Overseas stock replenishment: retrieval for operations handover

Review retrieval for operations handover in Overseas stock replenishment. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Overseas warehouse replenishment work in this category covers replenishment plans, warehouse inbound appointments, inventory aging tables and last-mile delivery notes. Compared with Amazon FBA stocking, a third-party overseas warehouse can serve several channels, and the seller must allocate stock across them. The source material lists weekly and daily update frequencies; this page does not derive batch synchronization, full synchronization, real-time processing or transaction-triggered mechanisms from those frequencies. Data sources include the overseas warehouse WMS, ERP sales forecasts, freight forwarder systems and carrier bills.

Retrieval and recall only place material into context. They do not decide who may operate, who has approved a handover, or whether a handover has taken effect. In operations handover, authorization status, signature status and effective status are separate facts. A retrieved item appearing in search results does not mean that item has been approved or executed.

Constraints at the retrieval step

A knowledge base consists of libraries, collections and data. The smallest search unit is the library; collections exist for classification management. The knowledge base search node can associate one or more libraries that use the same vector model. Libraries with different vector models cannot be associated together. During checking, compare the vector model identifiers first, exclude the ones that do not match, and record the actual observation. Do not run a cross-model retrieval to compare missed recalls.

Search modes include semantic retrieval, full-text retrieval and hybrid retrieval. Hybrid retrieval merges multiple result paths through RRF, and RRF is a fusion process. The minimum relevance value takes effect only in semantic retrieval or when result reranking is used. It is a filter threshold and does not perform permission or entity isolation, so it cannot be used to exclude unrelated business lines or unauthorized records. The reference limit is measured in tokens. Question optimization performs coreference resolution and question expansion, and it adds one model call. Image retrieval requires image input and the corresponding model capability, and reranking requires a rerank model enabled by configuration. The output reference is an array whose length can be zero, and the downstream link still runs when no content is found.

Hypothetical paper exercise sample: the source text reads "Replenishment plan RP-0712 for overseas warehouse A, object SKU-8842, planned inbound quantity 300 units, submission date 12 July 2025, current status pending review by overseas warehouse operations." The sentence to be judged reads "This replenishment plan has been approved by overseas warehouse operations and an inbound appointment can be arranged." Check point: the source status is pending review, while the draft sentence states approval has been granted and an appointment can proceed. The two values are mutually exclusive for the same subject, the same object and the same field. Pending review does not show that operating permission is absent, and it does not constitute approval.

Configuration and implementation checks

Configuration itemRelevant value or check on this pageRelation to the sample
Associated knowledge basesAssociate only libraries with the same vector model identifierThe sample material must sit inside an associated library, or it cannot be retrieved
Search modeSemantic, full-text or hybridThe sample contains identifiers RP-0712 and SKU-8842, so full-text and hybrid hit differences can be compared
Reference limitMeasured in tokens; a hypothetical trial starting value of 800 is used hereThis starting value is chosen to hold the sample source text with margin, and is compared with 400 and 1200 for reference completeness
Minimum relevanceTakes effect only in semantic retrieval or result rerankingLabel sample relevant and irrelevant items first, then compare thresholds; it is not used for permission filtering
Question optimizationCoreference resolution and question expansionWhen the follow-up question "status of this plan" is asked, check whether the subject was altered
Result rerankingRequires a rerank model enabled by configurationCompare the sample's ranking position and score before and after reranking

Three common errors

  1. Treating a retrieval hit as authorization. Input the sample source text and the draft sentence. Reading "pending review by overseas warehouse operations" as approved produces a conclusion beyond the operator's authority. Compare the field value: when the status is pending review, the output must not state that an appointment can be arranged.
  2. Treating minimum relevance as a permission or entity filter. Input the same query and compare the returned set before and after raising the threshold. What is observed is only relevance trimming. Whether unauthorized records appear depends on the access scope of the library and is not determined by that number.
  3. Forcing libraries with different vector models into one association. Input the vector model identifiers of two libraries and compare whether they match. When they do not match, exclude them. Do not continue by fabricating missed recalls or redundancy as runtime results.

How to verify the setup

  1. Input the sample source text and the draft sentence, and compare whether "pending review by overseas warehouse operations" and "approved" share the same subject, object and field. If the status field remains pending review, the judgment is unsupported and the evidence gap is retained.
  2. Input the query "RP-0712 status" and compare the returns from full-text retrieval and hybrid retrieval. Observe whether the sample source text is recalled. When it is not recalled, record it as a miss. Do not guarantee a first-position hit or complete recall.
  3. Input the paper value [] for an empty result and check whether the downstream design handles an output length of zero. Observe whether the link continues to run. Do not claim that a fictional rule retrieval necessarily returns [].

The retrieval scope must sit inside a target library the operator may access, or inside an explicit manual input. When it is missing, record the gap. Signature, agreement reached and contract effectiveness are three separate facts, and a quotation validity period does not indicate a supply period.
