What the documents look like
Regional dealer stock replenishment runs as daily rolling orders rather than seasonal centralized ordering. The material set for an operating review and exception review draws on dealer ERP records, the brand ordering system, warehouse stock, and sales receipts. Four document types carry the review: replenishment applications, inventory turnover sheets, outbound delivery notes, and payment collection plans. The review has to place all four under one time basis, because the reporting cadence is weekly or monthly. A report sample that does not state its period can join two periods and hide the actual state of stockouts, channel overstock, and overdue receivables.
Two industry facts shape this page. First, replenishment quantities roll forward every week or month, so a review that compares a current application against a prior turnover sheet without labelling both periods can treat an old balance as current. Second, replenishment material sits across systems that serve different purposes: business records live in one store, retrieval material in another. A retrieval hit locates a document; it does not grant permission to act on the dealer record, and a form that collects a value does not by itself write to the business database, move an approval, or synchronize an external system.
The database and operations step therefore has a narrow job. It keeps the business store, cache, retrieval backend, and object storage independently configured, verifies backup and restore as two separate observable facts, and rechecks the same business sample after any configuration change. A running process is not evidence that the business sample still reconciles.
Constraints at the database operations step
Connection, cache, vector store, and object storage settings are configured separately, and a configuration value cannot be inferred from a variable name. A backup that reports success and a restore that returns usable data are two facts observed at different points; confirming one does not confirm the other. After a database or service configuration change, the same business sample must be reconciled again. Retrieval supports locating material and does not perform permission or entity isolation. Same-model retrieval association is a documented precondition for joint association, and libraries on different vector models cannot be associated together.
Hypothetical drill sample. The following paper material is invented for this page and does not describe a real dealer, company, or record.
Replenishment application: "Application number BR-2503-018, application date 10 March 2025, requested quantity 1,200 units, applicant Li, approval status is pending review."
Inventory turnover sheet for March 2025: "Closing stock 800 units, turnover days 18."
Outbound delivery note CK-2503-022: "600 units released on 12 March, receipt status: not signed."
Payment collection plan for March 2025: "Receivable 300,000 yuan, planned collection date 25 March, actual collection: not registered."
Draft sentence under review: "The dealer's March replenishment application has been approved, the outbound delivery is complete, and collection is proceeding as planned."
The draft sentence is not supported by the material. The approval status field reads pending review, which does not constitute approval. The delivery note receipt status reads not signed, which does not constitute completion. Actual collection is not registered, which does not constitute performance as planned. Each point is a gap in evidence, not a confirmed negative fact.
Configuration and implementation checks
The table below covers settings and implementation checks relevant to this page's sample and primary task. The numeric column is a hypothetical starting point for this drill, chosen so an operator can compare it against their own observations. It is not an official default, and no value here should be copied as a platform standard.
| Configuration item | Hypothetical drill starting point | Reason and comparison method |
|---|---|---|
MONGODB_URI | Points to the drill business database | Holds replenishment applications and delivery notes; compare against the backup and restore sample |
REDIS_URL | Points to the drill cache instance | Cache connection checked on its own, not mixed with other services |
PG_URL | Points to the drill vector store | Used only for locating material; kept separate from business authorization |
DB_MAX_LINK | Set to 20 for this drill | Compare against observed connection errors and latency under the drill's own load |
SYNC_INDEX | Left enabled for this drill | Creates missing indexes at startup; recheck the same business sample after any change |
LOG_ENABLE_OTEL | Left disabled for this drill | Log export enabled only when a troubleshooting need is defined and compared |
FILE_TOKEN_KEY, AES256_SECRET_KEY, and INVOKE_TOKEN_SECRET are documented as required at runtime, with minimum lengths of 6, 6, and 32 characters respectively. AIPROXY_API_ENDPOINT and a non-empty AIPROXY_API_TOKEN are both required from V4.17.0, and missing either causes startup validation to fail. These are documented conditions, not values chosen for this drill.
Three common errors
- Treating pending review as approval. In the sample, the approval status field reads pending review while the draft sentence states the application has been approved. The two values are mutually exclusive on the same field and the same subject, so the draft claim is unsupported. The review should record the approval fact as pending verification.
- Treating an unsigned delivery note as completed delivery. The note carries receipt status not signed while the draft sentence states delivery is complete. Completion evidence is absent, so the delivery fact stays unverified until a signed receipt is produced.
- Treating unregistered collection as performance on plan. The collection plan records actual collection as not registered while the draft sentence states collection is proceeding as planned. The collection field provides no supporting value, so the conclusion is unsupported and the evidence gap remains open.
How to verify the setup
- Input the replenishment application text and the draft sentence. Compare the approval status field value pending review against the draft phrase "has been approved." The expected result is that the draft sentence does not match the source material and the approval fact remains pending verification. No test has been run and no approval has occurred.
- Input the outbound delivery note receipt status not signed and the draft phrase "the outbound delivery is complete." Compare the receipt field on the same note. The expected result is that delivery completion is unsupported and a signed receipt is still required before the fact can be recorded.
- Input the collection plan line "actual collection: not registered" and the draft phrase "collection is proceeding as planned." Compare the collection registration field. The expected result is that collection performance is unsupported and the evidence gap is retained rather than filled.
These comparisons apply only to the hypothetical sample on this page. They do not claim that any test, deployment, or reconciliation has been performed. Retrieval and form entry do not constitute authorization to execute. Database writes, approval routing, and external synchronization each require their own downstream implementation, and a pending request is not an approval.
