What the documents look like
Central chain procurement draws on ERP purchasing records, WMS data, store POS data and supplier delivery data. The routine documents are centralized procurement contracts, replenishment plans, delivery notes and store requisition forms. A store requisition form states demand; a delivery note records what was actually shipped. Quantity and timing between the two need not agree. Daily and weekly update frequencies mean that a handover view reflects one point in time, and a record from a prior cycle cannot be treated as the current basis for authorization. The three most time-consuming steps are consolidating store demand, arranging delivery waves and coordinating supplier delivery. The form and interaction nodes carry one part of this work: they collect demand, selections and handover requests entered by store or purchasing staff, and they wait for the interaction to finish before the workflow continues.
Constraints at the interactive forms step
When the form input node triggers, the conversation enters an interaction state, the workflow state is recorded, and execution waits. After the user fills the required information and submits, the node collects that information and passes it to later nodes. The user selection node also enters an interaction state; when the user makes a choice, the node evaluates the choice and executes the "yes" branch. Neither node carries business database functions of its own. Field validation, business approval, write-back and bulk operations are implemented in external systems or later nodes as needed. Retrieval and form collection do not constitute authorization to act. Which materials, operations and requests sit at which authorization state during an operations handover has to be checked separately.
Hypothetical drill sample. A chain supply center receives a store requisition form whose text reads: "Requisition store: Area A Store No. 3; requisitioned item: ambient milk 250 ml, 24-carton pack; requisitioned quantity: 40 cases; requisition date: 3 June 2024; applicant: store duty staff; approval status is pending regional purchasing review." A delivery note reads: "Delivery note number: PS-0603-07; corresponding requisition: Area A Store No. 3 requisition of 3 June; actual shipped quantity: 40 cases; shipment date: 4 June 2024; handover status: driver has signed, store has not signed." The draft sentence to be assessed is: "This requisition form has completed approval and has been signed for by the store, so this handover can be treated as complete." The check must use the same subject, the same period and the same field. The requisition form's approval status is pending review; the delivery note's store signature field is empty. The draft sentence turns pending review into completed approval and an unsigned receipt into a signed one. That is an unsupported determination.
Configuration and implementation checks
The table below lists documented settings or implementation checks relevant to this feature and this primary task, tied to the sample above. The values are starting points for this hypothetical trial, used for comparison, and are not official defaults.
| Configuration or check item | Hypothetical starting point for this trial | Comparison method and reason |
|---|---|---|
| Required fields on the form input node | Requisition store, requisitioned item, requisitioned quantity, requisition date | Compare item by item against the sample text; if any item is missing, the interaction should not submit |
| Branch of the user selection node | "Yes" branch continues the handover; "no" branch returns for supplementation | Given the sample approval status of pending review, select the "no" branch |
| Interaction state recording | On trigger, record the workflow state and wait for the interaction | Check whether execution continues downward after the interaction completes |
| Downstream division of work | Field validation, approval and write-back are implemented by external systems or later nodes | Check whether the form node is treated as an approval step or a database write |
| Authorization state of handover materials | Pending review and signed-for are recorded separately | Compare against the sample status fields; do not merge them into "complete" |
| Retrieval scope check | Verify only whether identifiers belong to the same vector model library | Do not run cross-model retrieval comparisons for missed recall |
Three common errors
- Treating the information passed on after form input submission as completed business approval. In the sample text the approval status is pending regional purchasing review. If a draft sentence says "approval completed," the comparison is against the approval status field of the same requisition form, and the two values are mutually exclusive. The determination is unsupported.
- Treating the driver's signature on the delivery note as the store's signature. In the sample text the store has not signed. If a draft sentence says "signed for by the store," the comparison is against the store signature field of the same delivery note, and that field is empty. The determination is unsupported.
- Treating a retrieval result or similarity score as a permission or entity filter. The sample text gives only the requisition store and the item. Inferring from these that the store is authorized to receive that item compares against an authorization field that the text does not state. The determination remains pending verification.
How to verify the setup
- Enter the hypothetical sample text above together with the draft sentence. Compare "approval completed" in the draft against "approval status is pending regional purchasing review" in the source, and observe whether the result is recorded as unsupported. If the draft is changed to "approval status is pending regional purchasing review," it matches the source.
- Enter the delivery note text together with the draft sentence. Compare "signed for by the store" against "store has not signed" in the source, and observe whether the result is recorded as unsupported. If the draft is changed to "driver has signed, store has not signed," it matches the source.
- Enter an explicit paper input of [] to check the downstream design for empty results, and observe whether the empty result is handled as designed. Do not claim that a fictional rule retrieval necessarily returns []. At the same time, check whether the form node is treated as an approval or a database write; if it is treated as a write, record that a separate system implementation is required.
This page addresses one scope only: central chain procurement, operations authorization and handover management, forms and interaction. Which materials, operations and requests sit at which authorization state during an operations handover cannot be settled by retrieval or by a form.
