Warehouse picking and packing: retrieval for operating reviews

Review retrieval for operating reviews in Warehouse picking and packing. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Warehouse picking, checking and packing handles outbound orders. It does not handle supplier arrivals. The working materials are wave picking lists, checking records, shipping labels and packaging consumable sheets. These materials come from the WMS, the order system, the electronic waybill platform and weighing equipment. They are produced per order or per hour, so a review window can contain a large number of short, similar records.

For operating reports and exception reviews, retrieval has to pull the records that relate to wrong or missing shipments, parcel damage and after-sales compensation. The retrieval result feeds the review conclusion. The retrieval step returns quoted content only. It does not decide whether an operator was authorized, and it does not execute a refund.

A wave picking list can carry a wave number, a picker name, an order number, an item and a quantity, and a pick completion time. A checking record can carry a checker name, an order number, a checked quantity, a checking time and a status. A shipping label and a packaging consumable sheet carry their own fields. A review question has to be matched against the field that actually answers it.

Constraints at the retrieval step

The knowledge base search node can link one or more knowledge bases that use the same vector model. Knowledge bases with different vector models cannot be linked together. Check the model identifier of each candidate base and exclude the ones that do not match. Do not run a cross-model retrieval to compare what is missed.

Quoted content is output as an array, and its length can be zero. The downstream path still runs when nothing is retrieved. A paper input of an empty array is a way to check how the downstream design handles that case. It does not show that a given query will always return an empty array.

Semantic retrieval, full-text retrieval and hybrid retrieval are compared against the test question. No single mode is assumed to suit all materials. The minimum relevance value takes effect only in semantic retrieval or when result reranking is used. It is a filter threshold. It does not isolate permissions or separate business entities. The citation limit is measured in tokens. Question optimization performs reference resolution and question expansion, and it adds one model call before retrieval. Image retrieval needs an image input and the matching model capability. Reranking needs a rerank model and has to be enabled in the settings. The overall retrieval flow lists optional paths; not every request runs all of them.

A hypothetical paper exercise sample is given here for checking. A wave picking list reads: "Wave W-2031, picker Li, order number SO-8842, item A quantity 2, pick completion time 2025-03-10 09:20." A checking record reads: "Checker Wang, order number SO-8842, checked quantity 2, checking time 2025-03-10 09:40, status is awaiting packing." A draft sentence reads: "This order has completed checking and entered packing, and the wrong-shipment risk is ruled out." A pending request reads: "Please search the knowledge base to confirm whether this order has completed packing." In this sample the checking record status is awaiting packing. It states no packing completion time and no packing operator. Retrieval is not authorization, and a form that collects values does not mean business verification or approval is complete.

Configuration and implementation checks

The table below lists settings that the official documents describe, or implementation checks, tied to this page's sample. The values are starting points for this hypothetical exercise. They are not official defaults.

Configuration itemStarting point and reason for this hypothetical exerciseHow to check
Linked knowledge basesLink only bases that contain wave picking lists, checking records, shipping labels and packaging consumable sheets and that share one vector model identifierCompare the vector model identifier of each base, exclude the ones that do not match
Search modeStart with hybrid retrieval on the order number SO-8842 and the status wording in the sampleCompare what semantic, full-text and hybrid retrieval each return for the sample
Citation limitStart at 2000 tokens, because the sample materials are short and the limit has to be compared against the completeness of the quoted contentTest with materials of different lengths and observe whether the quoted content stays complete
Minimum relevanceStart at 0.5, after labelling related and unrelated samples, then adjust the thresholdObserve the filter effect only in semantic retrieval or with result reranking
Question optimizationCompare the original question "has this order completed packing" with the optimized questionCheck whether the subject is changed and whether a status absent from the sample is introduced
Result rerankingIf a rerank model is configured and enabled in the settings, observe the rerank scoreCompare the candidate order before and after reranking; the first item is not guaranteed

Three common errors

  1. Treating "awaiting packing" in the checking record as completed packing. The input is the sample checking record text. Compare the field "status is awaiting packing" with the draft sentence "has completed checking and entered packing." The observable result is that the draft sentence adds a packing execution fact the source does not state. A pending or awaiting status does not show that the operation was completed.
  2. Treating retrieved quoted content as an authorization basis. The input is the checking record quote returned by the knowledge base. Compare whether that quote states an authorization scope or an approval conclusion. The observable result is that the quote contains only a checked quantity and a status, and states no packing authorization and no refund permission. Retrieval does not carry out authorization.
  3. Linking knowledge bases that use different vector models. The input is two bases with different vector model identifiers. Compare whether the identifiers match. The observable result is that they do not match, so the non-matching base is excluded and the actual observation is recorded. Do not run a cross-model retrieval to compare missed recall.

How to verify the setup

  1. Input the sample wave picking list text and the draft sentence "This order has completed checking and entered packing, and the wrong-shipment risk is ruled out." Compare whether the draft sentence contains a packing completion conclusion or a risk exclusion conclusion that the source does not state. The expected observation is that the draft sentence goes beyond what the source supports and is marked as unsupported.
  2. Input the pending request "Please search the knowledge base to confirm whether this order has completed packing" and run retrieval over the linked bases. Compare whether the returned quoted content contains a packing completion time or a packing operator. The expected observation is that the quoted content contains only the awaiting-packing status from the checking record, and the packing completion fact is missing, so the evidence gap is recorded.
  3. Input the sample checking record text together with a hypothetical paper empty-result input []. Compare whether the downstream design runs the path when the quoted array has length zero. The expected observation is that the path still runs with an empty output. Do not claim that a given query will always return an empty array.
