Cross-border resale returns: tool calls for operating reviews

Review tool calls for operating reviews in Cross-border resale returns. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Returns refurbishment and resale handle reverse logistics and item condition, which is a different chain from first-leg replenishment to an overseas warehouse. The operating review for this category works across four materials: the return inspection form, the refurbishment record, the scrap form, and the relisting checklist. Supporting data arrives from the overseas warehouse WMS, the TikTok return center, Amazon return reports, and item inspection photos, on a daily or per-batch basis.

Two facts shape how tool calls behave here. First, the tool description tells the model what a tool is for, and the parameter description together with the required flag drives whether the model calls that tool at all. Second, neither a retrieval result nor a form entry is a business authorization: refunds, scrap decisions, and relisting are downstream actions that need their own connected implementation. An operating review can compare what the documents state, and it must stop at that comparison.

Constraints at the tool calls step

A tool description states the purpose of a module or plugin and needs to cover the input conditions and the situations where the tool should not be called. System module parameters are already fixed; plugin parameters are configurable. The parameter description and the required flag jointly influence the call decision. When a required parameter has no suitable value in context, the model may decline to call the tool, so the flow can guide the user to supply the parameter and then check the actual request. In advanced orchestration, available tools are connected to the tool call module, and the documented guidance is to start with a small number of tools and tune before adding more.

The tool call termination node ends the current call: no further tools run and the AI does not summarize the tool result. Retrieval returns results by semantic relevance and does not carry permission or entity isolation. Libraries built on different vector models cannot be jointly associated.

Hypothetical paper exercise. The material text for comparison reads: "Return inspection form R-0712 states: the subject is an overseas warehouse, the object is the 12 items in batch B-2024-07, the status is inspection complete pending grading, and the date range is 12 July 2024." "Refurbishment record F-0712 states: 3 items in the same batch have been refurbished, with a refurbishment completion date of 13 July 2024." The draft sentence to be judged is: "All 12 items in batch B-2024-07 have completed relisting." The draft sentence touches subject, object, status, and authorization boundary, and each of those must be compared item by item against the two source texts.

Three common errors

  1. Treating a retrieval result as an authorization basis. The inspection form shows "inspection complete pending grading," while the draft sentence says relisting is complete. The status fields differ, and the draft claim is unsupported. Check: input the source text and the draft sentence, compare the status fields, and if the draft sentence carries a completion status the source does not state, the condition is not met.
  2. Treating a pending review as an approval. If a handover request says "the scrap form is approved" while the source only states "the scrap form is pending review," that is a status misjudgment. Check: compare the source status value with the request status value; if the source is pending review and the request is approved, the condition is not met.
  3. Jointly associating libraries built on different vector models. The document states that libraries on different vector models cannot be jointly associated. Check: compare the library identifier and the vector model identifier; if the identifiers differ, exclude the pair and do not run a cross-model retrieval comparison.

How to verify the setup

  1. For the draft sentence in the hypothetical exercise, "All 12 items in batch B-2024-07 have completed relisting," input the inspection form source text and the refurbishment record source text and compare the status fields. If the source status is "inspection complete pending grading" and the refurbishment record states only that 3 items were refurbished, the claim that all 12 items are relisted does not meet the condition and is recorded as unsupported.
  2. For the handover request "the scrap form is approved," input the scrap form source text and compare the status field. If the source states only "pending review," the approved status in the request does not meet the condition and is recorded as pending verification, with the evidence gap retained.
  3. For cross-model retrieval, input the vector model identifiers of the two libraries and compare whether the identifiers match. If they differ, exclude joint association and record the observed result without inferring missed recall or redundant behavior. For an empty-result handoff, a paper input of [] can be used to check the downstream design; this does not claim that a fictional rule retrieval will return [].
