Channel receivables: citation tracing for staff training

Review citation tracing for staff training in Channel receivables. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Channel receivables collection begins after credit sales have been made. The operational focus is credit exposure and cash recovery rather than matching buyers and sellers. Staff in store service and internal training roles answer channel questions or draft training wording using several document types: the receivables aging table, collection letters, credit agreements, and shipment freeze notices. These materials come from finance systems, bank receipts, dealer orders, and sales contracts, and they update weekly or monthly.

Citation tracing requires that every conclusion in an answer or training script map back to specific source wording. The subject, object, period, and status recorded in the material determine what range of conclusions the material can support. A retrieval hit is not an authorization, and the document text itself sets the boundary of what a draft sentence may assert.

Constraints at the citation tracing step

The knowledge base search node outputs a citation array, and the array length may be zero. When no content is found, that output path still completes. Whether retrieved results are sufficient to support an answer requires line-by-line comparison against the source wording.

Knowledge bases can be associated together only when they share the same vector model. Bases with different vector model identifiers cannot be placed in the same search node. The minimum relevance score is a filtering threshold that takes effect only in semantic retrieval or when result reranking is used. It does not perform permission or entity isolation. Retrieval itself does not constitute authorization; form value collection, business approval, database writes, and external synchronization each require their own downstream implementation.

Hypothetical paper exercise sample: A brand finance team prepares a store service script for internal training. The material available for checking is an aging table excerpt whose source text reads: "As of June 30, 2025, the receivables balance for Dealer A is RMB 120,000, of which RMB 40,000 is in the 31-to-60-day overdue range." A second excerpt from a credit agreement reads: "The credit limit under this agreement is valid from January 1, 2025 to December 31, 2025." The draft sentence to be judged is: "Dealer A is seriously overdue and shipment should be frozen immediately." The draft contains a subject and an amount, but "seriously overdue" and "shipment should be frozen immediately" have no corresponding status field or authorization basis in the given source text. The sentence is unsupported.

Configuration and implementation checks

The table below lists only settings or implementation check items relevant to this page's task that are documented in the official material. The values are hypothetical starting points for this exercise, used for comparison with another value, and do not represent official defaults.

Configuration or check itemHypothetical starting pointReason and comparison method
Associated knowledge basesInclude only the aging and credit material bases with matching vector model identifiersCheck vector model identifiers first, exclude bases with different identifiers, do not perform cross-model retrieval
Search modeSemantic retrieval and full-text retrieval togetherAmounts and dates suit full-text matching; natural-language questions suit semantic recall
Minimum relevance scoreHypothetically set to 0.3Compare with 0.5 and observe whether low-relevance fragments enter citations; this value does not exclude unauthorized records
Citation limitHypothetically set to 2000 tokensCompare with 1000 tokens and observe whether citations are truncated; this value is a citation content length limit
Citation content handoffConnect the search node citation array to the answer stepCheck whether answer sentences correspond line by line to source wording
Material currency checkUse one current and one historical version of the aging tableCompare the same field value to judge which version the draft sentence relies on

Three common errors

  1. Treating a retrieval hit as authorization. Input is the credit agreement excerpt above. If the training script states "shipment freeze has been approved," compare whether the agreement text records freeze conditions and an authorizing party. The observed result is that the source text does not record that authorization, so the sentence does not hold.
  2. Writing an unrecorded status as a negative fact. Input is the aging table excerpt. The draft sentence states "Dealer A is not overdue." Compare whether the source records a not-overdue field. The observed result is that the source records only RMB 40,000 in the 31-to-60-day overdue range and does not record that field, so the negative conclusion cannot be drawn.
  3. Associating bases with different vector models together. Input is two knowledge bases with different vector model identifiers. Compare whether the identifiers match. The observed result is that the identifiers differ, so one should be excluded and the combined retrieval should not proceed.

How to verify the setup

  1. Input the aging table source text above and the draft sentence "Dealer A is seriously overdue and shipment should be frozen immediately." Compare whether the status word and authorization word in the draft sentence have corresponding fields in the source text. The observed result is that the source records neither a "seriously overdue" grade nor a freeze authorization, so the sentence is judged unsupported.
  2. Input the credit agreement source text above and the draft sentence "The credit limit under this agreement is valid from January 1, 2025 to December 31, 2025." Compare whether the draft dates match the agreement source dates for the same subject and same field. The observed result is that the two agree, so the sentence is supported by the source text.
  3. Input an empty citation array [] explicitly marked as a paper test. Compare whether the downstream answer step handles it through the empty-result branch. The observed result is that the downstream step does not error and outputs a no-citation notice. This result is a paper design check only and does not indicate that an actual retrieval would necessarily return an empty array.
