Chain-store closure accounts: scheduled workflows for procurement

Review scheduled workflows for procurement in Chain-store closure accounts. Check sources, input boundaries, error handling and repeatable test evidence.

What the documents look like

Closure settlement handles exit and asset recovery, the reverse direction from headquarters site selection and store opening. For inventory procurement and supplier records, the working set is the closure approval, the inventory clearance form, the lease termination agreement, and the asset count sheet. Sources include POS inventory, the fixed asset system, the lease contract, and the finance ledger. These materials update irregularly, per store, and the parties involved are chain operations, finance, legal, and the landlord contact. The consequences of error are deposit loss, asset loss, and labor or franchise disputes.

In this category, scheduled tasks and automation send HTTP requests to external addresses at a defined time and read the returned data. Both the returned values and the trigger record require human comparison. Business writes and authorization status are handled by downstream implementation. A task existing does not replace a successful execution, and an external data connection is not created automatically by a scheduled trigger.

Constraints at the scheduled workflows step

The HTTP module sends a request to the corresponding address. Params carries path request parameters and is used mostly with GET. Body carries the request body and is used mostly with POST and PUT. Headers carries request headers for special information. All three can reference variables through {{}}, and the URL can also reference variables. Variables come from global variables, system variables, and preceding node output.

Documented system variables are appId, chatId, responseChatItemId, variables, cTime, and histories. The chatId and responseChatItemId variables do not exist in test mode. Histories takes at most 10 records by default and its length cannot be changed. Return values are extracted from the interface response with JSON path syntax, and the configured key follows JS object access rules. For example, data.user.name retrieves the user name, and data.list[1] retrieves the second element of a list. Since v4.6.8, output formatting mainly converts json to string; when the output type is set to string, the value at the corresponding key is output as a json string.

Whether a scheduled trigger is provided by an application scheduling capability or by external scheduling must be checked against the actual version. Deduplication, idempotency, and business writes must be explicitly designed in the interface or in a later flow. Retrieval and relevance scores do not perform permission or entity isolation, and a similarity setting does not exclude unauthorized records.

Assumed drill sample: a chain brand has one store entering closure settlement. The source text for comparison reads: "The closure approval form states that the store's closure application has been submitted and the status is pending review by the regional operations lead; the inventory clearance form states that as of the count date the store holds 120 items in stock and the unsettled procurement amount owed to Supplier A is 8,000 yuan; the lease termination agreement is a draft initialed by both parties and does not state a landlord signing date." The handover request to be judged reads: "Have the scheduled task submit the store's inventory clearance form to the supplier system and complete payment automatically every day at 9:00." The subject, object, status, and authorization boundary of this request must each be compared item by item.

Three common errors

  1. Treating pending review by the regional operations lead as granted authorization and triggering the clearance form submission request directly. For the check, input the closure approval form source text, compare whether the status field is approved, and require the status to be approved before the condition is met.
  2. Treating the initialed draft of the lease termination agreement as a completed termination and triggering a lease exit request on that basis. For the check, input the agreement source text, compare whether a landlord signing date is stated, and record a gap when no signing date is stated.
  3. Treating the 8,000 yuan unsettled procurement amount owed to Supplier A as a confirmed payable and triggering a payment request. For the check, input the inventory clearance form source text, compare whether that amount carries a reconciliation confirmation, and do not enter the payment step when the confirmation is absent.

How to verify the setup

  • Verification one: input the closure approval form source text together with the drafted sentence "the scheduled task submits the clearance form automatically." Compare the approval status field against the authorization status required by the submission action. The condition is met only when the status shows approved and the authorization scope covers that action; when the status is pending review, record it as unsupported.
  • Verification two: input the initialed lease termination agreement text together with the handover request. Compare whether the agreement states a landlord signing date. When no signing date is stated, judge it as pending verification and do not trigger a lease exit request on that basis.
  • Verification three: input the inventory clearance form source text together with the return value extraction configuration. Compare the parsed result of data.user.name against the corresponding field in the material. The condition is met only when the parsed value matches the source text; when the parse is empty or the field does not exist, record it as unsupported and check how the downstream design handles an empty result.

Across all three checks, the comparison must concern the same subject, the same period, and the same field. A status that is not stated, or evidence that covers only a related stage, counts as unsupported or pending verification. Pending review does not demonstrate the absence of an operating permission, and signing, reaching cooperation, and contract effectiveness are three distinct facts. Where the materials do not supply a field, the gap is recorded rather than filled with an assumed authorization or effective clause.
