inbound approval. Order writes, document backfill and external status synchronization require a separate business interface or a later process.

Hypothetical paper exercise sample: a document states, "Supplier A quoted on 1 March 2025 for storage boxes used in overseas warehouse replenishment; the quotation is valid until 31 March 2025; the quantity range is 500 to 800 units; the status is pending procurement confirmation." A draft sentence to be judged reads, "Supplier A has confirmed supply and approved inbound." The subject is the same in both, Supplier A; the period is March 2025; the field is quotation status. The source text contains only a quotation and a pending confirmation, while the draft sentence asserts confirmed supply and inbound approval, so the draft sentence is unsupported. A quotation validity date is not a supply period, and pending procurement confirmation is not approval.

Configuration and implementation checks

The table below lists only settings documented in the official material or implementation checks tied to this page's documents. The assumed starting value for the quantity range is 500 to 800 units because the source text supplies only that range; the comparison object is the source field, and the value is not an official default.

Configuration itemAssumed starting point for this exerciseHow to check
Form input nodeCollect supplier name, quotation date, quantity range, statusAfter submission, compare the passed values against the source fields
User selection nodeSet the "yes" branch to carry procurement confirmationVerify branch connections and the selection result item by item
Interaction stateEnter the interaction state on trigger and record the workflow stateObserve the dialog hiding and resuming
Output handoffPass collected values to later retrieval or judgment nodesCompare output against input item by item
External action splitOrder writes connect to a separate business interfaceConfirm the interface exists; do not treat it as executed
Retrieval library identifierOnly libraries using the same vector model can be associated togetherCheck the identifier first and exclude non-matching libraries

Three common errors

  1. Treating a form submission as procurement approval. The input is the sample status "pending procurement confirmation"; the comparison field is status; the observable result should remain pending verification.
  2. Treating the "yes" branch of a user selection as an executed inbound appointment. The input is the branch connection; the comparison object is the source field; the observable result must not show approved.
  3. Treating the quotation validity date as the supply period. The input is 31 March 2025; the comparison fields are validity period and supply period; the observable result should record an evidence gap.

How to verify the setup

  1. Input the sample source text and the draft sentence, then compare subject, period and field for consistency. An unsupported assertion satisfies the check condition.
  2. Input the values collected by the form and compare the values passed to later nodes against the source text. The condition is satisfied only when each item matches.
  3. Input an empty result [] and compare whether the downstream design accepts an empty value. Do not claim that a fictitious rule retrieval necessarily returns [].

This page addresses only overseas stock replenishment management, procurement and supplier records, and workflow routing. During operational handover, the authorization state of materials, operations and requests must be kept distinct, and neither retrieval nor a form may be treated as authorization to execute.
