Marketplace returns: conversation logs for operations handover

Review conversation logs for operations handover in Marketplace returns. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Platform refund and return handling runs continuously by order. The working materials are refund applications, return logistics notes, quality inspection photos and refund approvals. Data arrives from the platform after-sales console, customer service chat, WMS receiving and payment refund records. Daily update frequency is per order and per day. This page covers one slice of operations permission and handover management: conversation logs and audit. It addresses which materials, operations and requests sit in which authorization state, and it treats conversation logs and API response fields as the basis for checking. A retrieval hit or a filled form does not amount to an executed authorization.

Two industry facts shape this step. First, an ordinary platform refund attaches to an order and continues on its own, so a single conversation may concern one order rather than a live-stream promise tied to one session. Second, the materials come from four separate systems, so a conversation log alone cannot show that receiving, inspection or payment records agree. The update cadence does not change the checks described here.

Constraints at the conversation logs step

Conversation identity uses chatId to locate a target session, dataId to locate one conversation inside a session, and appId to locate the application. When fetching the session list, source=api returns only sessions created through the API and does not fetch sessions shown on the page. Clearing application sessions likewise clears only sessions created by API Key. During handover checks, chatId must be matched to the business record, and sessions from different entry points must not be counted together. When run detail is needed, the chat interface sets detail per the official contract, and in non-stream mode the result is stored in responseData. With detail=true, responseData contains fields such as module name, model, tokens and quoteList. Fields that are not returned cannot be treated as proof that business data was fully retained. The existence of a conversation log does not equal a completed compliance audit; reconciliation, retention and compliance requirements are carried out by a complete business plan.

Hypothetical drill sample: a platform after-sales specialist A processes the refund application for order R20250610-018 on 10 June 2025. The application materials state: "Refund requested on the third day after the goods were signed for; return logistics number SF0000000001; inspection photo shows outer packaging damage." In the session chatId=chat0610018, A drafts a handover request: "The refund approval for this order has passed; please have the warehouse receive the return per the logistics note and then release the refund." In this request, the actual refund approval status is not stated in the materials, and the warehouse receiving action has not been executed.

Configuration and implementation checks

The table below centers on the sample and lists documented settings or implementation checks tied to this feature and the primary task. The values are hypothetical starting points for this drill, with the reason for choosing them and the comparison method stated alongside. They are not official defaults.

Configuration itemHypothetical drill starting pointCheck method
appIdSample application appId assumed as apprefund0610Compare character by character with the appId returned by the session list
chatIdchat0610018Compare with the chatId in the handover request, session list and conversation list responses
dataIdSample conversation dataId assumed as data018aCompare with the dataId returned by the conversation list to confirm the target conversation
sourceapiWhen fetching the session list, check under source=api to confirm only API-created sessions are taken
detailtrueWhen run detail is needed, set per the official contract and check whether responseData contains module responses
loadCustomFeedbackstrueWhen fetching the conversation list, read custom feedback under this parameter and check the returned field

Three common errors

  1. Treating a retrieval hit or a filled form as an executed authorization. In the sample, the handover request A drafts says "the refund approval for this order has passed," while the materials do not state the approval status. A retrieval result or a collected form value does not amount to a completed approval.
  2. Counting sessions from different entry points together. When fetching the session list, source=api returns only API-created sessions. If page sessions are counted into the same chatId tally, the handover scope is misjudged.
  3. Treating the existence of a log as a completed compliance audit. The chat interface returns a limited set of fields. Business data that is not returned cannot be presumed fully retained, and reconciliation and compliance requirements must be carried out separately.

How to verify the setup

  1. Input the sample material text and the draft sentence "The refund approval for this order has passed; please have the warehouse receive the return per the logistics note and then release the refund." The comparison object is whether the materials state the refund approval status and whether the warehouse receiving action has been executed. The draft sentence is supported only when the materials clearly state that approval is complete and the receiving action has been executed. In the sample neither is stated, so the sentence is unsupported and the evidence gap must be recorded.
  2. Input chatId=chat0610018 and a session list request with source=api. Compare whether the returned list's chatId and appId match the sample. The target session is confirmed within the API source scope only when the returned item shares the sample appId and chatId and the source=api condition holds; page sessions are not counted.
  3. Input a conversation request with detail=true. Compare whether responseData contains module response fields. Run detail is confirmed checkable only when the returned result contains responseData and the fields are readable. If the corresponding field is absent from the return, record it as not returned and do not presume the business data was retained. An empty-result handoff can be checked against the explicit paper input [] for downstream design, without claiming that a fictional rule retrieval necessarily returns [].
