Multi-warehouse inventory: retrieval for operations handover

Review retrieval for operations handover in Multi-warehouse inventory. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Multi-warehouse allocation happens at the order-routing stage and determines which warehouse fulfils a shipment. This differs from a courier handover, where goods are already picked and the question is who accepts them. The main data sources for this category are WMS, OMS, ERP inventory and platform inventory interfaces. The typical roles involved are supply-chain planning, WMS administrators and e-commerce operations staff. Routine documents include allocation rules, inventory synchronization tables, transfer orders and shortage alerts. Errors in this area lead to overselling refunds, higher cross-region freight and delayed dispatch. These characteristics mean retrieval targets are often structured materials carrying a subject, a warehouse and a status field, and that permission and handover status must be checked alongside the material content.

Constraints at the retrieval step

The dataset search node can associate one or more knowledge bases that use the same vector model. Knowledge bases using different vector models cannot be associated together. The node outputs references as an array, and the length can be zero, which means the output path still runs even when nothing is retrieved. Semantic retrieval and full-text retrieval each suit different inputs; hybrid retrieval merges multiple result paths through RRF, and ReRank performs a second ordering of candidate text. The minimum relevance value takes effect only in semantic retrieval or when result re-ranking is used. It is a filtering threshold and does not carry out permission or entity isolation. The reference cap controls the volume of referenced content in tokens. Question optimization adds one model call before retrieval for coreference resolution and question expansion.

A hypothetical paper exercise sample: a supply-chain planner submits a handover request on 10 March 2025. The source material reads: "Allocation rule V3 takes effect from 1 March 2025; East China orders are fulfilled with priority by the Shanghai warehouse. The inventory synchronization table shows the Shanghai warehouse sellable inventory is 120 units, updated at 08:00 on 10 March 2025." The draft sentence to be judged is: "The Shanghai warehouse currently has sufficient sellable inventory and can directly take on all East China orders." The request is pending review and the reviewer has not signed. The fields needed for judgement are the warehouse subject, the effective date, the inventory quantity and the update time.

Configuration and implementation checks

Configuration itemHypothetical starting value for this exerciseReason and comparison method
Associated knowledge basesOnly the allocation rule base and the inventory synchronization base that share one vector modelCheck whether the vector model field in the base identifiers matches; exclude those that do not match
Search modeHybrid retrievalAllocation rules contain codes and proper nouns while inventory tables contain natural-language description; compare the semantic path and the full-text path
Reference capSet to 2000 tokensHypothetical starting value for this exercise; compare against the actual chunk lengths of the allocation rules and inventory tables and observe whether references stay complete
Minimum relevanceSet to 0.3Hypothetical starting value for this exercise; first label relevant and irrelevant samples, then compare the filtered results
Question optimizationEnabledThe handover request contains references and omissions; compare whether the question subject is altered incorrectly before and after optimization
Result re-rankingEnabled according to settingsWhen candidates are numerous, perform a second ordering of text results and observe whether the re-rank score is more precise

Three common errors

  1. Treating a retrieval result or a similarity score as the basis for authorization. The input is the pending handover request together with the retrieved reference content; compare the request status against the effective clauses in the material and observe whether a pending state is misread as approved. Retrieval does not carry out authorization.
  2. Associating knowledge bases that use different vector models. The input is the identifiers of two knowledge bases; compare their vector model fields and observe whether a model mismatch is still associated. Knowledge bases with different models cannot be associated together.
  3. Confusing the reference cap with the thinking budget. The input is the reference cap setting and the model thinking budget parameter; compare which configuration item each belongs to and observe whether the thinking budget is moved over to serve as the reference token cap.

How to verify the setup

  1. For the draft sentence in the hypothetical sample, the input is the source material and the draft sentence. Compare the Shanghai warehouse sellable inventory quantity, the update time and the pending review status, and observe whether the draft sentence goes beyond what the material states. If the draft sentence claims it can directly take on all orders while the material only contains an inventory quantity and a pending request, the sentence is unsupported.
  2. For the associated knowledge base configuration, the input is the vector model identifiers of two knowledge bases. Compare whether they match and observe whether a cross-model association exists. If the identifiers do not match, exclude that base and record the actual observation; do not run a cross-model retrieval to compare missed recall.
  3. For empty-result continuation, the input is an explicit paper input of an empty array. Compare whether the downstream node continues to execute along the path where reference length is zero, and observe whether the output path runs through. Do not claim that a fictional rule retrieval necessarily returns an empty array.

This page addresses only multi-warehouse allocation and inventory synchronization, operations permission and handover management, and knowledge base retrieval and recall. During an operations handover, which materials, operations and requests sit in which authorization state must be checked directly; retrieval or a form cannot serve as authorization to execute.
