Channel receivables: citation tracing for operating reviews

Review citation tracing for operating reviews in Channel receivables. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Channel receivables collection happens after credit sales. The work centres on credit granting and cash recovery, which separates it from matchmaking transaction scenarios. This page addresses one task inside that setting: citation tracing during operating reports and exception reviews. The working materials are the receivables aging table, the collection letter, the credit agreement, and the shipment freeze notice. Aging data is typically updated weekly or monthly. Staff pull facts from the finance system, bank receipts, distributor orders, and sales contracts, then state where each conclusion came from. Citation tracing requires matching every report conclusion and review judgement back to source material. When material is absent, the item stays pending verification.

Two features of this category shape the tracing step. First, the credit agreement and the shipment freeze notice carry different validity scopes, so a conclusion about credit exposure must name which document and which version it relies on. Second, the aging table and the collection letter describe the same receivable at different moments, and a report sentence that merges them without stating the period can no longer be traced to either source.

Constraints at the citation tracing step

The knowledge base search node outputs a citation array, and its length may be zero. An empty array still passes through the output path, so it does not by itself indicate that the workflow terminated with an error. Linked knowledge bases must share the same vector model; bases with different vector models cannot be linked together. During checking, confirm the vector model identifier first and set aside those that do not match. Do not run cross-model retrieval to compare missed recalls. The minimum relevance value is a filter threshold. It is not the final ranking rule, and it does not perform permission or entity isolation. Whether a retrieval result counts as a valid citation still requires manual comparison against the source text, item by item.

Hypothetical drill sample: a brand finance department uses a paper document set in an April 2025 operating review meeting. The source text reads: "Distributor A had an accounts receivable balance of RMB 860,000 as of 31 March 2025; the credit agreement sets a single-month credit sales limit of RMB 500,000; the shipment freeze notice dated March 2025 states that shipments to Distributor A are suspended from 20 March." The draft sentence under review reads: "Distributor A exceeded its credit limit on shipments in March and must complete the freeze and collection in April." This draft sentence is pending judgement. The materials do not state the specific shipment amount that exceeded the limit, nor the execution result of the freeze. Those facts remain unsupported.

Configuration and implementation checks

The table below uses the sample above and lists only documented settings or implementation checks relevant to this feature and this task.

Configuration itemHypothetical starting point for this drillCheck method and notes
Linked knowledge basesReceivables aging table base, credit agreement baseConfirm the vector model identifier of each base first; only matching identifiers may be linked together
Search modeHybrid searchThe aging table contains identifiers and proper nouns, so hybrid search covers both semantic and keyword matching
Minimum relevanceHypothetical starting point 0.5 for this drillThis value takes effect only under semantic search or result reranking; it is a filter threshold. Compare against 0.3 and 0.7 and observe how the number of citations changes
Citation limitHypothetical starting point 3,000 tokens for this drillThis value controls the maximum tokens of content cited per search. Compare against 1,500 and 6,000 and observe truncation behaviour
Result rerankingReRank enabledReranking produces a 0–1 score used for secondary ordering and filtering
Citation outputArray, length may be zeroAn empty array still passes through the output path; the downstream answer step must be checked for how it receives it

Three common errors

  1. Treating minimum relevance as a permission or entity isolation control. Observable error: assuming that raising the relevance value excludes records belonging to unrelated distributors. Executable check: input the aging question about Distributor A from the sample, compare the returned citations against the aging table source text, and observe whether entries for other distributors still appear. This confirms that relevance does not perform entity filtering.
  2. Treating an empty citation array as a workflow failure. Observable error: aborting the review as soon as retrieval returns an empty array. Executable check: input a paper-based empty array and check the downstream receiving design against it, observe whether the output path passes through, and record the actual behaviour.
  3. Treating retrieval output as an already-verified collection conclusion. Observable error: writing the draft sentence into the review report without comparing it against the credit agreement and the freeze notice source text. Executable check: compare the draft sentence against the sample source text item by item for subject, period, and field, and observe whether the excess shipment amount and the freeze execution result appear in the materials. If they do not appear, mark the item as pending verification.

How to verify the setup

  1. Source comparison check. Input the sample source text and the draft sentence, then compare "exceeded its credit limit on shipments in March" against the credit agreement clause "single-month credit sales limit of RMB 500,000" and the aging table figure "balance of RMB 860,000". The draft sentence is supported only when subject, period, and field all align and the materials state the excess amount. In this sample the materials do not state it, so the expected result is unsupported.
  2. Empty-result receiving check. Input a paper-based empty array, compare whether the downstream answer step receives the empty citation as designed, observe whether the output path passes through, and record the actual observation. Do not claim that a fabricated rule will always return an empty array.
  3. Document validity check. Input the current version of the credit agreement and a historical version, compare which version the limit clause cited in the draft sentence comes from, and observe whether the citation points to the valid version. When the versions do not match, mark the item as pending verification. Do not supply an authorization or effective clause that the materials do not contain.
