Multi-store management: conversation logs for after-sales questions

Review conversation logs for after-sales questions in Multi-store management. Check sources, input boundaries, error handling and repeatable test evidence.

What the documents look like

Multi-store matrix management differs from single-store advertising operations because the working problem is cross-store authorization and price order rather than traffic efficiency at one storefront. One brand operates several stores through different distributor teams, so a conversation log has to line up with four business documents: the store authorization list, the price control table, the diversion complaint form and the monthly sales report. The main data sources are each platform's merchant backend, ERP channel prices, the brand anti-counterfeit system and distributor reports. Daily and monthly material coexist.

For the conversation logs and audit step, the task is to connect a session record from order fulfillment and after-sales question answering to a specific store, a specific authorization scope and a specific handling stage. Log retention on its own does not amount to a compliance audit; reconciliation and retention requirements are carried out by the complete business solution. The conversation interface returns session and run data for the application, and the conversation CRUD endpoints return session lists, record lists, single-record run detail and feedback state. Values collected through retrieval or through a form do not constitute an authorization action.

Constraints at the conversation logs step

Conversation identity has to be checked against the target conversation and the business record through chatId, and sessions from different entry points are not pooled into one count. When run detail is needed, detail is set according to the documented contract and the module responses inside responseData are inspected. Business data that the interface does not return cannot be treated as fully retained. Identity fields in a test mode may differ from a formal call, so input, history and returned content are checked separately. Retrieval and form collection are not authorization execution.

Hypothetical exercise sample: a brand channel operator holds a store authorization list. One row reads "Store A, authorization valid until 31 December 2025, scope: order fulfillment and after-sales question answering for this store." The price control table reads "Store A, model X, channel price not below 199." The diversion complaint form reads "Complaint target: Store A, complaint reason: suspected sale below channel price, status is pending verification." A draft handover request reads "Please hand over the conversation records in Store A's conversation log that involve the price dispute for this model to the distributor e-commerce team for handling."

The authorization list gives a subject, an object and a validity range. The complaint form gives a status that is not a conclusion. The draft request gives an intended action with no signature or approval attached. These are the only materials available for the checks below.

Configuration and implementation checks

Configuration itemHypothetical starting value for this exerciseReason for the choice and comparison method
chatId"storeA-order-001"Used to check the target conversation against the business record; compared with the Store A identifier in the authorization list
detailtrueNeeded to obtain module responses inside responseData; compared with the returned content when detail is false
responseChatItemId"resp-001"Checks whether the response message ID is stored; compared with existing IDs under the same chatId
sourceapiRetrieves sessions created through the API; compared with sessions from the page source
loadCustomFeedbackstrueReads custom feedback; compared with the returned fields when the parameter is omitted
dataId"jzqdV4Ap1u004rhd2WW8yGLn"Locates the run detail of one conversation; compared with other dataId values under the same chatId

These values are hypothetical starting points for this exercise, not official default values.

Three common errors

  1. Pooling Store A's conversation log with Store B's sessions. The input is session records under two different chatId values, the comparison object is the store identifier in the authorization list, and the observable result is whether the session's owning store and authorization scope match. When chatId is not bound to a store identifier, ownership remains unconfirmed.
  2. Treating the pending-verification diversion complaint as a confirmed violation. The input is the complaint form text "status is pending verification," the comparison object is whether the form carries a verified conclusion, and the observable result is whether the form states a verification result. When no result is stated, the status stays pending verification.
  3. Treating the draft handover request as an executed authorization handover. The input is the draft sentence, the comparison object is whether a signature or approval record exists, and the observable result is whether the handover request is in an approved state. A draft on its own is not execution.

How to verify the setup

  1. Input the hypothetical chatId "storeA-order-001" for Store A and the authorization list text. Compare the session's owning store and authorization scope, and observe whether the session for that chatId falls inside Store A's authorization validity period. When chatId is not bound to a store identifier, record the result as unsupported.
  2. Input the draft handover request and the diversion complaint form text. Compare the handling target named in the request with the complaint form status, and observe whether the form states a verified conclusion. When the status is pending verification, the handover request lacks an execution basis.
  3. Input the request with detail=true and the returned responseData. Compare the module response fields in responseData with the fields the business documents require, and observe whether the required fields appear in the return. Fields that are not returned are recorded as unknown, and full retention is not presumed.

A relevance score is not a category, entity or permission filter, and a similarity setting does not exclude unrelated businesses or unauthorized records. Retrieval is not authorization. Forms collect values; business verification, approval, database writes and external synchronization require their stated downstream implementation. Where the documents do not state an error code or an observed result, the comparison above describes what to check and leaves the outcome unknown.
