What the documents look like
General trade import declaration work centres on customs value, freight and insurance charges, and the payment of duties and taxes. This differs from export declaration, where the emphasis falls elsewhere. In a store service and internal training setting, each declaration involves five documents: the import customs declaration form, the commercial invoice, the packing list, the bill of lading, and the contract. The underlying data comes from the International Trade Single Window, the customs tariff schedule, the freight forwarder's arrival notice, and foreign exchange payment vouchers. These materials are handled per declaration. Staff need to collect the transaction terms, the freight and insurance amounts, and the party bearing duties and taxes through form interaction. A form node collects what is entered and passes it to later nodes. Writing to a business database and any approval action require implementation in an external system or a later node.
Constraints at the interactive forms step
When a form input node is triggered, the conversation enters an interactive state, the workflow state is recorded, and execution waits for the user to complete the interaction. After submission, the collected information is passed to subsequent nodes. A user selection node evaluates the user's choice and executes the corresponding branch. These two nodes handle information collection and branch decisions. Field validation, business approval, write-back, and batch operations are implemented as needed in an external system or a later node. Retrieval and forms collect information; they do not perform authorization or entity isolation.
Hypothetical paper exercise sample: a store receives an import declaration training item whose source text reads: "The transaction terms for this declaration are CIF. Freight is borne by the seller. Insurance is borne by the buyer. The arrival date is 10 March 2025. The declared quantity is 200 cartons." The draft sentence under review reads: "Please have the store confirm that both freight and insurance for this declaration are borne by the buyer, and submit the confirmation." This sample is used to check whether the form collects content consistent with the source text.
Configuration and implementation checks
The table below lists documented settings or implementation checks relevant to forms and interaction on this page. The values are hypothetical starting points for this exercise, not official defaults.
| Configuration item | Hypothetical starting point for this exercise | Reason and comparison method |
|---|---|---|
| Form input node | Collect transaction terms, party bearing freight and insurance, arrival date, declared quantity | Compare item by item against the four fields in the sample source text; record any missing field as a gap |
| User selection node | Set two branches, "Confirm" and "Needs revision" | Compare against the confirmation request in the draft sentence; observe which branch is taken |
| Required-field check | Treat transaction terms and party bearing freight and insurance as required | Compare against the sample source text; test behaviour when a field is absent and after it is supplied |
| Interactive state record | Record workflow state on trigger and wait for interaction | Observe whether the conversation enters the interactive state and whether it continues after submission |
| Downstream division of work | Field validation and approval implemented in an external system | Compare against the node's own capability; confirm the node does not perform database writes |
| Form information passing | Pass submitted information to subsequent nodes | Compare against what later nodes receive; observe whether the information is available |
Three common errors
- Treating information collected by a form node as a completed business approval. The form node collects entered content and passes it on; approval requires implementation in an external system. The check input is the sample source text and the draft sentence; compare whether an approval action appears after form submission; the observable result is that no approval record is seen.
- Treating the branch decision of a user selection node as a personnel directory or business data selector. The user selection node executes a branch according to the user's choice. The check input is the two options "Confirm" and "Needs revision"; compare whether the node executes the branch matching the choice; the observable result is that the branch taken matches the selection.
- Treating retrieval or a form as authorized execution. Retrieval and forms collect information and do not carry permission or entity isolation. The check input is the confirmation request in the draft sentence; compare whether an authorization basis exists; the observable result is unsupported or pending verification.
How to verify the setup
- Enter the sample source text and the draft sentence; compare whether the fields collected by the form match the four fields in the source text; the observable result is that all four fields correspond, with any missing field recorded as a gap.
- Enter the two options "Confirm" and "Needs revision"; compare whether the user selection node executes the branch matching the choice; the observable result is that the branch taken matches the selection, and no branch executes when no choice is made.
- Enter the confirmation request from the draft sentence; compare whether an authorization basis exists; the observable result is unsupported or pending verification. A pending review does not demonstrate that operating permission is absent.
