Trade and FX administration: citation tracing for after-sales questions

Review citation tracing for after-sales questions in Trade and FX administration. Check input mappings, source evidence and failure handling before use.

What the documents look like

Foreign-exchange receipt and settlement work centres on the authenticity of FX funds and the underlying trade background. The materials reviewed are receipt advices, trade contracts, invoices and FX business registration records. A full set of letter-of-credit documents is not examined in this category. During order fulfilment and after-sales question handling, a finance officer or FX specialist needs to answer which contract, which invoice and which registration a particular payment corresponds to. The links between materials are established through counterparty names, amounts, dates and registration numbers. Whether the receiving party of the funds matches the contracting party is the point most often pressed during these answers.

Materials advance per transaction, with a monthly summary point. A single receipt advice, invoice and registration record forms as the business occurs; monthly reconciliation or classification summaries may also be produced. Citations in an answer must land on the specific single-transaction material. Substituting a monthly summary for a single voucher removes traceability.

Constraints at the citation tracing step

The knowledge base search node can be linked to one or more knowledge bases that share the same vector model, and it outputs a citation array whose length may be zero. An empty array still completes the output path. The citation content is passed to the answering step, where each answer sentence is checked against the original cited text. A similarity score reflects content relatedness only and carries no responsibility for counterparty, permission or entity separation. Retrieval itself does not constitute authorization, and it does not mean a business action has been approved.

The minimum relevance value takes effect only under semantic retrieval or result reranking; it is a filter threshold and does not determine final ordering. Hybrid retrieval merges multiple result paths through RRF. Reranking requires a model and is enabled according to settings. The citation limit controls the amount of cited content per search in tokens. Different document versions change what can be cited, so source checking must distinguish the current version from historical versions.

Hypothetical drill sample: the source material reads, "Party A: Huayang Machinery (example entity); contract number HY-2024-018; signing date 12 March 2024; exported goods are 200 small water pumps; the receipt advice shows the payer as Huayang Machinery, with an amount matching invoice number FP-0187." The draft sentence to be assessed is, "This receipt has been confirmed to correspond to contract HY-2024-018, and the fulfilment status is completed." The draft sentence involves the counterparty, the contract number and a fulfilment status. The material shows only the correspondence between the receipt and the invoice. The completion status does not appear in the source text.

Configuration and implementation checks

Configuration or check itemHypothetical starting point for this trialReason for the choice and comparison method
Linked knowledge basesLink only the receipt-and-settlement repository that uses the same vector modelFirst check the vector model identifier of each repository; exclude those with a different identifier
Search modeHybrid retrievalContract and invoice numbers are exact fields; compare hit results after merging with semantic recall
Minimum relevanceHypothetical starting point 0.3This is a trial starting point only; compare results at 0.2 and 0.4 item by item before adjusting
Citation limitHypothetical starting point 2000 tokensThis is a trial starting point only; compare the number of citations and length at different values
Result rerankingEnabled after a rerank model is configuredThe rerank score is used for filtering; compare ordering differences against results without reranking
Citation output handoffThe citation array is passed item by item to the answering stepCheck the correspondence between answer sentences and the original cited text

Three common errors

  1. Treating the similarity score as a counterparty or permission filter. The score indicates content relatedness only; it does not distinguish whether the receiving party matches, and it does not judge whether a record falls within an authorized scope. Check method: input material containing two different counterparties, compare whether returned citations mix in content belonging to a non-target counterparty, and observe whether score levels correspond to counterparty attribution.
  2. Treating a retrieval hit as business confirmation. A retrieved contract-number fragment does not mean the receipt has been written off or that fulfilment is complete. Check method: use the hypothetical sample above to ask about fulfilment status, compare whether the answer contains "completed" that the material does not state, and observe whether the answer exceeds the source text.
  3. Treating an empty citation array as a process error. Citation length may be zero, and the output path still completes. Check method: use a clearly paper-based empty-array input to check the downstream design, observe whether the downstream handles it as an empty citation, and do not assume retrieval must return empty.

How to verify the setup

  1. Input the hypothetical sample source text and the draft sentence. Compare the phrase "the fulfilment status is completed" in the draft sentence against what the source states. The source supports only the correspondence between the receipt and the invoice. That part of the draft sentence is unsupported and must be returned for additional fulfilment evidence or rewritten.
  2. Input the same contract number and invoice number. Compare the number of citations and field completeness returned by hybrid retrieval against semantic retrieval. Observe whether the exact fields appear consistently in the citations. If a numbered field is missing, record that observation and check the search mode setting.
  3. Input an empty citation array. Compare the output of the downstream answering step. Observe whether the flow continues and gives a no-citation statement. Do not claim that retrieval necessarily returns empty under a fictional rule; record only the observation from this run.
