Complaints and official replies: database operations for operating reviews

Review database operations for operating reviews in Complaints and official replies. Check input mappings, source evidence and failure handling before use.

What the documents look like

Complaint and regulatory-reply work draws on the 12315 platform, platform complaint centers, customer-service chat, and the order system. The documents that matter here are complaint tickets, regulatory inquiry letters, order evidence, and rectification reports. These materials face a platform or a regulator, so they require formal evidence and rectification wording. Mistakes can trigger administrative investigation, platform penalties, or brand exposure. Updates are irregular and per case.

For operating reviews, the point is the recorded state of these tickets and letters at the database and operations layer. Which materials are already stored, which requests sit pending review, and which evidence packages have not been submitted are three different facts. None of them substitutes for another.

Constraints at the database operations step

Database and operations work must separate the business record store from the vector retrieval backend, and check each service against the actual deployment. Connection and load are judged from observed connection counts, errors, and latency under real load; untested concurrency thresholds are not carried over. Backup and recovery are validated separately: backup generation is one fact, an actual restore is another. After a change to a database or service configuration, the same business sample is rechecked; a live process alone does not satisfy this.

Retrieval is not authorization. Semantic recall and relevance scores do not perform permission or entity isolation. A form collecting a value is not business verification, approval, a database write, or external synchronization; each of those needs its stated downstream implementation.

Hypothetical exercise sample: on 10 June 2025 a shop customer-service supervisor receives a regulatory inquiry letter asking for a written reply by 20 June about a refund dispute on order A. The supervisor submits a handover request in the system, proposing to send the draft rectification report to legal compliance for review, attaching the complaint ticket and order evidence. The draft sentence to be judged is: "The rectification report has been submitted to the regulator and the reply is complete." The source text shows only that a review request was submitted; it shows no regulator receipt and no completed reply. The judgment uses the same subject, same period, and same field: the draft sentence's "submitted to the regulator and reply complete" and the source's "submitted to legal compliance for review" are not the same fact. The draft sentence is unsupported, and the evidence gap is recorded.

Configuration and implementation checks

The table below covers the sample and lists documented settings or implementation checks relevant to this page. Where a value is marked as a hypothetical exercise starting point, it is the starting value for this paper exercise, not an official default, and should be compared with observed values under real load before any adjustment.

Configuration itemValue relevant to this pageHow to check
MONGODB_URISet the main business database address per the actual deploymentCheck whether complaint tickets and order evidence writes land in that database
MONGODB_LOG_URIWhen unset, the main database is reusedCheck whether the log database is separated from the main database
DB_MAX_LINKHypothetical exercise starting point 10, chosen because the sample load is lowCompare with observed connection peaks and watch for saturation
SYNC_INDEXKept onCheck whether missing indexes are created after startup
FILE_TOKEN_KEYRequired, at least 6 charactersCheck whether evidence-package file read authentication takes effect
AES256_SECRET_KEYRequired, at least 6 charactersCheck whether rectification report field encryption and decryption work

Three common errors

  1. Treating a pending review as granted authorization. In the sample the handover request sits in submitted-for-review state; concluding from this that legal compliance has approved an external reply is wrong. Check: input the status field of that handover request, compare whether "pending review" and "approved" are mutually exclusive values of the same field, and only a status field explicitly reading approved satisfies the condition.
  2. Treating a retrieval hit as permission or entity filtering. In the sample order A's ticket is retrieved; concluding from this that the ticket may be opened to any person is wrong. Check: input the retrieval result and the visitor identifier, compare the ticket's ownership against the visitor's scope, and only a matching ownership satisfies the condition.
  3. Treating backup generation as a successful restore. In the sample, if only a completed backup task is visible, concluding that the rectification report can be recovered is wrong. Check: input the backup record and an actual restore sample, compare the restored file content against the original evidence package, and only identical content satisfies the condition.

How to verify the setup

  • Verification one: for the sample draft sentence "The rectification report has been submitted to the regulator and the reply is complete," input the regulatory inquiry letter source text and the handover request status, compare whether "submitted to legal compliance for review" and "submitted to the regulator and reply complete" share the same subject, period, and field. Only a source record showing regulator receipt or a completed reply satisfies the condition; otherwise record the sentence as unsupported.
  • Verification two: for reading the order evidence file, input the evidence-package file identifier and the visitor identifier, compare the file's ownership against the visitor's authorization scope. Only matching ownership with passed authentication satisfies the condition. If the result is empty, check the downstream design against an explicit paper input of an empty list, without claiming that a fictional rule retrieval necessarily returns empty.
  • Verification three: for rechecking after a database change, input the same complaint ticket sample from before and after the change, compare whether key field values match. Only matching field values plus readable business samples beyond a live process satisfies the condition. Databases on different vector models cannot be associated together; first check the identifier, exclude non-matching ones, and record the actual observation.
