After-sales repairs and reships: workflow routing for multilingual work

Review workflow routing for multilingual work in After-sales repairs and reships. Check input mappings, source evidence and failure handling before use.

What the documents look like

After-sales repair and reship work aims to restore a product to use. The closing state is normally a completed repair or a dispatched accessory, and a direct refund is not the main exit. Records come from the after-sales system, the order system, repair sites and the accessory warehouse WMS. Daily documents include repair requests, reship orders, inspection reports and accessory outbound orders. In cross-border settings these documents appear in several languages, so retrieval and handover depend on confirming the document language, the parties and the current state before a workflow branch is chosen.

The brief gives an update frequency of per order and daily. This page does not describe batch synchronization or real-time triggering. The frequency only means that documents are produced with each order and summarized by day.

Constraints at the workflow routing step

The Form Input node is a user interaction node. When it triggers, the conversation enters an interaction state, the workflow state is recorded, and execution continues after the user completes the interaction. It collects required information and passes the submitted values to later nodes. The User Selection node behaves in the same interaction pattern: when the user makes a choice, the node evaluates that choice and runs the corresponding "yes" branch. Both node types record workflow state and wait for the interaction to finish before continuing.

Retrieval recalls text. It does not carry permission or entity isolation, and a similarity score is not a category, entity or permission filter. A form collects values. Order writes, document backfill and external state synchronization need a separate business interface or a later process. A pending request is not an approval, and an offered option is not an execution.

Hypothetical paper exercise sample: a brand after-sales team receives a repair request whose source text reads "Applicant: Company A after-sales group; Object: one model X-100 complete unit; Fault description: no display after power-on; Application date: 10 March 2025; Attached inspection report number R-0310, conclusion: power module damaged; accessory outbound order not yet generated." The draft sentence under review reads "This repair request already includes the accessory outbound order, so a reship can be arranged directly." The check point: the request lists an inspection report and does not list an accessory outbound order. The draft sentence states a document as attached that does not appear, so the sentence is unsupported.

Configuration and implementation checks

The table stays with the sample above. It lists only settings described in the official documents or implementation checks. The values are starting points for this hypothetical exercise, used for comparison against the sample material. They are not official default values.

Configuration itemHypothetical starting point for this exerciseComparison method and reason
Form Input nodeEnabled, with applicant, object, fault description and application date as required fieldsCompare item by item against the sample source text; missing items go to a to-be-supplied state
User Selection nodeTwo options, repair and reshipRun the yes branch according to the user's choice and verify each branch connection
Interaction state checkState recording is existing node behaviorCheck the conversation state during interaction; no separate global switch is set
Output handover checkPass collected information to a later retrieval or judgment nodeCompare each output field against the input field
External action splitOrder writes and document backfill connect to a separate business interfaceCheck whether the interface exists; record the gap when it is absent
Retrieval checkObserve recall and the empty-result branchFirst-hit recall is not guaranteed, and an unrelated query is not claimed to always return empty

Three common errors

  1. Treating retrieval as authorization. Input: the sample repair request. Comparison object: the inference that a retrieved record grants the right to reship. Observable result: the draft sentence states an accessory outbound order as attached when the request does not list one. Check: compare the material fields, and record any field not stated as to be verified.
  2. Treating form collection as business execution. Input: the submitted form values. Comparison object: whether an order write occurred. Observable result: no interface call record after submission. Check: confirm whether the external action connects to a separate interface, and keep the gap when it does not.
  3. Treating the interaction state as a snapshot guarantee. Input: the conversation during interaction. Comparison object: the state recording behavior. Observable result: execution continues after the wait completes. Check: explain state recording as the document does, and do not claim automatic judgment or a submission count.

How to verify the setup

  • Verification one: take the sample source text and the draft sentence. Input: application date 10 March 2025, inspection report R-0310, accessory outbound order not yet generated. Compare the draft sentence "already includes the accessory outbound order." Expected observation: the draft sentence does not agree with the source text, and it is recorded as unsupported.
  • Verification two: take the empty-result handover. Paper input: an explicit []. Compare whether the downstream design handles an empty list. Expected observation: the downstream does not automatically trigger a reship because of the empty list, and the actual observation is recorded.
  • Verification three: take cross-model identifiers. Input: the vector model identifiers of two libraries. Compare whether the identifiers match. Expected observation: when they do not match, exclude the shared association, check only the identifiers and record the observation. Do not run a cross-model retrieval to compare missed recall.

These checks test the named primary task of workflow routing for multilingual after-sales material. Each check states what is compared and what remains unknown. No test, deployment, approval, refund or other business action is claimed to have occurred.
