What the documents look like
Central chain procurement for inventory and supplier records draws on ERP purchasing, WMS, store POS, and supplier delivery data. The everyday documents in this scope are centralized procurement contracts, replenishment plans, delivery notes, and store requisition forms. These materials connect directly to store stockouts, inventory buildup, and supplier claims.
Three features of this material shape the vector model and index work. First, document types differ sharply in structure: a procurement contract and a replenishment plan do not segment or index the same way, so index content has to be checked per type. Second, the same supplier or the same material can appear across several documents, so the mapping between an original data block and its indexes has to be confirmed item by item. Third, store requisition forms and delivery notes often carry exact fields such as identifiers and model numbers, and the choice of search mode affects what is recalled.
The supplied material gives daily and weekly update frequencies. Update frequency does not change how the retrieval step is configured, so this page does not derive batch synchronization, full synchronization, or real-time or transaction-triggered mechanisms from it.
Constraints at the vector indexes step
Knowledge bases associated for retrieval must use the same vector model. Libraries built on different vector models cannot be associated together. Check the actual model identifier first and exclude libraries that do not match, record what was observed, and do not run cross-model retrieval to compare missed recalls.
One original data block can be associated with multiple indexes, and the indexes and the source content are checked separately. Index content should be complete and focused; retrieval coverage and index length are weighed together against the sample. Image retrieval also depends on whether image descriptions or image vectors were generated at ingestion time, so the query side alone does not decide it. After a model or index change, compare cited source text using the same set of questions; a vector score on its own does not support a claim about outcomes.
Semantic recall and relevance do not perform permission or entity isolation. The minimum relevance value is a filter threshold, not a final ranking rule. The same-vector-model requirement for associated knowledge bases does not extend to business registry sites or other external systems.
Hypothetical exercise sample
Source text for checking: procurement contract HT-2024-018 states that Party A is a chain supply center, Party B is a food supplier, the subject matter is frozen dough, the term runs from 1 March 2024 to 28 February 2025, and the signing status is signed by both parties. Replenishment plan BH-2024-066 states that distribution center A plans to replenish 200 cases of frozen dough on 10 June 2024, and the approval status is pending procurement manager review. Store requisition form YHD-2024-0912 states that store B requested 30 cases of frozen dough on 9 June 2024, and the status is submitted.
Draft sentence to be assessed: the procurement contract is in effect, the replenishment plan has been approved, and the store requisition form has completed delivery.
Configuration and implementation checks
The table below lists documented settings or implementation checks tied to this page's documents and primary task. The values are starting points for this hypothetical exercise, not official defaults.
| Configuration item | Hypothetical starting point | Reason and comparison method |
|---|---|---|
| Associated knowledge base | Associate only the inventory procurement library that uses the same vector model | Check the model identifier first and exclude libraries on a different vector model |
| Index content | Build indexes for the procurement contract by parties, subject matter, and term | Compare against the field structure of the replenishment plan and store requisition form to confirm index coverage |
| Search mode | Hybrid search | Identifier and model-number fields need full-text recall; semantic recall supplements natural-language questions |
| Minimum relevance | 0.4 | Compare against sample-question retrieval results and observe whether unrelated fragments are filtered out |
| Citation limit | 2000 tokens | Compare against the total length of the sample material to confirm the cited content covers the fields needed for a judgment |
| Result reranking | Enable ReRank | Secondary ordering when candidates are numerous; compare against results without reranking for relevance |
Three common errors
- Treating pending review as approved. In the sample, replenishment plan BH-2024-066 has an approval status of pending procurement manager review, and the draft sentence says it has been approved. Input is the approval status field; the comparison object is the status value stated in the source; the observable result is that pending review and approved are inconsistent.
- Treating signed as in effect. In the sample, procurement contract HT-2024-018 has a signing status of signed by both parties, and the draft sentence says it is in effect. Input is the signing status field; the comparison object is the signing fact stated in the source; the observable result is that signing and taking effect are different facts, and the conditions for taking effect are not stated.
- Treating submitted as delivery completed. In the sample, store requisition form YHD-2024-0912 has a status of submitted, and the draft sentence says delivery has been completed. Input is the requisition form status field; the comparison object is the status value stated in the source; the observable result is that submitted and delivery completed are inconsistent.
How to verify the setup
- Input the sample source text and the draft sentence, and compare the status descriptions in the draft against the status fields stated in the source. When the draft says the replenishment plan has been approved while the source says pending procurement manager review, the judgment is not supported. The expectation is that inconsistent fields are listed one by one.
- Input the sample source text and the draft sentence, and compare the signing status of the procurement contract against the statement that it is in effect. When the source states only that both parties signed and does not state conditions for taking effect, the judgment is that the fact of taking effect remains to be verified. The expectation is to preserve the evidence gap and not supply authorization or effectiveness clauses.
- Input the sample source text and the draft sentence, and compare the status field of the store requisition form against the delivery description. When the source says submitted and contains no delivery completion record, the judgment is that the delivery fact is not supported. The expectation is to record the missing field and not treat submitted as delivery completed.
Empty-result handling can be checked against downstream design using the explicit paper input []. This page does not claim that a fictional rule search returns an empty array. Node behavior that already exists, fields that can actually be configured, manual checking actions, and business actions that require a separate system implementation are recorded separately.
