What the documents look like
Closure settlement handles exit and asset recovery, running opposite to site selection and store opening. The working data comes from POS inventory, fixed-asset systems, lease contracts and finance ledgers, and it updates irregularly, once per store. The documents in daily use are the closure approval, the inventory clearance form, the lease termination agreement and the asset count sheet. In the conversation-log and audit step, the recurring reality is that material names, approval states and requested actions appearing inside a handover conversation do not sit in the same place as the authorization state actually in force in the business systems. A retained log entry means a message was recorded. It does not mean inventory has been cleared, a deposit has been returned, or a termination has taken effect.
Conversation identity uses three documented fields. chatId identifies a conversation, dataId identifies one exchange inside a conversation, and appId identifies the application. When checking handover records, confirm that these three identifiers point to the same store and the same settlement stage, so that conversations arriving through different entry points are not counted together. When run detail is needed, set detail=true as the official contract describes and inspect responseData. A field that was not returned cannot be presumed to have been retained in full. The similarity and score values are retrieval relevance values. They carry no permission, entity or store-isolation duty. Retrieval is not authorization, and a form collecting values is not an approval or a database write.
Assume a paper exercise sample, not a real record:
Material text one: "Store closure approval, store number A-07, status is pending regional operations review. Inventory clearance form not yet generated."
Material text two: "Lease termination agreement, lessor and lessee have signed, the parties agree to complete the asset count handover within 30 days of signing."
Draft sentence to be judged: "A-07 has completed closure approval, the asset count handover is finished, and the deposit refund can be executed."
Judgment: material one shows the approval is pending review, which does not constitute approval. Material two states only the signing and the count deadline, and does not state that the count was completed. The draft's "has completed", "is finished" and "can be executed" all lack support in the materials and should be recorded as pending verification, with the evidence gap preserved.
Constraints at the conversation logs step
The chat interface authenticates with an API key. When calling chat/completions, passing body.appId in the request body is recommended. For OpenAI SDK compatibility, Authorization: Bearer <apiKey>-<appId> is also supported, and in that case body.appId does not need to be passed. Some SDKs need the v1 path added to BaseUrl and some do not; if a 404 appears, add v1 and retry. The appId priority order is body.appId, then <apiKey>-<appId>, then the appId associated with the apikey under the older adaptation.
For handover auditing, several documented conditions matter. When chatId is not passed, the platform context feature is not used and the context is built entirely from the submitted messages. When chatId is a non-empty string, the conversation is taken from the database, the last entry in messages is used as the user question, and the remaining messages are ignored; the caller must keep chatId unique and under 250 characters. responseChatItemId, when passed, becomes the response message ID for that exchange and must be unique under the current chatId. The model, temperature and similar parameter fields passed in are invalid, because the orchestration decides them. Actual token consumption is not returned; setting detail=true allows manual calculation from the tokens values inside responseData.
To proxy a team member identity through authProxy, the team owner must have enabled authProxy when creating or editing that key, and the proxied identity still needs permission on the target application and conversation. This applies only to FastGPT v4.15.0 and later. Forms collect values; business verification, approval, database writes and external synchronization need their stated downstream implementation.
Configuration and implementation checks
| Configuration item | Relevant setting on this page | How to check |
|---|---|---|
appId | Passed in the request body, identifying the application that owns this handover conversation | Matches the application registered in the store settlement ledger |
chatId | Non-empty string identifying the conversation for this store and stage | The same store and stage use the same value, under 250 characters |
dataId | Locates a single exchange, used to fetch run detail | Checked together with chatId and appId, not compared across conversations |
detail | Set to true when intermediate values and run detail are needed | Inspect whether responseData contains the target node response |
responseChatItemId | When passed, serves as the response message ID for this exchange | Unique under the current chatId |
variables | Replaces [key] inside module input fields | Compare the replaced content against the handover material text |
No value absent from this table has a default. Assume a starting value for this exercise: pageSize set to 10, chosen so that handover conversations can be checked one by one, to be adjusted after comparing against the number of conversations in a single store settlement. This value belongs to this paper exercise and is not an official default.
Three common errors
- Reading "pending regional operations review" as approved. Material one explicitly says pending review, while the draft sentence says closure approval has been completed. These are mutually exclusive values on the same field, so the draft is unsupported.
- Treating the signing of the lease termination agreement as a completed termination. Material two states only that it was signed and that a 30-day count deadline applies, and gives no count result, so the draft's "handover is finished" lacks evidence.
- Treating a retrieval hit or a form submission as authorized execution. A high
scoremeans the text is relevant; it does not mean this store holds authorization to return a deposit. A form collecting values does not trigger approval or a write.
How to verify the setup
- Input the text of material one together with the draft sentence, compare "pending regional operations review" against "has completed closure approval", and observe that the two are mutually exclusive values on the same field, which yields a judgment of unsupported.
- Input the text of material two together with the draft sentence, compare "signed, count completed within 30 days" against "handover is finished, deposit refund can be executed", and observe that neither the count status nor the refund authorization is stated, which yields a judgment of pending verification.
- Input a request with
detail=true, compare whether the returnedresponseDatacontains the target node and itsmoduleType, and record the fields when present or the gap when absent, without presuming that a business action occurred. For the empty-result branch, use the paper input[]to check the downstream design, without claiming that a fictional rule retrieval necessarily returns an empty result. Libraries built on different embedding models cannot be associated together; verify the identifiers first, exclude those that do not match, and record what is actually observed.
This page covers only chain-store closure settlement, operations permission and handover management, and conversation logs and auditing. Which materials, actions and requests sit in which authorization state during an operations handover is a question that retrieval or a form cannot answer on its own.
